Overview

As a SmartShelf Worker, your primary responsibility is to complete tasks assigned by managers and administrators. This guide covers how to view, manage, and complete your assigned tasks efficiently.

Worker Capabilities

According to the permission matrix, workers have the following privileges:

Workers have focused access to their assigned tasks and read-only inventory viewing. You cannot create or modify inventory items or access analytics.

Dashboard Overview

Your worker dashboard provides a clear view of your task workload:

Task Statistics

Pending

Tasks assigned to you that haven’t been started yet

In Progress

Tasks you’re currently working on

Completed

Tasks you’ve finished
Each stat card displays:
  • The count of tasks in that status
  • A color-coded icon for quick visual reference:
    • Gray for Pending
    • Yellow for In Progress
    • Green for Completed

Managing Your Tasks

Viewing Your Task List

The “My Tasks” section shows all tasks assigned to you with:
  • Task description (what needs to be done)
  • Current status badge
  • Action buttons based on status

Task Status Workflow

Tasks progress through three states:

Pending

Task has been assigned but not started. Click “Start” to begin.
2

In Progress

You’re actively working on this task. Click “Complete” when finished.
3

Completed

Task is done. No further action needed.

Filtering Tasks

Use the filter buttons to view specific task types:
  • All: Shows all your tasks regardless of status
  • Pending: Only tasks you haven’t started
  • In Progress: Only tasks you’re currently working on
Focus on “Pending” tasks at the start of your shift and “In Progress” tasks to ensure you complete what you’ve started.

Starting a New Task

Review Pending Tasks

Check your “Pending” task list when you begin your shift.

Read Task Description

Carefully read what needs to be done. If unclear, ask your manager.

Click 'Start' Button

This changes the status to “In Progress” and notifies managers you’re working on it.

Perform the Task

Complete the assigned work according to the description.

Finish the Work

Ensure all requirements in the task description are met.

Verify Completion

Double-check that everything is done correctly.

Click 'Complete' Button

This marks the task as “Completed” and removes it from your active workload.

Move to Next Task

The task will show with a green “Completed” badge. Proceed to your next pending task.

Common Task Types

You may encounter various task types. Here’s how to handle each:

Inventory Inspection Tasks

Example: 'Inspect expired items in dairy section'

Navigate to Inventory Page

View the inventory list (read-only access).

Filter by Category

Use filters to show only the specified category (e.g., Dairy).

Check Expiry Dates

Physically verify items with approaching or past expiry dates.

Report Findings

Note any discrepancies and inform your manager.

Stock Replenishment Tasks

Example: 'Restock Fresh Milk - current level: 25 units'

Locate Product

Find the specified product in the warehouse.

Check Current Stock

Verify the quantity matches the task description.

Replenish Stock

Add new inventory following FEFO principles (oldest expiry dates first).

Notify Manager

Inform manager to update inventory quantities in the system.

Quality Control Tasks

Example: 'Check quality of Chicken Breast batch ME-001'

Locate Batch

Find the product by SKU (Stock Keeping Unit).

Inspect Quality

Check for damage, spoilage, or temperature issues.

Document Issues

Note any problems found during inspection.

Report to Manager

Immediately inform manager of any quality concerns.

Inventory Audit Tasks

Example: 'Verify physical count for Bakery items'

Print or View Inventory List

Get the current system count for the category.

Physically Count Items

Manually count each item in the warehouse.

Compare Counts

Note any discrepancies between system and physical counts.

Report Discrepancies

Inform manager who will update the system.

Viewing Inventory (Read-Only)

While you cannot edit inventory, you have read access to:
  • Product Name: What the item is
  • Category: Product category (Dairy, Bakery, etc.)
  • SKU: Stock Keeping Unit code
  • Quantity: Current stock level
  • Expiry Date: When the item expires
  • Supplier: Where it came from

Using Inventory Data for Tasks

When a task mentions a SKU (e.g., “DA-001”), use the inventory search to locate the product details and physical location.
View expiry dates to prioritize which items to process first during inspection tasks.
Compare system quantities with physical counts during audit tasks.
Use category filters to narrow down items when working on category-specific tasks.

Task Completion Best Practices

Start Tasks Promptly

Update status to “In Progress” as soon as you begin work so managers know you’re on it.

Complete What You Start

Avoid leaving tasks in “In Progress” for extended periods. Finish before starting new ones.

Ask When Unclear

If a task description is confusing, ask your manager for clarification before starting.

Report Issues Immediately

If you find problems during task execution, notify your manager right away.

Ensure all completed work is marked as “Completed”.

Check how many pending tasks remain for next shift.

Inform manager of any incomplete work or problems encountered.

Tips for Efficiency

If you have multiple tasks in the same category or location, complete them together to save time.
Focus on “Pending” filter to see what needs attention, then switch to “In Progress” to track active work.
Take a moment to fully read each task before starting. This prevents mistakes and rework.
If a task will take longer than expected, let your manager know so they can adjust priorities.

Troubleshooting

Solution:
  1. Check the inventory page using search or SKU filter
  2. If not found in system, ask manager if product name/SKU is correct
  3. Manager may need to add the item to inventory first

  1. Do NOT guess - ask your manager for clarification
  2. Do not start the task until you understand what’s required
  3. Managers prefer questions over incorrect work

  1. Inform your manager immediately
  2. They can reset the task status if needed
  3. Only you and managers can update task status
Solution:
  1. Check that you’re on the “My Tasks” page (not “All Tasks”)
  2. Try removing filters (click “All” filter button)
  3. If still empty, you have no assigned tasks - check with manager

  1. Check your internet connection
  2. Try refreshing the page (F5 or reload button)
  3. If problem persists, contact your manager or IT support

Understanding Your Role

As a worker, you are the eyes and hands on the warehouse floor. Your accurate task completion and timely reporting help managers maintain efficient operations and inventory accuracy.

Why Task Status Updates Matter

  • “Pending”: Tells managers the task hasn’t been addressed yet
  • “In Progress”: Shows managers you’re working on it, helps them track workflow
  • “Completed”: Confirms the work is done, allows managers to verify and close the task
Accurate status updates help the entire team coordinate effectively.
