Sales Reports

Monthly Sales Performance

View sales performance across the entire year: Report Shows:
  • Sales count by month
  • Total revenue by month
  • Cumulative year-to-date totals
  • Progress toward monthly goals
  • Visual performance charts
How to Access:
  1. Navigate to Reports > Sales Report
  2. View the monthly breakdown
  3. See total revenue for the year
The system automatically displays data for the current year. Months without sales show zero.

Sales by User

For admins managing multiple sellers: Report Shows:
  • Sales by each seller
  • Individual seller performance
  • Revenue attributed to each user
  • Comparison between sellers
How to Filter:
  1. Select specific user from dropdown
  2. Or view “All Users” for combined report
  3. Choose time period (daily, weekly, monthly, all time)

Sales by Period

Generate focused reports for specific timeframes: Available Periods:
  • Today: Current day’s sales
  • This Week: Monday through Sunday
  • This Month: Current month
  • All Time: Complete sales history
Report Includes:
  • Customer names
  • Products sold
  • Sale amounts
  • Payment methods
  • Seller information

Inventory Reports

Complete Inventory Report

View your entire product catalog: Report Shows:
  • All products in your inventory
  • Current stock levels
  • Product categories
  • Selling prices
  • Stock status (Available/Low Stock)
Access: Navigate to Reports > Inventory Report

Low Stock Alert

Identify products that need reordering: Criteria:
  • Products with 5 or fewer units in stock
  • Products with zero stock
  • Highlighted in the report
Products showing “Low Stock” or “Out of Stock” need immediate attention to prevent lost sales.

Filter by Category

View inventory for specific product categories:
  1. Click Filter by Category
  2. Select the category from dropdown
  3. Report updates to show only that category
  4. Export to PDF if needed

Analyze which suppliers you buy from most: Report Shows:
  • Total purchased from each supplier
  • Supplier ranking by spending
  • Number of purchases per supplier
  • Percentage of total spending

Profit & Loss Reports

Profitability Analysis

The most comprehensive report showing true business profitability: Report Calculates: Income:
  • Total sales revenue (including IVA)
  • Extra income (deliveries, services, etc.)
  • Combined total income
Costs:
  • Product cost basis (what you paid)
  • Purchase expenses
  • Operating expenses
  • Asset purchases
Profit:
  • Gross profit (income minus costs)
  • Profit margin percentage
  • Net profit after all expenses

Understanding Profit Calculations

For each product sold, the system uses the purchase cost recorded when the item was bought:
  • Product purchase cost × quantity sold
  • Summed across all sales
  • This is your Cost of Goods Sold (COGS)
Total income includes:
  • All sales revenue (price customers paid)
  • Extra income entries (deliveries, services)
  • Does not include returns or refunds
Total expenses include:
  • Operating expenses (rent, utilities, salaries)
  • Asset purchases (equipment, furniture)
  • Does not include product purchases (those are COGS)
Net Profit = (Total Sales + Extra Income) - (Product Costs) - (Expenses) - (Asset Purchases)

Profit Report by Period

Filter profit reports to specific date ranges:

Multi-User Reporting

Admin View

Admins see comprehensive data:
  • Their own transactions
  • All seller transactions under them
  • Combined totals and analytics
  • Individual seller breakdowns

Seller View

Sellers see limited data:
  • Only their own sales
  • Their daily totals
  • Cannot view other sellers’ data
  • No access to expense or purchase reports
This permissions structure ensures sellers can track their performance while admins maintain complete oversight.

Troubleshooting

Report Shows Zero/No Data

If a report appears empty:
  1. Verify you have data in that category (sales, purchases, etc.)
  2. Check date range filters aren’t too restrictive
  3. Ensure you’re logged in with correct permissions
  4. Try refreshing the page

PDF Won’t Generate

If PDF export fails:
  1. Check your browser allows popups
  2. Try a different browser
  3. Verify report has data to export
  4. Check your internet connection

Numbers Don’t Match Expectations

If report totals seem incorrect:
  1. Remember sales prices include 19% IVA
  2. Check that all transactions are recorded
  3. Verify date ranges match your expectations
  4. Review individual transaction details
  5. Ensure no transactions were deleted

Low Stock Alert Missing Products

If you expect more products in low stock report:
  1. Verify stock levels in product list
  2. Check threshold is set to 5 units
  3. Confirm products haven’t been deleted
  4. Refresh the report page
