Overview

Your user profile controls how you appear in the system and affects data filtering in some modules. You can update personal information, change your password, and manage your avatar.

Accessing Profile Settings

  • Click on Configuración in the main navigation menu
  • The system opens to the Mi Perfil (My Profile) tab by default
  • Your profile card displays at the top with your avatar and basic information
  • Profile Overview Card

    The profile header displays:
    • Avatar: Profile picture (or initials if no picture uploaded)
    • Full Name: As registered in the system
    • Email: Your login email address
    • Role Badge: Your assigned role (e.g., Preparador, Admin, Gerente de Calidad)
    • Branch Badge: Your assigned branch (if applicable)
    • Admin Badge: Red “Administrador” badge if you have admin privileges
    Your role and admin status can only be changed by system administrators. These settings control which modules and features you can access.

    Updating Your Profile Information

  • A dialog window opens with your current information pre-filled

  • Appears on batch records as “Preparador”

    Email Changes: If you update your email address, the system sends a confirmation email to the new address. You must click the verification link to complete the change. Until verified, you must log in using your old email.

    Password Field: Only administrators can change passwords through this interface. Regular users should use the “Forgot Password” link on the login page to reset passwords.

  • The system processes the update
  • You’ll see a confirmation message

  • Managing Your Avatar

    Upload Profile Picture

  • On your profile page, hover over your current avatar
  • An upload button (camera icon) appears
  • Click to open the file selector
  • Choose an image file (JPG, PNG, or GIF)
  • The system uploads and displays your new avatar

    Image Requirements:
    • Recommended size: 200x200 pixels or larger
    • Square aspect ratio works best
    • Maximum file size: 2MB
    • Formats: JPG, PNG, GIF

  • Click the remove button (X icon)
  • The system removes your picture

  • Understanding Profile Fields

    Information Personal (Personal Information) Card

    This card displays read-only view of your core details:
    • Nombre Completo: Your full name as it appears on records
    • Correo Electrónico: Login email address
    • Sucursal: Assigned branch location
    These fields populate automatically when you register batches in the Bitácora module.

    Rol y Permisos (Role and Permissions) Card

    This card shows your access level: Rol Actual (Current Role)
    • Your assigned system role
    • Determines module access
    • Set by administrators
    Available Roles:
    • Administrador (Admin): Full system access
    • Preparador: Can create batches and view own data
    • Gerente de Sucursal (Branch Manager): Can view branch data and reports
    • Gerente de Calidad (Quality Manager): Can view all quality data and reports
    • Coordinador: Full report access
    • Director de Operaciones (Operations Director): Limited access
    • Mostrador (Counter): No production access
    • Cajera (Cashier): No production access
    • Vendedor (Sales): No production access
    • Director de Compras (Purchasing Director): No production access
    Nivel de Acceso (Access Level)
    • Administrador del Sistema: Full access to all modules including user management
    • Usuario Estándar: Access based on role assignment
    Permission Summary: Your permissions are automatically assigned based on role. You cannot change your own permissions - contact an administrator if you need different access.

    Password Management

    For Admin Users

    1. Click Editar on your profile
    2. Locate the Contraseña field
    3. Enter your new password
    4. Leave blank if you don’t want to change it
    5. Click Guardar
    6. You’ll receive a confirmation message
    7. Use the new password on next login

    For Regular Users

    1. Log out of Quality Hub GINEZ
    2. On the login page, click “¿Olvidaste tu contraseña?” (Forgot password?)
    3. Enter your registered email address
    4. Click Send Recovery Email
    5. Check your inbox for the password reset link
    6. Click the link and enter your new password
    7. Log in with the new password
    Reset Email Not Arriving?
    • Check your spam/junk folder
    • Verify you entered the correct email address
    • Wait 5-10 minutes for email delivery
    • Contact your system administrator if still not received

    Email Verification Process

    When you change your email address:
    1. Submit: You update your email in profile settings and click Save
    2. Verification Sent: System sends a verification email to the NEW address
    3. Confirm: Click the verification link in the email
    4. Activated: Your new email is now active
    5. Login: Use the NEW email for future logins
    During Verification Period: You must continue using your OLD email address to log in until you click the verification link.

    Data Privacy

    What Information Is Stored

    Your profile contains:
    • Full name
    • Email address
    • Department/area
    • Position/title
    • Branch assignment
    • Role and permissions
    • Avatar image (if uploaded)
    • Creation and update timestamps

    Who Can See Your Profile

    All Users Can See:
    • Your name (on batches you created)
    • Your branch (on batch records)
    Administrators Can See:
    • All profile fields
    • Your complete user record
    • Your activity in audit logs
    You Can See:
    • Your complete profile
    • Your own batch records
    • Your own activity logs

    Profile Deletion

    Only administrators can delete user profiles. When deleted:
    • Your login access is revoked
    • Your profile information is removed
    • Historical batch records are preserved for traceability
    • Batch records show your name as it was at time of creation
    Data Retention: Even if your profile is deleted, production records you created remain in the system for quality traceability and regulatory compliance.

    Common Profile Tasks

    Update Your Branch Assignment

    If you transfer to a different branch:
    1. Contact your system administrator
    2. Request branch reassignment
    3. Admin updates your Sucursal field
    4. Your data filtering automatically updates
    5. Future batches are associated with new branch
    Batch records you created at the previous branch remain associated with that branch for historical accuracy.

    Correct a Misspelled Name

    1. Click Editar on your profile
    2. Update Nombre Completo field
    3. Click Guardar
    4. Future batches use the corrected name
    5. Historical batches retain the original name

    Request Additional Permissions

    If you need access to restricted modules:
    1. Note which specific features you need access to
    2. Contact your administrator or quality manager
    3. Provide business justification
    4. Admin reviews and updates your role if approved
    5. Log out and log back in for changes to take effect

    Troubleshooting

    Can’t Edit Profile Fields

    Cause: Some fields are locked based on your role. Solution: Contact an administrator to request changes to locked fields.

    Avatar Won’t Upload

    Causes:
    • File too large (>2MB)
    • Unsupported format
    • Network issues
    Solutions:
    • Resize image to 500x500px or smaller
    • Convert to JPG or PNG
    • Try again with stable internet connection
    Cause: Verification links expire after 24 hours. Solution:
    1. Return to profile settings
    2. Re-save your email change
    3. Check for new verification email
    4. Click link within 24 hours

    Changes Not Appearing After Save

    Cause: Browser cache showing old data. Solution:
    • Hard refresh: Press Ctrl+Shift+R (Windows) or Cmd+Shift+R (Mac)
    • Or log out and log back in

    Admin-Only Features

    If you have administrator privileges, you’ll see additional tabs:

    Usuarios (Users) Tab

    Manage all system users:
    • View all registered users
    • Edit user roles and permissions
    • Assign branches
    • Delete user accounts

    Best Practices

    Keep Information Current

    • Update your profile when you change positions
    • Verify your branch assignment is correct
    • Maintain an accurate email for system notifications

    Profile Picture Guidelines

    • Use a professional photo
    • Ensure good lighting and clear visibility
    • Square crop works best
    • Avoid logos or graphics

    Password Security

    • Use a strong password (mix of letters, numbers, symbols)
    • Don’t share your password with colleagues
    • Change password if you suspect it’s compromised
    • Don’t use the same password across multiple systems
