Overview

Submitting your work for review is a critical part of the production workflow. Kitsu makes it easy to upload preview files, add context through comments, and update task status all in one step.

Accessing the Task

Before uploading work:
  1. Go to My Tasks
  2. Find the task you want to submit work for
  3. Click on the task row to open the task details in the side panel
You can also access tasks directly from the asset or shot page by clicking on the task status cell.

The Add Comment Panel

The submission interface is integrated with the comment system. At the top of the task details, you’ll see the Add Comment panel with:
  • Text area - For comments and notes
  • Status selector - Update the task status
  • Attachment button - Add preview files
  • Submit button - Post comment and upload files

Uploading Preview Files

Supported File Types

Kitsu accepts various preview formats:
  • Videos: MP4, MOV, AVI, WebM
  • Images: PNG, JPG, JPEG, GIF
  • Sequences: Image sequences (numbered files)
  • 3D: Some organizations enable preview of 3D formats
Large video files may take time to upload and process. Kitsu will generate preview thumbnails and streaming-optimized versions automatically.

Adding a Preview File

Click the attachment button

Look for the paperclip or file icon in the Add Comment panel

Select your file

Browse to your preview file and select it. You can also drag and drop files directly onto the upload area

Wait for upload

A progress indicator will show upload status. Don’t navigate away during upload

Preview thumbnail appears

Once uploaded, you’ll see a thumbnail of your preview in the comment panel

Multiple Previews

You can attach multiple preview files to a single comment:
  1. Click the attachment button again to add more files
  2. Each file will appear as a separate thumbnail
  3. Remove unwanted files by clicking the X on each thumbnail
  4. All files will be uploaded together when you submit

Adding Comments

Always include a comment when uploading work:

Good Comment Practices

Do:
  • Describe what you’ve done since the last version
  • Mention any challenges or questions
  • Reference feedback you’ve addressed
  • Note work still remaining
  • Tag team members with @mentions for specific questions
Example:
Updated the character rig based on feedback:
- Fixed shoulder deformation issue
- Added facial controls for eyebrow raise
- Still working on the hand controls, should be ready tomorrow

@supervisor Can you check if the shoulder is working better now?
Don’t:
  • Submit work without any context
  • Use only “Done” or single-word comments
  • Skip mentioning known issues

Updating Task Status

Choosing the Right Status

When submitting work, update the status appropriately:
  • Work in Progress (WIP) - Early progress, not ready for review
  • Waiting for Approval - Work complete, ready for supervisor review
  • Pending - Awaiting feedback or external dependency
Common workflow:
  1. Start task → Set to WIP
  2. Submit for review → Set to Waiting for Approval
  3. Receive feedback → Status may change to Retake
  4. Address notes → Set back to Waiting for Approval
  5. Supervisor approves → Status changes to Approved
Don’t set tasks to “Approved” or final status yourself. Only supervisors should mark tasks as complete.

Submitting Your Work

Add your preview file(s)

Upload the files showing your work

Write a descriptive comment

Explain what you’ve done and any context needed

Select appropriate status

Usually “Waiting for Approval” when ready for review

Click Submit or Add Comment

This posts your comment, uploads files, and updates status

Upload Progress

During upload:
  • A progress bar shows upload percentage
  • Processing message appears after upload completes
  • Don’t close the browser or navigate away
  • You’ll see a success message when complete
For very large files, consider using your studio’s file transfer system and posting a link in the comment instead.

Working with Previews

Preview Player

Once uploaded, your preview appears in the task’s preview player:
  • Play/pause video previews
  • Scrub timeline to review specific frames
  • Zoom and pan on image previews
  • Compare with previous versions using the preview selector

Drawing Annotations

If enabled, you can add annotations:
  1. Select the drawing tool in the preview player
  2. Draw directly on the preview image/frame
  3. Choose colors and line thickness
  4. Annotations are saved with your comment
  5. Supervisors can see and respond to your annotations
Annotations are typically added by supervisors during review, but artists can use them for questions or to highlight areas.

Version History

All previews are versioned automatically:
  • Each submission creates a new revision
  • Use the preview dropdown to view older versions
  • Revisions are numbered (V1, V2, V3, etc.)
  • Latest version is always shown by default

Comparing Versions

  1. Select an older version from the dropdown
  2. Review previous work
  3. Switch back to latest to see current state
  4. Use this to track your progress over time

Advanced Features

Frame-Specific Comments

When viewing video or sequence previews:
  1. Pause on a specific frame
  2. Add your comment
  3. The frame number is automatically recorded
  4. Team members can click to jump to that frame
Include links in your comments:
  • Reference images or documentation
  • Links to external file storage
  • Related tasks or assets
  • Links are automatically clickable

Task Subscription

Get notified of feedback:
  • You’re automatically subscribed to tasks you comment on
  • Receive notifications when supervisors add feedback
  • Unsubscribe using the bell icon if needed

After Submission

Waiting for Review

Once submitted:
  1. Your task appears in the supervisor’s review queue
  2. Check the Pending tab in My Tasks to track review status
  3. You’ll receive a notification when feedback is added
  4. Review the feedback and address any notes

Responding to Feedback

When you receive supervisor comments:
  1. Read all feedback carefully
  2. Reply to specific points if you have questions
  3. Make the requested changes
  4. Upload a new preview with your revisions
  5. Reference the feedback in your comment
Example:
Addressing notes from V2:
✓ Reduced motion blur on character's arm
✓ Fixed timing on jump animation
✓ Adjusted camera framing as requested

Ready for another review!

Retakes and Revisions

If your work needs changes:
  • Supervisor will set status to Retake
  • Their comment will list specific changes needed
  • Make the changes and submit a new preview
  • The version number increments automatically
  • Continue until work is approved
Retakes are a normal part of production. They help ensure quality and aren’t a negative reflection on your work.

Best Practices

  • Use reasonable file sizes (compress if needed)
  • Ensure previews are viewable at standard resolutions
  • Include adequate lighting to see details
  • Show full context (don’t crop too tightly)
  • Use descriptive names: character_walk_cycle_v3.mp4
  • Include version numbers if your system uses them
  • Avoid special characters in filenames
  • Always add comments explaining your work
  • Ask questions if feedback is unclear
  • Mention dependencies or blockers
  • Tag relevant team members
  • Keep status current with your progress
  • Set to “Waiting for Approval” only when truly ready
  • Don’t leave tasks in limbo - update status regularly

Troubleshooting

Upload Fails

Issue: File won’t upload or upload stops partway Solutions:
  • Check internet connection
  • Verify file isn’t corrupted
  • Try a different browser
  • Reduce file size if very large
  • Contact your IT team if issues persist

Wrong File Uploaded

Issue: Uploaded the wrong preview file Solutions:
  • Upload the correct file in a new comment
  • Explain the correction in your comment
  • Managers can delete wrong previews if needed

Can’t Change Status

Issue: Status dropdown is disabled Solutions:
  • Some task types restrict who can change status
  • The task may be locked by a supervisor
  • Check your permissions or contact your supervisor
