The Catálogo de Productos (Product Catalog) is your inventory management system. It allows you to add products, track stock levels, organize items by categories, and manage pricing.

Accessing Product Management

Navigate to Catálogo > Productos from the main menu. You’ll see your complete product inventory with stock levels, prices, and organization details.

Understanding the Product View

The products table displays:
  • Producto: Product name with image thumbnail, plus SKU and barcode (EAN)
  • Categoría / Marca: Category (and subcategory) with brand name
  • Stock / Precio: Current stock quantity with price, including low-stock alerts
  • Estado: Active (Activo) or Inactive (Inactivo) status
  • Actions Menu: Edit and delete options

Low Stock Alerts

Products at or below their minimum stock level display a red alert icon next to the stock count. This visual indicator helps you identify products that need reordering.

Adding a New Product

Open Product Form

Click ”+ Nuevo Producto” in the top-right corner.

Enter General Information

In the left column, complete:Required Fields:
  • Nombre del Producto: Full product name
  • PVP (Price): Selling price in euros
  • Impuesto (%): Tax rate (default: 21%)
  • Stock Actual: Current quantity in inventory
Optional Fields:
  • SKU: Internal product code (e.g., “PRD-001”)
  • EAN / Código: Barcode number
  • Descripción: Detailed product description
  • URL de Imagen: Direct link to product image

Set Publication Status

Use the Publicado toggle at the top:
  • ON (Green): Product is “Activo” and available for sale
  • OFF (Gray): Product is “Inactivo” and hidden from sales channels

Organize the Product

In the right column under “Organización”:
  • Marca: Select brand (create brands in Catálogo > Marcas)
  • Categoría: Choose primary category
  • Subcategoría: Select subcategory (appears after choosing category)
  • Etiquetas: Click tags to associate them (multi-select enabled)

Set Inventory Parameters

Configure stock management:
  • Stock Actual: Current inventory count
  • Stock Mínimo (Alerta): Threshold for low-stock warnings
When stock falls to or below the minimum, the system displays an alert.

Save the Product

Click “Crear Producto” to add the item to your catalog.
Using SKU Codes: Establish a consistent SKU format for your inventory:
  • PRD-001, PRD-002 for general products
  • SHP-001 for shampoos
  • TRT-001 for treatments
Consistent codes make inventory tracking and ordering much easier.

Filtering and Searching Products

The search field finds products by:
  • Product name
  • SKU code
  • Barcode/EAN number
Search results update in real-time as you type.

Category Filter

Use the “Todas las Categorías” dropdown to:
  • View only products in a specific category
  • Narrow down product lists for faster navigation
  • Organize inventory by department

Brand Filter

Use the “Todas las Marcas” dropdown to:
  • Show products from a single brand
  • Analyze brand representation in your inventory
  • Facilitate vendor-specific inventory counts

Clearing Filters

Click “Limpiar” to reset all filters and return to the full product list.

Editing Products

Locate the Product

Use search or filters to find the product you want to edit.

Open Edit Mode

Click the three-dot menu (⋮) and select Editar.

Modify Information

The product form opens with all current data pre-filled. The modal title shows “Editar Producto”.Update any fields as needed.

Save Changes

Click “Guardar” to update the product.

Common Edits

Adjusting Stock After Receiving Inventory:
  1. Edit the product
  2. Update Stock Actual to the new total
  3. Save changes
Updating Prices:
  1. Edit the product
  2. Change the PVP field
  3. Optionally adjust Impuesto (%) if tax rates changed
  4. Save
Deactivating Discontinued Products:
  1. Edit the product
  2. Turn off the Publicado toggle (status becomes “Inactivo”)
  3. Save
Inactive products remain in your database but won’t appear in the TPV (point of sale) for new sales. This preserves historical sales data.

Understanding Categories and Organization

Category Hierarchy

Products organize into a three-level structure:
  1. Categoría (Category): Top-level grouping (e.g., “Hair Care”)
  2. Subcategoría (Subcategory): Nested under categories (e.g., “Shampoo”)
  3. Etiquetas (Tags): Cross-category labels (e.g., “Organic”, “Professional”)

When to Use Each Level

Categories: Major product divisions
  • Hair Products
  • Skin Care
  • Equipment
  • Retail Items
Subcategories: Specific product types
  • Shampoos (under Hair Products)
  • Conditioners (under Hair Products)
  • Moisturizers (under Skin Care)
  • Cleansers (under Skin Care)
Tags: Cross-cutting attributes
  • Vegan
  • Organic
  • Luxury
  • Professional Use
  • Retail Sale
A single product can have one category, one subcategory, and multiple tags. This enables flexible searching and reporting.

Stock Management Best Practices

Setting Minimum Stock Levels

Analyze Usage Patterns

Review how quickly each product sells:
  • High-turnover items: Set higher minimum stock
  • Slow-moving items: Set lower minimum stock

Consider Lead Times

Factor in supplier delivery times:
  • 1-day delivery: Lower minimum is safe
  • 2-week delivery: Higher minimum prevents stockouts

Set the Threshold

Edit the product and set Stock Mínimo to your calculated level.

Monitor Alerts

Regularly check the product list for red alert icons indicating low stock.

Conducting Stock Counts

Physical Inventory Process:
  1. Schedule Regular Counts: Monthly or quarterly
  2. Count by Category: Use category filters to work through sections
  3. Update Each Product: Edit and adjust “Stock Actual” based on physical count
  4. Investigate Discrepancies: Large differences may indicate:
    • Theft or loss
    • Unreported damage
    • Sales not properly recorded
    • Data entry errors

Handling Stock Adjustments

Receiving New Inventory:
Current Stock: 15
+ New Units Received: 24
= New Stock Actual: 39
After Sales (Automatic): When products sell through the TPV, stock decreases automatically. Damaged/Expired Stock:
Current Stock: 30
- Damaged Units: 3
= New Stock Actual: 27

Managing Product Images

Product images help with visual identification in the catalog and TPV.

Adding Images

Upload Image to Hosting

Use an image hosting service or your server to upload the product photo.

Copy Image URL

Get the direct link to the image file (must end in .jpg, .png, etc.).

Add to Product

Edit the product and paste the URL into the URL de Imagen field.

Verify Display

Save and check that the image appears in the product list.
Image Best Practices:
  • Use square images (500x500px recommended)
  • Ensure good lighting and clear focus
  • Use white or neutral backgrounds
  • Keep file sizes under 200KB for fast loading
  • Use consistent styling across all product photos

Working with Brands and Categories

Before organizing products, ensure your brands and categories exist:

Creating Brands

  1. Go to Catálogo > Marcas
  2. Click ”+ Nueva Marca”
  3. Enter brand name and optional logo URL
  4. Save

Creating Categories

  1. Go to Catálogo > Categorías
  2. Click ”+ Nueva Categoría”
  3. Enter category name and description
  4. Save

Creating Subcategories

  1. Go to Catálogo > Subcategorías
  2. Click ”+ Nueva Subcategoría”
  3. Select parent category
  4. Enter subcategory name
  5. Save

Creating Tags

  1. Go to Catálogo > Etiquetas
  2. Click ”+ Nueva Etiqueta”
  3. Enter tag name
  4. Save

Deleting Products

Deleting a product permanently removes it from the system. This action cannot be undone.Important: If the product has sales history, deletion may fail or cause reporting issues.Recommended: Use the Inactivo status instead of deleting to preserve data integrity.

Open Actions Menu

Click the three-dot menu (⋮) for the product.

Select Delete

Click Eliminar (red option).

Confirm Deletion

Confirm in the browser prompt.

Reporting and Analysis

Use product data for business insights:

Stock Value

Calculate total inventory value:
Product Price × Current Stock = Product Value
Sum of all Product Values = Total Inventory Value

Low Stock Report

  1. Scan the product list for red alert icons
  2. Click each to see exact stock levels
  3. Create a reorder list based on minimum stock thresholds

Category Performance

  1. Filter by category
  2. Note number of products and stock levels
  3. Compare across categories to identify:
    • Overstock situations
    • Underrepresented categories
    • Opportunities for expansion

Troubleshooting

Subcategory Dropdown is Empty

Subcategories only appear after selecting a category. Ensure:
  1. A category is selected first
  2. Subcategories exist for that category in Catálogo > Subcategorías

Product Not Showing in TPV

If a product doesn’t appear in the point of sale:
  1. Check the status - must be “Activo” (Publicado toggle ON)
  2. Ensure stock is above zero
  3. Refresh the TPV page

Price Shows Incorrectly

Verify:
  • Price is entered as a decimal number (e.g., 29.99, not 29,99)
  • Tax rate is correct (typically 21%)
  • No extra spaces or characters in the price field
Search looks in:
  • Product name
  • SKU code
  • Barcode
Check for:
  • Spelling mistakes
  • Incomplete search terms (try partial words)
  • Wrong field (searching for SKU in product name)
