This guide walks you through creating a new freight quotation from start to finish. The quotation form captures all details needed to price maritime and air freight services.

Before You Begin

Make sure you have:
  • Client information (the client must exist in the system)
  • Origin and destination details
  • Cargo specifications (weight, volume, dimensions)
  • Freight rates or access to pricing tables
Quotations are automatically numbered using the format COT-YYMM-NNNN where YY is the year, MM is the month, and NNNN is a sequential number. The system previews the next available number when you open the form.

Creating a New Quotation

Navigate to the quotations page

From the sidebar, click Cotizaciones. Then click the Nueva Cotización button in the top right.

Fill in basic information

The form opens with default values. Start by updating:Fecha - Quotation date (defaults to today)Hora - Time (defaults to current time)Comercial - Sales representative
  • For Comercial/Operaciones roles: This is pre-filled with your name and cannot be changed
  • For admin roles: Select the sales representative who will own this quotation
The quotation number preview appears at the top showing the next available number (e.g., COT-2603-0045).

Select the operation type

Under the Operación section:Impo / Expo - Select:
  • IMPO - Import operation
  • EXPO - Export operation
Tipo - Service type:
  • MARITIMO - Sea freight
  • AEREO - Air freight
FCL / LCL - Load type:
  • FCL - Full Container Load (20’, 40’, 40’HQ)
  • LCL - Less than Container Load (consolidated)
Cond. Venta - Sale condition:
  • FOB - Free on Board
  • FCA - Free Carrier
  • EXW - Ex Works
  • CIF - Cost Insurance Freight
  • CFR - Cost and Freight
  • DDP - Delivered Duty Paid

Select client and route

Cliente FFWW - Select the freight forwarder or direct client
  • Start typing to search by company name
  • Click the magnifying glass to create a new client if needed
When you select a client with an existing commercial agreement, the system automatically loads agreement terms and displays them in the “Gastos en Depósito Fiscal” section below.
Cliente Final (Optional) - Select the end customer if different from the FFWW clientOrigen - Port or city of originVía - Destination port or city

Enter cargo details

In the Carga section:KGS - Total weight in kilograms (required)CBM Facturables - Billable cubic meters (optional - for invoicing reference)CBM Reales - Actual cubic meters (required)
When you enter CBM Reales for an LCL shipment, the system automatically suggests a freight rate from the base port tariff table if available. You’ll see a hint below the Flete Neto field showing the suggested rate.
Detalle - Cargo description (e.g., “Auto parts - cartons”)IMO - Dangerous goods:
  • NO - General cargo
  • SI - IMO/Dangerous goods
Apilable - Stackable:
  • SI - Can be stacked
  • NO - Cannot be stacked
Domicilio de Retiro - Pickup address for FCA/EXW shipments (optional)

Enter pricing - Origin costs

In the Gastos de Origen section:Moneda - Select currency:
  • USD - US Dollars
  • EUR - Euros
  • ARS - Argentine Pesos
Gastos Origen Neto - Net origin costs (required for FCA/EXW sale conditions)Gastos Origen Venta - Sales price for origin costs
Origin costs are only required when the sale condition is FCA or EXW. For FOB and other conditions, these fields are optional.

Enter pricing - Freight costs

In the Flete section:Flete Neto - Net freight cost (required)
  • For LCL shipments with a Via selected, the system suggests a rate from the tariff table
  • You can override the suggestion with your actual negotiated rate
Tipo FN - Net freight type:
  • W/M - Weight or Measurement (whichever is greater)
  • Por Embarque - Flat rate per shipment
  • Por KG - Rate per kilogram
  • Por CBM - Rate per cubic meter
  • Por Contenedor - Rate per container
Flete Venta - Sales price for freight (optional)Tipo FV - Sales freight type (same options as Tipo FN)The system automatically calculates Ganancia (Profit) as:
Profit = (Flete Venta - Flete Neto) + (Gastos Origen Venta - Gastos Origen Neto)

Set quotation status

Cerrada - Quotation status:
  • ENCOTIZACION - In quotation (default for new quotes)
  • PEND - Pending client response
  • SI - Won/Confirmed
  • NO - Lost
  • PEND A/C - Pending approval
When you change status to SI, NO, or PEND A/C, the Fecha de Cierre (close date) automatically populates with today’s date. You can modify it if needed.Orden de Venta - Sales order number (optional - fill when status is SI)

Add additional information

Review commercial agreement

If the selected client has a commercial agreement, review the Gastos en Depósito Fiscal section showing:
  • Deconsolidation rates (W/M, min, max)
  • AGP per ton
  • Document handling
  • Log fee, Doc fee, Freight certificate
  • Insurance percentage and minimum
  • BL emission
  • Payment terms
  • Other agreement terms
These values are read-only in the quotation form. To modify them, go to Maestros → Clientes and edit the client’s commercial agreement.

Save the quotation

Click the Guardar button in the sticky toolbar at the bottom of the form.The system validates required fields:
  • If any required field is empty, you’ll see an error message and the form will scroll to the first invalid field
  • If validation passes, the quotation is created and you’re redirected to the quotations list
The new quotation appears with its assigned quote number (e.g., COT-2603-0045).

Auto-Suggestions

Freight Rate Suggestion (LCL Only)

When creating an LCL quotation, the system suggests freight rates based on:
  1. Selected Vía (destination port)
  2. CBM Reales (actual volume)
Rate selection logic:
  • 0-3 CBM: Uses rate_0_3_cbm
  • 3-5 CBM: Uses rate_3_5_cbm
  • 5-10 CBM: Uses rate_5_10_cbm
  • 10+ CBM: Uses rate_10_15_cbm
The suggested rate appears:
  • New quotations: Auto-fills the Flete Neto field
  • Editing quotations: Shows as a hint below the field without overwriting your existing value

Sales Representative Auto-Assignment

For admin users creating a quotation:
  • When you select a Cliente FFWW that has an assigned sales representative
  • The Comercial field automatically populates with that representative
  • You can change it if needed

Close Date Auto-Fill

When you change the Cerrada status to SI, NO, or PEND A/C:
  • Fecha de Cierre automatically fills with today’s date
  • You can manually adjust the date if the actual close date was different
When you change back to ENCOTIZACION or PEND:
  • Fecha de Cierre clears to null

Creating a Client During Quotation

If you need to quote for a new client that doesn’t exist yet:

Click create client

In the Cliente FFWW combobox, click the + Crear cliente option at the bottom.

Form is saved to session

Your current quotation data is automatically saved to browser session storage.

Navigate to client form

You’re redirected to Maestros → Clientes with the new client dialog open.

Create the client

Fill in the client details and click Crear registro.

Return to quotation

You’re automatically returned to the quotation form with:
  • All your previously entered data restored
  • The newly created client pre-selected in Cliente FFWW
This flow only works when creating a NEW quotation. When editing an existing quotation, use the back button to save changes first, then create the client separately.

Tips for Faster Quotation Entry

Use keyboard shortcuts: Press Tab to move between fields quickly instead of clicking.
Set up pricing tables: Maintain up-to-date pricing in Maestros → Pricing Netos to get automatic rate suggestions for LCL shipments.
Create complete commercial agreements: When clients have detailed commercial agreements, you can reference them while completing the quotation without switching screens.
Duplicate similar quotes: Use the duplicate feature (covered in the next guide) to copy a previous quotation and modify only the differences.

Next Steps

After creating a quotation:
  • Preview and send to client: Use the email preview feature to generate a PDF and send it
  • Track status: Update the Cerrada field as the quotation progresses through your sales pipeline
  • Duplicate for similar shipments: Create variations quickly using the duplicate feature
  • View analytics: Check your dashboard to see performance metrics
