Overview

Vehicle Management is the core of SGIVU’s inventory system, allowing you to catalog cars and motorcycles, track availability status, and manage vehicle images. Whether you’re adding new inventory or updating existing vehicles, this module provides comprehensive tools for vehicle data management.

Adding a New Vehicle

Access Vehicle Management

Navigate to the Vehicle Management section from your dashboard. You need the vehicle:create permission to add new vehicles.

Enter Vehicle Details

Fill in the vehicle information:
  • Make and Model: Manufacturer and specific model name
  • Year: Manufacturing year
  • VIN: Vehicle Identification Number (unique identifier)
  • Type: Car or Motorcycle
  • Color: Exterior color
  • Mileage: Current odometer reading
  • Price: Asking or sale price
  • Description: Detailed description of features and condition

Set Availability Status

Choose the vehicle’s current status:
  • Available: Ready for sale
  • Unavailable: Reserved, in maintenance, or otherwise not for sale

Add Vehicle Images

Upload photos of the vehicle. See the Image Management section below for detailed steps.

Save Vehicle

Review all information and save the vehicle to your inventory. The vehicle is now searchable and available for transactions.

Updating Vehicle Information

Edit Vehicle Details

You can update any vehicle information at any time by searching for the vehicle and selecting edit. Common updates include price changes, status updates, and condition descriptions.

Searching for Vehicles

SGIVU offers advanced search capabilities to quickly find vehicles in your inventory:

By VIN

Search using the unique Vehicle Identification Number for exact matches.

By Make and Model

Filter by manufacturer and model name to browse specific vehicle types.

By Status

View only available or unavailable vehicles.

Advanced Filters

Combine multiple criteria like year range, price range, mileage, and vehicle type for precise results.

Image Management

Vehicle photos are essential for showcasing your inventory. SGIVU uses cloud storage to efficiently manage high-quality vehicle images.

Uploading Vehicle Photos

Request Upload

From the vehicle detail page, select “Add Images”. The system will prepare a secure upload link.

Select Photos

Choose one or more photos from your device. Supported formats:
  • JPEG (.jpg, .jpeg)
  • PNG (.png)
  • WebP (.webp)

Upload to Cloud

Your images are uploaded directly to secure cloud storage. This ensures fast loading and reliable access.

Confirm Upload

Once uploaded, the system registers the images and associates them with your vehicle. Images appear immediately in the vehicle gallery.

Managing Vehicle Images

Primary Image

The first image you upload automatically becomes the primary image for the vehicle. This is the main photo displayed in listings and search results.

Reordering Images

When you delete the primary image, the system automatically promotes the next oldest image to primary status, ensuring your vehicle always has a main photo.

Deleting Images

You can remove individual images at any time. Deleted images are permanently removed from cloud storage.

Image Best Practices

High Quality

Use clear, well-lit photos that showcase vehicle details and condition.

Multiple Angles

Include photos from all angles: front, rear, sides, and interior.

Detail Shots

Add close-up images of special features, upgrades, or any damage.

Consistent Lighting

Take photos in good lighting conditions for accurate color representation.

Vehicle Status Management

Available Status

Vehicles marked as “Available” are:
  • Visible in customer-facing catalogs
  • Available for purchase/sale contracts
  • Included in inventory reports
  • Featured in demand predictions

Unavailable Status

Mark vehicles as “Unavailable” when they are:
  • Reserved for a specific customer
  • Under maintenance or repair
  • Pending paperwork completion
  • Temporarily removed from sale

Status Changes

You can toggle vehicle status at any time. Status changes take effect immediately across the platform.

Vehicle Types

SGIVU supports two main vehicle categories:

Cars

Automobiles including sedans, SUVs, trucks, and vans. Track standard automotive specifications.

Motorcycles

Two-wheeled vehicles with specialized fields for motorcycle-specific details.

Integration with Other Features

Purchase/Sale Contracts

Vehicles in your inventory can be selected when creating purchase or sale contracts. The system automatically updates vehicle status based on contract state.

Demand Prediction

Vehicle data feeds into SGIVU’s machine learning system to predict demand by vehicle segment, helping you optimize inventory.

Client Management

Link vehicles to clients through contracts, creating a complete transaction history for each vehicle.

Troubleshooting

Ensure your image is in a supported format (JPEG, PNG, or WebP). Check your internet connection and try again. Very large files may need to be compressed before upload.
Verify you have the vehicle:update permission. If the vehicle is part of an active contract, you may need to resolve the contract first.
Check your filter settings and search terms. Ensure the vehicles you’re looking for match your search criteria.
This is a configuration issue. Contact your system administrator to verify cloud storage CORS settings.
Try refreshing the page. If the issue persists, the image may not have finished uploading or confirming.

Security and Privacy

Secure Storage

All vehicle images are stored in secure cloud storage with restricted access. Upload URLs are time-limited and single-use for maximum security.

Permission-Based Access

Only users with appropriate permissions can view, create, modify, or delete vehicles. All actions are logged for audit purposes.
