Overview

Neuron Meet allows anyone to join meetings as a guest without creating an account. This makes it easy for external participants, clients, or collaborators to join your meetings with minimal friction.
Guest access is enabled by default on all meeting rooms. Hosts can disable it in room settings if they want to restrict meetings to authenticated users only.

Joining as a Guest

Guests can join meetings in just a few simple steps:

Receive the Meeting Link or Code

Get the meeting invitation from the host via email, message, or calendar invite. This includes either:
  • A full meeting link (e.g., https://neuronmeet.com/join/abc-def-ghi)
  • A room code (e.g., abc-def-ghi)

Open the Meeting Link

Click the link to go directly to the pre-join screen, OR go to the Neuron Meet homepage and enter the room code.

Enter Your Name

On the pre-join screen, you’ll be prompted to enter your name in the “Your Name” field. This is required for guest users.

Configure Your Audio & Video

  • Preview your camera and microphone
  • Toggle video and audio on or off
  • (Optional) Click the settings icon to select specific devices

Click 'Join Meeting'

Once you’ve entered your name and configured your settings, click the “Join Meeting” button.

You're In!

You’ll be connected to the meeting and can see and hear other participants.
No registration, no login, no password required. Just your name and you’re good to go.

Guest vs. Authenticated Users

What Guests Can Do ✅

  • Join any meeting with a valid room code (if guest access is enabled)
  • See and interact with all participants via video and audio
  • Share their screen (if allowed by host)
  • Send and receive chat messages
  • Raise their hand
  • Toggle their own camera and microphone
  • See who else is in the meeting

What Guests Cannot Do ❌

  • Create new meeting rooms (host privileges)
  • Access host controls (mute others, remove participants, lock room)
  • Access meeting history or recordings
  • Customize their profile with an avatar
  • Save meeting preferences across sessions
Guest participants have full meeting functionality but cannot host or manage rooms.

Guest Identification

How Guests Appear to Others

When you join as a guest:
  • Your display name is exactly what you typed in the “Your Name” field
  • Your avatar shows your initials in a colored circle (no profile photo)
  • No special “Guest” badge or indicator by default
  • You’re treated the same as authenticated users in the video grid and participants list

Your Display Name

  • Choose a clear, professional name (e.g., “John Smith” instead of “Guest123”)
  • Your name appears:
    • On your video tile
    • In the participants panel
    • Next to chat messages you send
    • In hand-raise notifications
Choose your display name carefully - you cannot change it after joining the meeting without leaving and rejoining.

Privacy & Data for Guests

What Information is Collected

As a guest, Neuron Meet only collects:
  • ✅ Your display name (provided by you)
  • ✅ Temporary session data while in the meeting
  • ✅ Media streams (video/audio) transmitted during the call

What is NOT Collected

  • ❌ Email address
  • ❌ Phone number
  • ❌ Account credentials
  • ❌ Persistent user data
  • ❌ Meeting history or recordings (unless explicitly recorded by the host)

Data Retention

For guest users:
  • Your participation data is temporary and exists only while you’re in the meeting
  • When you leave, your session data is cleared
  • No profile or account is created
  • Chat messages are not saved after the meeting ends
Guest access is designed for privacy and simplicity. No long-term data is stored unless the meeting is recorded by the host.

Pre-Join Screen for Guests

The pre-join screen is especially important for guests:

  • Guests must enter a name to join
  • The “Join Meeting” button is disabled until a name is provided
  • Use your real name or a recognizable identifier

  • See yourself on camera before joining

  • Click the settings icon to choose specific camera and microphone devices
  • Useful if you have multiple cameras or headsets connected
Meeting Information
  • See the room name (if set by the host)
  • See the room code
  • See how many people are already in the meeting and their names/avatars
The pre-join screen shows you who’s already in the meeting, giving you context before you join.

Joining Restrictions

Guests may encounter restrictions based on room settings:

Locked Rooms

If the host has locked the room:
  • You’ll see an error: “Room is locked”
  • You cannot join even with a valid room code
  • Contact the host to unlock the room or request access

Guest Access Disabled

If the host has disabled guest access:
  • You’ll see an error: “This room requires authentication” or “Guest access not allowed”
  • You must create an account and log in to join
  • Contact the host if you need assistance

Max Participants Reached

If the room is full:
  • You’ll see an error: “Room is full”
  • Wait for someone to leave or ask the host to increase the participant limit

Invalid or Expired Room Code

If the room code is wrong or the meeting has ended:
  • You’ll see: “Room not found” or “Meeting has ended”
  • Double-check the room code with the host
  • Ensure you’re using the correct link
If you encounter a “Room not found” error, verify the room code with the meeting host. Room codes are case-sensitive and must be entered exactly.

Guest Experience During Meetings

Full Participation

As a guest, you have nearly identical capabilities to authenticated users:
  • Video Grid: See all participants in a responsive grid layout
  • Control Bar: Access all standard meeting controls (mic, camera, screen share, chat, etc.)
  • Chat Panel: Send and receive messages with full typing indicators
  • Participants Panel: See who’s in the meeting and their status
  • Hand Raise: Signal to the host that you’d like to speak
  • Screen Sharing: Share your screen if enabled by the host

Keyboard Shortcuts

Guests can use the same keyboard shortcuts as authenticated users:
  • M - Toggle mute
  • V - Toggle video
  • C - Open/close chat
  • P - Open/close participants
  • H - Raise/lower hand
  • Escape - Close panels

Best Practices for Guests

Use Your Real Name

Enter a recognizable name so others know who you are. Avoid generic names like “Guest” or “User123”.

Test Before Important Calls

Use the pre-join screen to verify your camera and microphone are working properly.

Join Early

Join a minute or two before the scheduled start time to ensure everything works smoothly.

Mute When Not Speaking

Reduce background noise by muting yourself when you’re not actively talking.

Use Chat for Questions

Use the in-meeting chat to ask questions or share links without interrupting.

Save Important Info

Copy any important information from chat or screen shares before leaving, as guest sessions aren’t saved.

Troubleshooting for Guests

  • Double-check the room code format (e.g., abc-def-ghi)
  • Ensure you’re using the latest link from the host
  • Verify there are no extra spaces or typos
  • Ask the host to resend the invitation
  • Make sure you’ve entered your name in the “Your Name” field
  • The button won’t activate until a name is provided
  • Grant browser permissions when prompted
  • Check device settings on the pre-join screen
  • Ensure no other app is using your camera/mic
  • Try refreshing the page and rejoining
  • The host may have removed you from the meeting
  • The meeting may have ended
  • Contact the host for clarification or a new invitation
  • Check your internet connection
  • Try turning off your video to improve audio quality
  • Close other bandwidth-heavy applications
  • Move closer to your Wi-Fi router if on wireless

Security Considerations

For Guests

  • Use a secure internet connection (avoid public Wi-Fi for sensitive meetings)
  • Don’t share meeting links publicly
  • Be aware that hosts can remove you from the meeting at any time
  • Verify you’re joining the correct meeting by checking the room name and participants

For Hosts

When allowing guest access:
  • Enable waiting room for sensitive meetings to manually approve guests
  • Lock the room after all expected participants join
  • Monitor the participants panel to identify unexpected guests
  • Disable guest access in room settings if only authenticated users should attend
Hosts should be cautious about sharing meeting links publicly. Use secure channels to invite guests and enable waiting room or lock features for added security.

Creating an Account vs. Staying a Guest

Why Create an Account?

If you use Neuron Meet frequently, creating an account offers benefits:
  • Create your own meetings as a host
  • Customize your profile with a display name and avatar
  • Access meeting history and past sessions
  • Save preferences across sessions
  • Manage your own rooms and settings

When to Stay as a Guest

Guest access is perfect for:
  • One-time or occasional meetings
  • Joining meetings hosted by others
  • Quick consultations or interviews
  • When you don’t want to create yet another account
Guest access is completely free and has no limitations on meeting duration or features (subject to host settings). You can use it as often as you like.
