Asset Types

Back Office Assets

The primary asset type for user-assigned equipment:
  • Laptops - Mobile computing devices
  • Desktops - Workstations and PCs
  • Monitors - Displays and screens
  • Printers - Network and local printers
  • Mobile Phones - Smartphones and cellular devices
  • Tablets - iPads and Android tablets
  • Accessories - Keyboards, mice, docking stations, headsets

Asset Status

Back office assets support a comprehensive range of statuses: Active States
  • new - Newly purchased, not yet deployed
  • in use - Actively assigned to a user
  • in use team - Shared team equipment
  • in use test - Test/QA equipment
  • free - Available for assignment
  • reserved - Reserved for specific user or project
Process States
  • in progress - Being prepared for deployment
  • loan - Temporarily loaned to user
  • loan in progress - Loan being processed
  • return in progress - Being returned from user
  • in service - Under repair or maintenance
Inactive States
  • damaged - Broken or non-functional
  • liquidated - Disposed or sold
  • quarantine - Quarantined for security or health reasons
  • taken for disposal - Marked for disposal
Status names can include suffixes like “(mgmt excluded)” or “(update excluded)” to control which assets appear in management systems or receive automated updates.

User Assignment

Assigning Equipment to Users

Assets can be assigned to individual users:
  1. Select Asset - Open the asset detail page
  2. Choose User - Select from the user directory
  3. Set Status - Update to “in use” or appropriate status
  4. Add Notes - Document assignment reason or configuration

Assignment History

Ralph maintains complete assignment history:
  • Previous users and owners
  • Assignment dates and durations
  • Status changes over time
  • Transition reasons and notes

User Equipment View

Users can access “My Equipment” to see:
  • All assets currently assigned to them
  • Asset details and specifications
  • Support contact information
  • Stock-taking confirmation interface

Office Infrastructure

Stock-Taking Process

Streamline physical inventory verification:
  1. Enable Stock-Taking - Check box in warehouse admin
  2. User Confirmation - Users verify their equipment via “My Equipment”
  3. Inventory Tags - System records confirmation with timestamps
  4. Audit Reports - Export verification results
  5. Disable When Complete - Uncheck to end the process

Ralph validates IMEI numbers against both pre-2003 and post-2003 formats to ensure data accuracy.

Loan Workflow

Manage temporary equipment assignments:
  1. Loan Request - Create loan with start/end dates
  2. Status Change - Set to “loan” or “loan in progress”
  3. User Assignment - Assign to borrower
  4. Return Process - Set to “return in progress”

  1. Set Type - Choose “Back Office” as model type
