Overview

The Asset Management feature helps you maintain a comprehensive inventory of your equipment and machinery. Each asset includes detailed specifications, operational data, maintenance records, and ownership information to support condition-based maintenance strategies.
Assets are organized by site and can be assigned to specific users for ownership and accountability.

Key Capabilities

Comprehensive Profiles

Track manufacturer details, model numbers, serial numbers, technical specifications, and commissioning dates

Criticality Levels

Classify assets as low, medium, or high criticality to prioritize maintenance activities

Maintenance History

Record last performed maintenance, major overhauls, and operating hours since oil changes

Datasheet Uploads

Attach equipment datasheets and technical documentation for easy reference

Adding a New Asset

Navigate to Assets

From the main navigation, go to Assets and click Add New Asset.

Enter Basic Information

Fill in the required fields:
  • Asset Name: Descriptive name for the equipment
  • Asset Code/Tag: Unique identifier or tag number
  • Organization: Select the parent organization
  • Site: Choose the site where the asset is located
  • Asset Type: Select or create a custom asset type (e.g., Pump, Motor, Compressor)
  • Manufacturer: Enter the OEM name
  • Model Number and Serial Number
  • Upgraded/Modified: Indicate if the asset has been modified from original specs

Configure Operational Data

Set operational parameters:
  • Critical Level: Low, Medium, or High
  • Operating Hours: Hours since last oil change
  • Commissioned Date: When the asset was put into service

Add Maintenance Information

Document maintenance strategy:
  • Asset Status: Active, Inactive, or Pending
  • Maintenance Strategy: Describe your maintenance approach
  • Last Performed Maintenance: Date of most recent service
  • Major Overhaul Date: When major work was completed
  • Last Date Overhaul: Most recent overhaul date

Assign Ownership

Select an Assignee from users in the same organization to take ownership of the asset.

Enter Technical Specifications

Add performance specifications:
  • Power Rating: Value in kW (unit appended automatically)
  • Speed: Value in RPM (unit appended automatically)
  • Capacity: Value in m³/h (unit appended automatically)

Upload Datasheet (Optional)

Attach a PDF or image file with the equipment datasheet or technical documentation.

Create Asset

Click Create Asset to save. You’ll be redirected to the assets list.

Managing Assets

Viewing Asset Details

Click on any asset in the table to view its complete profile, including:
  • All basic and technical information
  • Associated site and organization
  • Assigned owner
  • Maintenance history
  • Attached datasheets
  • Related sampling points and samples

Editing Assets

  1. Click the Edit icon next to an asset
  2. Update any fields as needed
  3. Click Update Asset to save changes
Organization and site selections cascade — changing the organization filters available sites, and changing the site filters available assignees.

Filtering Assets

Use the filter panel to find assets by:
  • Search: Name or tag
  • Site: Filter by location
  • Asset Type: Filter by equipment category
  • Criticality Level: Low, Medium, or High
  • Status: Active, Inactive, or Pending

Deleting Assets

Deleting an asset is permanent. Ensure the asset is no longer in use and has no active alarms or recommendations.
To delete an asset:
  1. Click the Delete icon next to the asset
  2. Confirm the deletion in the dialog

Asset Analytics

The asset dashboard displays key metrics:
  • Total Assets: Count of all assets in the system
  • Asset Trend: Growth percentage compared to previous period
  • Critical Assets: Number of high-criticality assets and trend
  • Assets with Alarms: Count of assets with active alarms and trend

Best Practices

Maintain accurate operating hours to ensure timely oil sampling and analysis.
  1. Use Consistent Naming: Establish a naming convention for assets (e.g., include location and type)
  2. Set Criticality Accurately: Prioritize critical assets for more frequent monitoring
  3. Keep Records Current: Update operating hours and maintenance dates regularly
  4. Assign Ownership: Ensure every asset has an assigned owner for accountability
  5. Upload Datasheets: Store technical documentation for quick reference during troubleshooting
  6. Tag Assets Properly: Use unique, scannable tags that match physical labels on equipment
