Exporting Your Data

Finanzapp allows you to export your financial data in multiple formats for analysis, record-keeping, tax preparation, or backup purposes.

Available Export Formats

Choose the format that best suits your needs:

CSV

Comma-separated values, perfect for spreadsheets and data analysis tools

PDF

Professional reports with charts and formatting, ideal for printing and sharing

Excel

Native Excel format with formatting and formulas, ready for advanced analysis

Exporting Transactions

Export your transaction history in your preferred format.

Navigate to Transactions

Go to the Transactions page from the main menu.

Filter Your Data (Optional)

Before exporting, you can filter transactions to export only specific data:Filter Options:
  • Date range (this month, this year, custom range)
  • Transaction type (income, expenses, or both)
  • Categories (select specific categories)
  • Account (if you have multiple accounts)
  • Amount range (minimum and maximum)
Filtering before export ensures you only download the data you need, making files smaller and more focused.

Click Export Button

Click the Export button in the top-right corner of the transactions page.A dropdown menu appears with format options.

Select Export Format

Choose your preferred format:

CSV Export

  • Best for importing into Excel, Google Sheets, or other software
  • Includes all transaction fields in plain text
  • Smallest file size
  • Easy to process programmatically

PDF Export

  • Professional-looking report
  • Includes charts and summaries
  • Ready for printing or emailing
  • Cannot be edited

Excel Export

  • Native .xlsx format
  • Includes formatting and formulas
  • Organized in sheets by category
  • Pivot tables for analysis

Download File

The export process begins:
  1. System processes your request
  2. File is generated (may take a few seconds for large datasets)
  3. Download automatically starts
  4. Save the file to your computer
You’ll see a notification: “Export completed successfully”

Transaction Export Fields

Exported transaction files include:
  • Date: Transaction date
  • Description: Transaction description or notes
  • Amount: Transaction amount
  • Type: Income or Expense
  • Category: Assigned category
  • Account: Account name
  • Transaction ID: Unique identifier
  • Created Date: When transaction was added to Finanzapp
  • Modified Date: Last edit date (if applicable)
  • Tags: Any assigned tags
  • Notes: Additional notes or comments
  • Running Balance: Cumulative total
  • Month: Extracted month name
  • Year: Extracted year
  • Weekday: Day of week
  • Category Total: Sum by category

Exporting Dashboard Data

Export comprehensive financial reports with visualizations.

Access Dashboard Export

From your dashboard, click the Export icon in the top-right corner.

Choose Report Type

Select what to include in your export:
  • Summary Report: High-level overview with key metrics
  • Detailed Report: Complete breakdown of all data
  • Charts Only: Just the visualizations
  • Full Dashboard: Everything visible on your dashboard

Select Time Period

Choose the time period for the report:
  • Current week
  • Current month
  • Current quarter
  • Current year
  • Custom date range

Choose Format

PDF (Recommended for dashboard exports):
  • Preserves charts and formatting
  • Professional presentation
  • Ready to share or print
Excel:
  • Includes raw data and charts
  • Editable and customizable
  • Great for further analysis

Generate and Download

Click Generate Report.The system creates your report with:
  • Cover page with date range
  • Summary statistics
  • Income and expense charts (from index.php:154-189)
  • Category breakdowns
  • Budget performance
  • Goal progress

Exporting Goals Data

Export information about your financial goals and progress.

Navigate to Goals

Go to the Goals page from the main menu.

Select Export Option

Click Export Goals button.

Choose What to Export

Select:
  • All Goals: Every goal (active, completed, archived)
  • Active Goals Only: Currently in-progress goals
  • Completed Goals: Achieved goals history
  • Specific Goals: Select individual goals to export

Select Format

CSV: List of goals with progress dataPDF: Visual goal progress report with chartsExcel: Goals with contribution history and projections

Download

Your goals export is generated and downloaded.

Scheduled Exports

Automate regular data exports for backups or reporting.

Access Export Scheduler

Go to Settings > Data Export > Scheduled Exports.

Create New Schedule

Click + New Scheduled Export.

Configure Export Settings

Set up your automated export:What to Export:
  • Transactions
  • Dashboard summary
  • Goals
  • All data
Format: CSV, PDF, or ExcelFrequency:
  • Daily
  • Weekly (choose day)
  • Monthly (choose date)
  • Quarterly
Filters:
  • Date range (last 30 days, last month, etc.)
  • Categories to include
  • Minimum/maximum amounts

Choose Delivery Method

Email: Receive export file via email
  • Enter email address
  • Optional: Add multiple recipients
Cloud Storage: Save directly to cloud
  • Connect Google Drive, Dropbox, or OneDrive
  • Choose destination folder
Download: Make available in-app for manual download

Activate Schedule

Click Create Schedule.Your exports will be generated and delivered automatically according to your settings.
Backup Strategy: Consider scheduling a monthly full data export as a backup. This ensures you always have a recent copy of your financial data.

Select Transactions

On the transactions page, check the boxes next to transactions you want to export.Or use Select All to choose all visible transactions.

Open Bulk Actions

Click the Bulk Actions dropdown menu.

Choose Export Selected

Select Export Selected.

Pick Format and Download

Choose CSV, PDF, or Excel and download your selected transactions.
Selection Limits: Bulk exports are limited to 10,000 transactions at a time. For larger exports, use filters and multiple exports.

Customize how your exports are generated.

Default Export Settings

Access Export Preferences

Go to Settings > Data Export > Preferences.

Set Default Format

Choose your preferred default export format:
  • CSV
  • PDF
  • Excel
This will be pre-selected when you click export buttons.

Save Preferences

Click Save Settings.Your preferences are applied to all future exports.

Advanced Export Options

Password-Protect Exports:
  • Enable password protection for sensitive exports
  • Set a password or generate a random one
  • Applies to PDF and Excel formats
Use Case: Extra security when emailing financial data
ZIP Large Exports:
  • Automatically compress exports over a certain size
  • Reduces download time
  • Useful for year-end exports with lots of transactions
Choose Which Fields to Export:

Export Limits and Considerations

Export Limits:
  • Transaction Limit: Maximum 10,000 transactions per export
  • File Size: PDF exports limited to 50MB
  • Processing Time: Large exports may take 1-2 minutes to generate
  • Frequency: Scheduled exports run maximum once per day
Large Dataset Tips:If you need to export more than 10,000 transactions:
  1. Split by date range (export year by year)
  2. Split by account or category
  3. Use multiple exports and combine manually
  4. Contact support for assistance with very large exports

Data Privacy and Security

Export Security

  • Exports are generated server-side
  • Files transferred via HTTPS
  • No data stored in temporary locations
  • Files automatically deleted after download
  • Only you can export your data
  • Session must be active
  • Re-authentication required for sensitive exports
  • All exports are logged for security
  • View export history in account settings
  • See what was exported and when
Data Ownership: You own all your financial data. Finanzapp provides export features to ensure you always have access to your information.

Troubleshooting Exports

Solutions:
  • Check your internet connection
  • Try a smaller date range
  • Clear browser cache and try again
  • Disable browser extensions that might block downloads
  • Try a different browser
Solutions:
  • Ensure you have appropriate software (Excel for .xlsx, PDF reader for .pdf)
  • Try opening with different software
  • Re-download the file (it may have been corrupted)
  • Check if the file was fully downloaded

  • Verify your filters before exporting
  • Check date range selection
  • Ensure you selected the right account or category
  • Review the data in-app to confirm it matches
