Setting Up Email Sync

Email synchronization is the most powerful feature in ApplyTrack. By connecting your email, you enable automatic tracking of recruiter responses, interview invitations, and application status changes without any manual updates.

Why Email Sync Matters

Email sync transforms ApplyTrack from a passive tracker to an active career intelligence system:
  • Automatic status updates: Every recruiter email triggers instant status changes
  • Thread monitoring: Track entire conversation histories with hiring teams
  • Response detection: Know immediately when companies engage with your applications
  • Interview scheduling: Auto-detect meeting invitations and add them to your dashboard

Supported Email Providers

ApplyTrack uses secure OAuth authentication for:
  • Gmail (Google Workspace)
  • Outlook (Microsoft 365)
  • Outlook.com (personal accounts)
We recommend connecting the email address you use for job applications. If you use multiple addresses, you can connect additional accounts in Premium Pro or Platinum Elite plans.

Gmail Setup

Access Email Settings

Navigate to your ApplyTrack dashboard and locate the Quick Commands section in the right sidebar.Click the “Sync Mail” button with the Sparkles icon (amber background).

Select Gmail Provider

On the email connection screen, choose “Connect Gmail”.You’ll see a description of permissions required:
  • Read email messages and threads
  • Access email metadata (sender, subject, timestamps)
  • No permission to send or delete emails

Authenticate with Google

Click “Continue with Google” to open the OAuth consent screen.
  1. Select your Google account
  2. Review the permissions request
  3. Click “Allow” to grant access
ApplyTrack uses OAuth 2.0, the industry-standard security protocol. We never see or store your password.

Configure Sync Preferences

After authentication, configure:Sync Frequency:
  • Real-time (Premium Pro/Platinum Elite) - instant updates
  • Every 15 minutes (Free tier)
  • Manual sync only
Email Filters:
  • Sync all job-related emails (recommended)
  • Sync specific senders only
  • Sync emails with job board domains
Thread Detection:
  • Enable automatic status updates from email content
  • Detect interview scheduling emails
  • Flag urgent recruiter messages

Initial Sync

ApplyTrack performs an initial scan of your last 90 days of emails to:
  • Match emails to existing tracked applications
  • Discover applications you submitted but haven’t tracked yet
  • Build your recruiter engagement history
This process takes 2-5 minutes depending on email volume.
During initial sync, the dashboard shows “Syncing 24 Active threads” in the header. This indicates the system is processing your email history.

Verify Connection

Once sync completes, verify the connection:
  1. Check the dashboard header for sync status indicator
  2. Review Recent Activity for any status updates
  3. Look for the green “Connected” badge in Settings > Email Sync
Your dashboard now displays “Syncing X Active threads” when processing emails.

Outlook Setup

Access Email Settings

In your ApplyTrack dashboard, click the “Sync Mail” button in Quick Commands (right sidebar).

Select Outlook Provider

Choose “Connect Outlook” from the email provider options.Select your account type:
  • Microsoft 365 (work/school)
  • Outlook.com (personal)

Authenticate with Microsoft

Click “Continue with Microsoft” to open the OAuth consent screen.
  1. Enter your Microsoft email address
  2. Sign in with your password
  3. Approve the permissions request
  4. Complete any two-factor authentication if enabled
For Microsoft 365 accounts, you may need admin consent if your organization restricts third-party app access. Contact your IT department if you see a consent error.

Configure Sync Settings

Set up your Outlook sync preferences:Folders to Sync:
  • Inbox (recommended)
  • Sent Items
  • Archive
  • Specific folders
Sync Frequency:
  • Real-time via Microsoft Graph API (Premium+)
  • Every 15 minutes (Free tier)
Content Filters:
  • Job boards and recruiter domains
  • Specific keywords (interview, offer, application)
  • Email threads with tracked companies

Complete Initial Sync

ApplyTrack scans your Outlook mailbox for job-related communications:
  • Last 90 days of email history
  • Automatic application matching
  • Thread relationship mapping
The dashboard shows sync progress in the header area.

Verify Connection

Confirm successful Outlook sync:
  • Green “Connected” status in Settings
  • “Syncing X Active threads” indicator in dashboard header
  • Recent Activity shows updated application statuses

Automatic Status Detection

ApplyTrack’s AI analyzes email content to update application statuses:

Thread Monitoring

Every email thread related to your applications is tracked:
  • Conversation history: Full thread view in application detail page
  • Response time tracking: Measures how quickly companies respond
  • Engagement scoring: Rates recruiter interest based on email frequency and content
  • Follow-up reminders: AI suggests optimal times to send follow-up emails
Check your “Network Health” widget (right sidebar) to see your Response Rate Efficiency. The dashboard shows 82% as a strong benchmark.

Interview Detection

Email sync automatically detects interview invitations:
  • Calendar integration: Adds interviews to “Upcoming Rounds” widget
  • Preparation alerts: “Starts in 1h” and “Prepare Now” notifications
  • Interview type identification: Culture Fit, Technical Interview, Final Round
  • Meeting details extraction: Date, time, interviewer name, location/video link

Privacy and Security

Data Encryption

ApplyTrack uses high-grade encryption and locally-hosted models for text processing. Your email content is never stored permanently—only metadata and job-related excerpts are retained.
Security measures:
  • OAuth 2.0 authentication: No password storage
  • TLS 1.3 encryption: All data in transit is encrypted
  • AES-256 encryption: Data at rest encryption
  • Local text processing: AI models run on secure servers, not shared with third parties
  • Zero data sharing: We never sell or share your email data

Permissions Scope

ApplyTrack requests minimal permissions: What we access:
  • Read email messages and threads
  • Access sender information and timestamps
  • Read email metadata (subject, date)
What we never access:
  • Cannot send emails on your behalf
  • Cannot delete or modify emails
  • Cannot access contacts or calendar (unless explicitly granted)
  • Cannot access non-job-related folders

Revoking Access

You can disconnect email sync at any time:
  1. Go to Settings > Email Sync
  2. Click “Disconnect” next to your connected account
  3. Revoke OAuth permission in your email provider settings:
    • Gmail: Google Account > Security > Third-party apps
    • Outlook: Microsoft Account > Privacy > Apps & services

Troubleshooting

Sync Status Not Updating

Problem: Dashboard shows “Not syncing” or stale data. Solutions:
  1. Check OAuth connection in Settings > Email Sync
  2. Click “Re-authenticate” to refresh the connection
  3. Verify your email account hasn’t changed passwords
  4. Check browser console for error messages

Missing Status Updates

Problem: Received a recruiter email but status didn’t update. Solutions:
  1. Ensure the email is from a recognized recruiter domain
  2. Check that the company name matches your tracked application
  3. Manually update status if AI didn’t detect the change
  4. Add the sender to “Trusted Recruiter Domains” in settings

Initial Sync Taking Too Long

Problem: Initial sync runs for more than 10 minutes. Solutions:
  1. Large mailboxes (10,000+ emails) may take up to 30 minutes
  2. Check your internet connection
  3. Refresh the dashboard to see if sync completed
  4. Contact support if stuck after 1 hour

OAuth Permission Errors

Problem: “Permission denied” or “Admin consent required” error. Solutions:
  1. Gmail: Ensure third-party app access is enabled in Google Workspace admin console
  2. Outlook: Request admin consent from IT department for Microsoft 365 accounts
  3. Use a personal email account if organizational policies block access

Advanced Configuration

Custom Email Filters (Premium Pro)

Create advanced filters to control which emails trigger sync:
