Doctor Guide

This guide covers all features available to doctors in the Nguhöe EHR system, including appointment management, consultation documentation, prescription creation, and availability scheduling.

Access Level

As a doctor, you can:
  • View and manage your own appointments
  • Access patient records for scheduled patients
  • Document consultations with vital signs
  • Create and manage prescriptions
  • Configure your availability schedule
  • View your appointment calendar
Doctors can only view consultations they have personally created. You cannot view other doctors’ consultations.

Dashboard Overview

When you log in, you’ll see your personalized dashboard at /dashboard showing:
  • Upcoming appointments for today
  • Recent patient consultations
  • Quick access to common tasks

Managing Your Appointments

Viewing Your Schedule

Access Appointments

Click Appointments in the main navigationBy default, you’ll only see appointments assigned to you.

Filter by Date

Review Appointment Details

Each appointment shows:
  • Patient name
  • Scheduled time (start and end)
  • Reason for visit
  • Current status
  • Any notes added by reception

Appointment Statuses

Appointments progress through these statuses:
  • Scheduled: Initial booking
  • Confirmed: Patient confirmed attendance
  • Completed: Patient was seen and consultation documented
  • Cancelled: Appointment was cancelled
  • No Show: Patient did not attend

Updating Appointment Status

Select Appointment

Find the appointment you want to update

Change Status

Click the status dropdown or edit button

Select New Status

Choose the appropriate status:
  • Mark as Confirmed when patient arrives
  • Mark as Completed after finishing consultation
  • Mark as No Show if patient doesn’t attend

Add Notes (Optional)

Add any relevant notes about the appointment

Setting Your Availability Schedule

Configure when you’re available for appointments so patients can book online.

Configuring Your Schedule

Navigate to Schedule Settings

Click My Schedule in the navigation menu to access /my-schedule

Review Default Schedule

The system shows a 7-day week (Sunday to Saturday)Default settings:
  • Monday-Friday: 09:00 - 18:00 (Working)
  • Saturday-Sunday: Not working

Configure Each Day

For each day of the week:
  • Toggle Working checkbox to mark if you work that day
  • Set Start Time (e.g., 09:00)
  • Set End Time (e.g., 18:00)
Times must be in 24-hour format. The end time must be after the start time.

Save Your Schedule

Click Save Schedule to update your availabilityYour schedule will be immediately available for patient bookings.

Schedule Best Practices

Buffer Time

Leave gaps between appointments for documentation and emergencies

Lunch Breaks

Create non-working periods by setting separate morning and afternoon schedules

Consistent Schedule

Maintain a regular schedule to build patient trust and booking patterns

Update Promptly

Update your schedule as soon as you know about time off or schedule changes
Appointment slots are automatically generated in 30-minute intervals based on your availability. Existing appointments will prevent patients from booking overlapping times.

Navigate to Patients

Click Patients in the main menu

Search for Patient

Use the search bar to find patients by:
  • Full name
  • Document ID
  • Phone number
  • Email

View Patient Record

Click on a patient name to view their complete medical record

Patient Record Contents

Each patient record displays:
  • Personal Information: Demographics, contact details
  • Medical History: Antecedents, allergies, chronic diseases
  • Current Medications: Ongoing treatments
  • Consultation History: All past consultations with dates and doctors
  • Attachments: Uploaded documents, lab results, images
  • Prescriptions: All issued prescriptions

Documenting Consultations

Consultations are the core of patient care documentation in Nguhöe EHR.

Creating a New Consultation

Start Consultation

From a patient record or appointment, click New ConsultationThe system will pre-fill:
  • Patient information
  • Your details as the attending doctor
  • Linked appointment (if started from an appointment)

Record Vital Signs

Enter the patient’s vital signs in the designated section:
  • Weight: In kilograms (0-500 kg)
  • Height: In centimeters (0-300 cm)
  • Temperature: In Celsius (30-45°C)
  • Blood Pressure: Systolic/Diastolic (e.g., 120/80)
  • Heart Rate: Beats per minute (30-220 bpm)
  • Respiratory Rate: Breaths per minute (8-60)
  • Oxygen Saturation: Percentage (50-100%)
All vital signs are optional but recommended for complete records

Document Clinical Information

Complete the clinical documentation:Reason for Visit (Required)
  • Brief description of why patient is seeking care
Clinical Findings (Optional)
  • Physical examination findings
  • Observations and symptoms

  • Primary diagnosis
  • ICD codes if applicable
  • Secondary diagnoses

Add Prescription

If prescribing medication, add prescription items:For each medication:
  • Medication Name: Drug name and strength
  • Dosage: Amount per dose (e.g., “500mg”)
  • Frequency: How often (e.g., “3 times daily”)
  • Duration: How long (e.g., “7 days”)
Click Add Medication to add multiple itemsPrescription Instructions (Optional)
  • Special instructions for the patient
  • Warnings or precautions

Record Payment (Optional)

If collecting payment during consultation:
  • Enter Payment Amount
  • Select Payment Method (cash, card, transfer)
Payments can also be recorded separately by reception staff

Save Consultation

Review all information and click Save ConsultationYou’ll be redirected to the patient’s record where you can:
  • View the completed consultation
  • Download the prescription (if created)
  • Add additional notes

Viewing Past Consultations

Access Patient Record

Navigate to the patient’s profile page

View Consultation History

Scroll to the Consultations sectionEach consultation shows:
  • Date and time
  • Attending doctor
  • Diagnosis
  • Link to full details

Open Full Consultation

Click on any consultation to view complete details including:
  • All vital signs
  • Clinical notes
  • Diagnosis and treatment plan
  • Associated prescription
  • Payment information

You can only view consultations you have personally created. Other doctors’ consultations are not accessible unless you are an administrator.

Creating Prescriptions

Prescriptions are created as part of the consultation process (see above).

View Patient Prescriptions

From a patient’s record, view all issued prescriptions

Preview Prescription

Click Preview to see the formatted prescription documentThe prescription includes:
  • Patient information
  • Doctor details
  • Date of issue
  • All prescribed medications with dosages
  • Special instructions
  • Doctor’s signature line

Download or Print

Click Download to get a PDF versionThe patient can also access their prescriptions through the patient portal.

Prescription Best Practices

  • Always include clear dosage instructions
  • Specify duration of treatment
  • Include warnings for medications with specific requirements
  • Use generic names when possible
  • Double-check for drug interactions

Quick Start Workflow

Typical daily workflow for doctors:

Morning: Review Schedule

  • Log in and check dashboard
  • Review today’s appointments
  • Note any special cases or new patients

Before Each Patient

  • Pull up patient’s medical record
  • Review past consultations
  • Check current medications and allergies

During Consultation

  • Mark appointment as “Confirmed” when patient arrives
  • Conduct examination
  • Take notes on clinical findings

After Consultation

  • Document consultation immediately
  • Record all vital signs and findings
  • Create prescription if needed
  • Mark appointment as “Completed”

End of Day

  • Review incomplete appointments
  • Mark “No Show” for missed appointments
  • Update notes for follow-up patients

Tips for Efficient Documentation

Document Immediately

Complete consultation documentation right after seeing the patient while details are fresh

Use Templates

Develop personal templates for common conditions to speed up documentation

Complete Vital Signs

Record all vital signs for every consultation - they’re valuable for tracking trends

Detailed Diagnoses

Include specific diagnoses rather than symptoms - improves patient care continuity

Troubleshooting

This is by design. Doctors can only access their own consultations for patient privacy. If you need to see another doctor’s notes, ask an administrator.
Check your schedule settings in My Schedule. Ensure you have marked working days and times. Verify you don’t have existing appointments blocking the time slot.
Prescriptions must be created as part of a consultation. Start a new consultation first, then add the prescription in the prescription section.
Ensure values are within acceptable ranges. The system validates vital signs to prevent data entry errors.
