Overview

Notra workspaces support team collaboration with role-based access control. Invite team members, assign roles, and manage permissions to control who can access and modify your content and settings.

Inviting Team Members

Add new members to your workspace through email invitations.

Navigate to Members page

Go to Settings > Members in your workspace.

Send invitation

Click Invite Member and enter the team member’s email address.

Select role

Choose the appropriate role for the new member (Member or Admin).

Send invite

Click Send Invitation. The recipient will receive an email with a link to join your workspace.
Invitations are sent to the email address provided. Recipients must create a Notra account or log in with an existing account to accept the invitation.

Team Member Limits

The number of team members you can invite depends on your plan:
  • Free Plan: Limited team members
  • Pro Plan: More team members included
If you reach your plan limit, you’ll need to upgrade to invite additional members.
When you reach your team member limit, you’ll see a prompt to upgrade your plan. Click View plans to compare options.

Roles and Permissions

Notra uses a role-based permission system with three levels of access:

Owner

The workspace creator and primary administrator. Permissions:
  • Full access to all workspace features
  • Manage organization settings (name, slug, logo)
  • Add and remove team members
  • Assign and modify roles
  • Delete the workspace
  • Manage billing and subscriptions
  • Configure integrations and API keys
  • Create and manage content
  • Set up automations and workflows
Only the owner can delete the workspace. Ownership cannot currently be transferred.

Admin

Administrators have broad access to manage workspace operations. Permissions:
  • Manage team members (invite, remove, change roles)
  • Configure workspace settings
  • Manage brand identity
  • Create and manage content
  • Set up automations and workflows
  • Configure integrations
  • Manage API keys
  • View usage and analytics
Cannot:
  • Delete the workspace
  • Manage billing (owner-only)
  • Remove the workspace owner

Member

Standard team members with access to core content features. Permissions:
  • Create and edit content
  • Use AI tools for content generation
  • View content and automations
  • Access workspace integrations
Cannot:
  • Invite or remove team members
  • Change workspace settings
  • Modify brand identity
  • Manage billing
  • Configure integrations
  • Delete content created by others (admin approval may be required)

Managing Team Members

View and manage your team from the Settings > Members page.

Viewing Members

The Members page displays:
  • User name and profile picture
  • Email address
  • Current role
  • Member actions
The member list shows all active team members with their assigned roles.

Changing Member Roles

To update a team member’s role:
  1. Navigate to Settings > Members
  2. Find the member in the list
  3. Click the action menu (three dots) next to their name
  4. Select Change Role
  5. Choose the new role (Member or Admin)
  6. Confirm the change
Role changes take effect immediately. The team member will have access to new permissions right away.

Removing Team Members

To remove a member from your workspace:
  1. Navigate to Settings > Members
  2. Find the member in the list
  3. Click the action menu next to their name
  4. Select Remove Member
  5. Confirm the removal
Removing a member revokes their access immediately. They will no longer be able to access the workspace or its content.

Pending Invitations

Track and manage outstanding invitations from the Members page.

Viewing Pending Invitations

  1. Go to Settings > Members
  2. Click the Pending tab
You’ll see:
  • Invited email address
  • Role assigned
  • Invitation status
  • Date sent

Managing Invitations

Resend an invitation:
  1. Find the invitation in the Pending list
  2. Click Resend
  3. A new invitation email will be sent
Cancel an invitation:
  1. Find the invitation in the Pending list
  2. Click the action menu
  3. Select Cancel Invitation
  4. The invitation link will be invalidated
Invitation links expire after a certain period. If a team member hasn’t accepted, you can resend the invitation.

Accepting Invitations

When you receive a workspace invitation:

Check your email

Look for an invitation email from Notra with the subject “You’ve been invited to join [Organization Name]”

Click the invitation link

Open the email and click Accept Invitation

Create account or log in

If you don’t have a Notra account, you’ll be prompted to create one. Existing users can log in.

Access the workspace

After accepting, you’ll be added to the workspace with the assigned role and can start collaborating.

Team Collaboration Best Practices

Assign roles appropriately - Give team members the minimum permissions they need. Use the Member role for content creators and Admin for team leads who need to manage settings.
Review team members regularly - Periodically audit your team list and remove members who no longer need access to maintain security.
Use descriptive email invitations - When inviting members, ensure they understand which workspace they’re joining, especially if your organization has multiple workspaces.
Document your team structure - For larger teams, maintain a record of who has which roles and why, making it easier to manage permissions as your team grows.

Multiple Organizations

Team members can belong to multiple Notra workspaces with different roles in each.

Switching Organizations

If you’re a member of multiple workspaces:
  1. Click your current organization name in the sidebar
  2. Select a different organization from the dropdown
  3. Your view will switch to the selected workspace

Managing Your Memberships

View all workspaces you belong to:
  1. Go to Settings > Account
  2. Scroll to the Organizations section
  3. See all workspaces where you’re a member
Actions available:
  • View - Switch to that workspace
  • Leave - Remove yourself from a workspace you don’t own
If you leave a workspace, you’ll need to be re-invited by an admin to regain access.
