Overview

The Fleet Management module (Flota de Vehículos) helps you track all customer vehicles, maintenance schedules, service history, and owner/driver relationships. This is essential for fleet-based businesses and service centers.

Viewing Your Fleet

The main fleet page displays all registered vehicles with key information:
  • Placa / Vehículo: License plate and vehicle details (make, model, year)
  • Cliente / Chofer: Owner (with Building icon) and driver (with User icon)
  • Kilometraje: Current and next service mileage
  • Notas: Service notes and preferences
  • Acciones: Quick action buttons
Vehicles with mileage within 1,000 km of their next service show an alert icon (⚠) to help you proactively schedule maintenance.

Searching and Filtering

Use the Search Bar

Type in the search box to filter by:
  • License plate (Placa)
  • Customer name
  • Vehicle model
Results update in real-time as you type.

Adjust Pagination

Control how many records display:
  • Select 5, 10, 20, or 50 records per page
  • Navigate with Anterior (Previous) and Siguiente (Next) buttons
  • View total: “Mostrando X de Y registros”

Adding a New Vehicle

Click Nuevo Vehículo

Click the Nuevo Vehículo button (with Plus icon) in the top-right corner.

Assign Customer Relationships

The blue section Asignación de Cliente is critical:Propietario / Empresa (Owner - Required):
  • Click the search field
  • Type to search by name, RUC, or DNI
  • Select from the dropdown showing customer name and document
  • This field is required (marked with red asterisk *)
Conductor Habitual (Driver - Optional):
  • Search for the regular driver
  • Quick option: Select “Mismo que el propietario” to copy the owner
  • Leave blank if not applicable
You must register customers in the Customer module before you can assign them to vehicles.

Enter Vehicle Data

Fill in the vehicle details:Required Fields (marked with *):
  • Placa: License plate (e.g., ABC-123) - auto-capitalized
  • Kilometraje (Tablero): Current odometer reading
Optional Fields:
  • Marca: Make (e.g., TOYOTA)
  • Modelo: Model (e.g., HILUX)
  • Año: Year (defaults to current year)
  • Color: Vehicle color
  • Notas / Preferencias: Service notes, customer preferences (e.g., “Solo usa aceite sintético”)

Save the Vehicle

Click Registrar Vehículo (with Save icon) to save the new vehicle record.The modal will close and the vehicle will appear in your fleet list.

Vehicle Actions

For each vehicle in the table, you have three action buttons:

View Details (Eye Icon)

Click the Ver Detalles e Historial button to:
  • View complete vehicle information
  • See service history and past invoices
  • Review maintenance timeline
  • Issue new invoices directly from the vehicle profile
Use Emitir Factura from the details modal to quickly create an invoice for that specific vehicle.

Edit Vehicle (Edit Icon)

Click the Editar Datos button to:
  • Update vehicle information
  • Change odometer reading after service
  • Modify owner or driver assignments
  • Update notes and preferences
The edit form will show the modal title Editar Vehículo: [PLACA] and the save button changes to Guardar Cambios.

Delete Vehicle (Trash Icon)

Click the Eliminar Vehículo button to:
  • Remove the vehicle from your fleet
  • This action requires confirmation
Deleting a vehicle doesn’t delete historical invoices, but the vehicle-invoice relationship will be affected. Consider carefully before deleting.

Mileage Tracking

The system automatically tracks and alerts you on vehicle mileage: Display Format:
  • Act: Current mileage (e.g., “Act: 45,000 km”)
  • Próx: Next service mileage (e.g., “Próx: 50,000 km”)
Alert System:
  • When current mileage is within 1,000 km of next service → Alert badge with warning icon
  • Normal status → Green/normal badge
Update the Próx. CAMBIO field when processing invoices to keep maintenance schedules current.

Understanding the Fleet Table

The main table shows:

Best Practices

  1. Always update odometer readings when servicing vehicles
  2. Set realistic próximo cambio values based on service type (oil change every 5,000 km, etc.)
  3. Use the notes field to record customer preferences and special requirements
  4. Assign both owner and driver when applicable for complete records
  5. Review alert badges regularly to proactively schedule upcoming services
  6. Keep vehicle information current to maintain accurate service history

Empty State

If no vehicles match your search, you’ll see:
  • 🔍 Search icon
  • “No se encontraron vehículos.”
Clear your search or adjust filters to see results.

Integration with Invoices

Vehicle data automatically populates invoice fields:
  • PLACA button in invoice creation
  • KM ACTUAL pre-fills from last recorded reading
  • Customer selection pulls from vehicle ownership
  • Service history appears in vehicle details
