Task Status Flow

Tasks move through a clear, three-stage lifecycle:
1

Pending

Pending tasks are planned but not yet started. They appear in the default state, ready for team members to begin work.Visual indicators:
  • Lighter color shading
  • No progress indicators
  • Full task bar visible on timeline
2

Work In Progress (WIP)

WIP tasks are actively being worked on. Click a pending task once to mark it as in progress.Visual indicators:
  • Distinct WIP marking or pattern
  • Partial progress visualization
  • Enhanced visibility in team member’s color
3

Completed

Completed tasks are finished and verified. Click a WIP task again to mark it complete.Visual indicators:
  • Checkmark or completion badge
  • Muted or strikethrough styling
  • Full progress bar filled
The status flow is designed to match agile workflows: Pending → WIP → Completed. This simple progression keeps projects moving forward without status confusion.

Real-World Applications

Agile Development Teams

“We manage sprints of 2 weeks with precision. As developers move stories from ‘To Do’ to ‘In Progress’ to ‘Done’, they just click the tasks in our Gantt chart. The visual feedback keeps the whole team aligned during daily stand-ups.”
Workflow:
  1. Sprint starts with all tasks in Pending state
  2. Developers claim tasks by marking them WIP (click once)
  3. Upon completion, mark as Complete (click again)
  4. Scrum master reviews completed (green) vs. pending (gray) at sprint end

Event Planning

“For our event production schedules, we track hundreds of tasks. The click-to-update interface means our coordinators can mark tasks complete from mobile devices right from the venue floor.”
Workflow:
  1. Pre-event tasks planned in date/hour mode
  2. On event day, coordinators mark tasks WIP as they begin
  3. Completed tasks marked in real-time
  4. Producer sees real-time progress dashboard

Academic Projects

“My thesis has dozens of milestones. Being able to click tasks as I complete research phases, writing blocks, and review cycles gives me instant gratification and clear progress visibility.”
Workflow:
  1. Semester mapped out with all thesis milestones
  2. Daily writing sessions marked as completed after each session
  3. Visual progress motivates continued work
  4. Advisor meetings show clear completion timeline

Integration with Other Features

Task Status + Team Colors

Combine status tracking with team member colors:
  • Pending tasks: Show in team member’s color with light shading
  • WIP tasks: Full team member color with progress indicator
  • Completed tasks: Team member color with completion badge
This combination provides two dimensions of information:
  • Who is responsible (color)
  • What the current status is (pending/WIP/completed)

Task Status + Timeline Modes

Status tracking works seamlessly across timeline modes:
  • Date mode: Track task completion over days and weeks
  • Hour mode: Monitor hourly task progress for intensive periods
  • Switching modes preserves all status information
Your task status data persists regardless of timeline view, ensuring consistent progress tracking at any planning granularity.

Progress Reporting

Use visual task tracking for effective progress reporting:

Quick Status Reports

  • Visual scan: Color-coded status provides instant progress overview
  • Filter views: Show only completed, WIP, or pending tasks
  • Export snapshots: Save Gantt chart views for stakeholder updates
  • Timeline comparisons: Compare planned vs. actual completion dates

Bottleneck Identification

The visual interface helps identify issues:
  • Tasks stuck in WIP state for too long
  • Team members with too many simultaneous WIP tasks
  • Pending tasks blocking downstream work
  • Completed task patterns revealing workflow inefficiencies
The responsive design ensures you can track and update task status from any device - desktop for planning, tablet for reviews, mobile for on-the-go updates.

Best Practices

Keeping Status Current

  • Daily updates: Encourage team to update task status at least once per day
  • Stand-up reviews: Use visual Gantt chart during daily stand-ups
  • End-of-day ritual: Mark completed tasks before logging off
  • Mobile access: Update status from mobile devices when working remotely

Effective Status Progression

  • Start when you start: Mark tasks WIP immediately when beginning work
  • Complete when done: Don’t wait to mark tasks completed
  • Avoid WIP buildup: Limit simultaneous WIP tasks per team member
  • Review pending queue: Regularly check upcoming pending tasks

Visual Progress Management

  • Use completion percentage to gauge sprint/project health
  • Compare completed tasks against timeline expectations
  • Identify team members who may need support (many WIP, few completed)
  • Celebrate progress by reviewing completed task sections
The most successful teams update task status in real-time during their daily stand-ups, using the Gantt chart as the visual centerpiece of team coordination.
