The Admin role has complete system access and is responsible for managing users, maintaining catalogs, and overseeing all procurement operations.

Admin Responsibilities

Approve new user registrations and assign roles to team members

Manage suppliers, products, presentations, destinations, statuses, and units

Full Data Access

Create, edit, and delete requisitions across all departments

Control system-wide settings and permissions

User Management

Approving New Users

When new team members register, they appear in the Solicitudes Pendientes (Pending Requests) section.

Navigate to Administration

Go to Dashboard > Administración in the sidebar

Review Pending Requests

View all users with “pendiente” status awaiting approval

Assign Role

Click Aprobar and select the appropriate role:
  • Admin - Full system access
  • Coordinadora - Create/edit requisitions and manage catalogs
  • Laboratorio - View-only access for quality control team
  • CEDIS - View-only access for warehouse team

Confirm Approval

Click Confirmar aprobación to activate the user account
Users with “pendiente” status cannot access the system until an admin approves their account.

Managing Active Users

Switch to Active Users Tab

Click the Usuarios Activos tab in the Administration panel

Change User Roles

Click Cambiar next to any user to reassign their role

Remove Users (Optional)

Use the trash icon to permanently delete user accounts
Deleting a user account is permanent and cannot be undone. The user will need to register again to regain access.

Catalog Management

Managing Catalogs

Admins have full control over all system catalogs used in requisitions.

Open Catalogs

Navigate to Dashboard > Catálogos

Select Catalog Type

Choose from the available tabs:
  • Proveedores (Suppliers)
  • Productos (Products)
  • Presentaciones (Package types)
  • Destinos (Delivery destinations)
  • Estatus (Status options)
  • Unidades (Units of measure)

Add New Entries

Click Nuevo [Type] to create a new catalog entry

Edit Existing Entries

Use the pencil icon to modify existing catalog items

Toggle Active Status

Click the status badge to activate/deactivate entries without deleting them

Delete Entries (Admin Only)

Use the trash icon to permanently remove catalog items
Toggle Ver Inactivos to show inactive catalog entries. Deactivating is safer than deleting when entries have existing dependencies.

Status Colors

When managing the Estatus catalog, you can customize the color (hex code) for each status. This affects how requisitions appear on the calendar:
  • Pendiente - Amber (#F59E0B)
  • Confirmado - Blue (#3B82F6)
  • En Tránsito - Purple (#8B5CF6)
  • Recibido - Green (#10B981)
  • Cancelado - Red (#EF4444)
  • En Revisión - Orange (#F97316)

Requisition Management

Creating Requisitions

Admins can create requisitions on behalf of any department.

Start New Requisition

Navigate to Dashboard > Administrar Requisiciones and click Nueva Requisición

Fill Required Fields

Complete all mandatory fields marked with asterisks (*):
  • Fecha Confirmada (confirmed delivery date)
  • Proveedor (supplier)
  • Producto (product)
  • Presentación (package type)
  • Destino (destination)
  • Estatus (status)
  • Cantidad y Unidad (quantity and unit)

Add Optional Details

Fill in tracking information:
  • № REQUI (requisition number)
  • Fecha de OC (purchase order date)
  • Folio OC (purchase order number)
  • Fecha Solicitada (requested date)
  • Factura/Remisión (invoice/receipt)

Add Delivery Information

Update actual delivery details:
  • Fecha Entregado (actual delivery date)
  • Cantidad Entregada (actual quantity received)

Save Requisition

Click Generar Nueva Requisición to save

Editing Requisitions

Locate Requisition

Find the requisition in the calendar or requisitions list

Open Details

Click the event to open the detail modal

Edit

Click Editar to modify any field

Save Changes

Click Guardar Cambios to update the requisition
All changes are tracked in the audit history (requisiciones_historial table) for accountability.

Deleting Requisitions

Open Requisition Detail

Click on the requisition event to open the detail modal

Initiate Delete

Click the trash icon at the bottom left

Confirm Deletion

Click Sí, borrar to permanently delete the requisition
Only admins and coordinators can delete requisitions. This action cannot be undone.

Calendar View

Admins can view and manage all requisitions in the calendar view.
  • Month View: See all scheduled deliveries by month
  • Week View: Switch to weekly view for detailed planning
  • Event Colors: Each requisition is color-coded by status
  • Click Events: Click any event to view details or edit

Quick Add Feature

When creating requisitions, admins can quickly add missing catalog entries without leaving the form.

Click Plus Icon

While creating a requisition, click the + icon next to any dropdown field

Add New Entry

Enter the name of the new supplier, product, or other catalog item

Save and Select

The new entry is automatically saved and selected in the form
This feature is especially useful when coordinators contact you about urgent orders from new suppliers.

Best Practices

Regular User Reviews

Review pending user requests weekly to ensure team members have timely access

Catalog Cleanup

Periodically deactivate unused suppliers or products instead of deleting them

Audit Trail

Monitor the history table to track who made changes to critical requisitions

Backup Coordinator Access

Assign coordinator roles to backup personnel to ensure business continuity

  • Review and approve pending user registrations

  • Review active users and role assignments
  • Clean up inactive catalog entries
  • Export data for management reporting

  • Review and update status colors and categories
  • Plan system maintenance or upgrades
