Overview

The Production Batch Log (Bitácora de Producción) allows you to register quality parameters for finished products. Each batch is automatically assigned a unique lot number based on date, branch, and product.
Only users with roles Preparador, Admin, Coordinador, or Gerente de Calidad can access this module. Other roles (Gerente de Sucursal, Mostrador, Cajera, Vendedor, Director de Compras) do not have permission.

Accessing the Module

  1. Log in to Quality Hub GINEZ
  2. Navigate to Bitácora de Producción from the main menu
  3. The system will display product category selection

Step-by-Step Workflow

Step 1: Select Product Category

The system organizes products into family groups:

    Click on a category group to expand and view available product types. Select the specific category that matches your production.

    Step 2: Fill General Information

    Once you select a category, the registration form appears with the following required fields:

    Select your production branch from the dropdown. This field may be pre-filled based on your user profile.

    Your full name as the person preparing the batch. This field is automatically filled from your user profile.

    Select the production date. Defaults to today’s date.

    Select the specific product code from the dropdown. Only products within the selected category are shown.

    Step 3: Record Quality Parameters

    The system displays measurement fields based on product applicability. Not all parameters apply to every product.

  • Temp - M1 (°C): Temperature at first measurement
  • % Sólidos - M2: Second solids measurement

    Use the digital refractometer according to procedure IO-DOP-OP-002. The system will calculate the average and compare it against specification limits.

  • CONFORME (Compliant): Average falls between specification limits (red lines)
  • SEMI-CONFORME (Tolerance): Average falls between specification and tolerance limits (red and yellow lines, ±5%)
  • NO CONFORME (Non-Compliant): Average falls outside tolerance limits

    Step 4: Submit and Generate Lot Number

    Click “Finalizar y Generar Lote” (Finish and Generate Batch) to save the record.

  • Validate all required fields based on product applicability
  • Generate a unique lot number in format: YYMMDD-SUC-PROD###-##
    • YYMMDD: Manufacturing date
    • SUC: Branch acronym
    • PROD###: Product code + batch size
    • ##: Sequential number for the day
  • Evaluate quality status based on measurements
  • Save the record to the database

    You will receive one of these notifications:

    ✅ Producto Conforme: All parameters meet specifications. Batch is registered successfully.

    ⚠️ Producto en Tolerancia (Retener): Some parameters fall within tolerance limits. Batch is releasable with caution.

    ⚠️ Producto No Conforme: One or more parameters fail specifications. Batch requires immediate review. You’ll see a link to view details in the Quality Control module.

    Validation Rules

    Required Field Validation

    The system enforces these validation rules:
    • Solids measurements: If the product requires solids measurement, all four fields (M1, T1, M2, T2) must be filled
    • pH measurement: If the product requires pH, this field must be filled
    • General fields: Sucursal, Preparador, Fecha de Elaboración, Código del Producto, and Tamaño de Lote are always required

    pH Input Validation

    • Only accepts numbers from 0 to 14
    • Allows decimal values (e.g., 7.5)
    • Rejects values outside the valid range

    Product Applicability

    Not all quality parameters apply to all products. The system automatically enables/disables fields based on product selection:
    • Some products only require pH measurement
    • Some products only require solids measurement
    • Some products require both
    • Some products may not require either
    Disabled fields appear grayed out and cannot be edited. This is normal and indicates the parameter is not applicable for the selected product.

    Common Mistakes to Avoid

    Incomplete Measurements: If you fill M1 but forget M2 (or vice versa), the system will reject the submission. Both measurements must be complete.
    Wrong Product Code: Selecting the wrong product code will apply incorrect specification limits, causing false conformity results. Double-check before submitting.
    Incorrect Batch Size Units: Remember that some product families use Pieces instead of Liters. Check the label on the Tamaño de Lote field.

    After Submission

    After successfully creating a batch:
    1. The form resets to allow entering a new batch
    2. You remain on the same category for quick consecutive entries
    3. To change categories, click “Cambiar Categoría” button
    4. View your submitted batches in Control de Calidad > Historial de Mediciones

    Tips for Efficient Data Entry

    • Your Sucursal and Preparador fields auto-fill from your profile - verify they’re correct
    • Use the Flexible batch size option for non-standard production runs
    • Record measurements immediately after production to ensure accuracy
    • If a batch is marked as No Conforme, document the issue in the Observaciones field for traceability
