The Ushers & Service Counting module (part of Diaconos Hub) helps hospitality teams track attendance, register first-time visitors, and coordinate service logistics. This data powers church growth analytics and visitor follow-up.

Service Attendance Tracking

Ushers and hospitality team members can record attendance for each service, providing valuable insights into church attendance patterns.

Recording Attendance Counts

Users with the reunions.view permission can log attendance data:
  1. Navigate to the meeting from the calendar
  2. Open the Attendance tab
  3. Enter the count for:
    • Adults: Number of adult attendees
    • Children: Number of children present
  4. Click Save Count
The totals are stored with the specific meeting and appear in attendance reports.
Attendance counts are meeting-specific. If you hold multiple services on the same day, record counts separately for each service.

Viewing Historical Counts

Administrators can view attendance history:
  • Individual meeting counts
  • Weekly and monthly trends
  • Year-over-year comparisons
  • Average attendance by service type
Access reports from Church Center → Reports → Attendance.

Visitor Registration

Capture information about first-time visitors for intentional follow-up.

Adding a Visitor

During or after a service, ushers can register new visitors:
  1. Go to the meeting’s Visitors tab
  2. Click Add Visitor
  3. Enter visitor information:
    • First Name (required)
    • Last Name
    • Email Address
    • Phone Number
    • Notes: How they found the church, prayer requests, interests
  4. Click Save Visitor
The visitor record is associated with the specific meeting and date.
Encourage visitors to fill out connection cards during the service. Ushers can enter this information immediately after the service while it’s fresh.

Visitor Privacy and Security

Visitor data is:
  • Church-specific: Only visible to members of the church where the visitor attended
  • Role-protected: Only users with appropriate permissions can view visitor records
  • Purpose-limited: Used exclusively for church follow-up and communication
  • Deletable: Visitors can be removed if they request data deletion
Visitor information is sensitive personal data. Share it only with pastoral staff and follow-up teams. Comply with local privacy regulations (GDPR, CCPA, etc.).

Managing Visitor Records

From the visitor list, you can: View Visitor Details
See full information including attendance date, contact details, and notes.
Delete Visitor Records
Remove visitor entries if they:
  • Request data deletion
  • Were entered in error
  • Have become regular members (transfer to member directory)
To delete a visitor:
  1. Find the visitor in the meeting’s visitor list
  2. Click the Delete button
  3. Confirm deletion
Deletion is immediate and permanent.

Attendance Reports

Generate comprehensive attendance reports for leadership insights.

Report Parameters

Customize reports by:
  • Date Range: Start and end dates for the report period
  • Church: Specific congregation (for multi-church contexts)
  • Service Type: Regular services, special events, etc.
Access reports via Church Center → Reports → Attendance.

Report Data

Attendance reports include:

Total Attendance

Sum of adults and children across all services in the date range.

Service-by-Service

Individual counts for each meeting with date and time.

Visitor Count

Number of first-time visitors registered during the period.

Averages

Average attendance per service type and day of week.

Report Uses

Attendance data helps with:
  • Capacity Planning: Determine if additional services are needed
  • Growth Tracking: Monitor attendance trends over time
  • Staffing Decisions: Ensure adequate ushers and volunteers for typical attendance
  • Outreach Effectiveness: Correlate visitor counts with marketing campaigns
  • Budget Planning: Project income based on attendance patterns
For accurate trend analysis, ensure ushers record counts consistently for every service.

Usher Team Coordination

The ushers team is automatically created during church setup as one of the default areas.

Team Assignments

Assign ushers to specific services:
  1. Open the meeting from the calendar
  2. Click Assign Team Member
  3. Select ushers from the directory
  4. Assign their role (Usher, Head Usher, Greeter)
  5. Save assignments
Assigned ushers receive notifications and can see their service schedule.

Usher Responsibilities

Usher team members can:
  • View their assigned services
  • Record attendance counts for meetings they’re assigned to
  • Register visitor information
  • Access hospitality checklists and procedures (future enhancement)

Head Usher Role

Designate one usher as “Head Usher” for each service:
  • Coordinates other ushers
  • Ensures attendance is recorded
  • Oversees visitor registration
  • Reports any issues to church leadership
Head Ushers have the same system permissions as regular ushers but carry organizational responsibility.

Visitor Follow-Up Workflow

Once visitors are registered, pastoral staff can implement follow-up:

Step 1: Review New Visitors

Pastors and follow-up coordinators review visitor records weekly:
  • Access the visitor list for recent services
  • Read notes and prayer requests
  • Identify high-priority follow-ups

Step 2: Coordinate Contact

Assign follow-up tasks:
  • Send welcome emails
  • Make phone calls
  • Schedule coffee meetings
  • Invite to newcomer events

Step 3: Track Progress

Log follow-up activities in the notes field:
  • Date of contact
  • Method (email, call, meeting)
  • Next steps or action items

Step 4: Convert to Members

When visitors become regular attenders:
  1. Invite them to create a member account
  2. Transfer relevant information to their member profile
  3. Remove or archive the visitor record
Respond to visitors within 48 hours of their first visit. Quick, personal follow-up significantly increases the likelihood they’ll return.

Integration with Calendar

Attendance and visitor data is tightly integrated with the calendar:
  • Meeting Association: All counts and visitors link to specific calendar meetings
  • Historical Accuracy: Attendance tied to actual meeting dates and times
  • Context-Aware: Reports can filter by service type, time, or location

Attendance and visitor management is permission-controlled:

Regular members cannot view visitor information or attendance counts. This data is restricted to hospitality teams and leadership.

Best Practices

Take attendance counts at different service moments (start, middle, end) for more accurate numbers, especially for services with late arrivals.
Provide physical or digital connection cards for visitors to fill out. This reduces data entry errors and gives visitors control over shared information.
Enter attendance data right after the service while counts are fresh. Waiting until the next day leads to less accurate numbers.
Ensure all ushers use the same counting methodology (e.g., do children in nursery count? how about volunteers?). Consistency makes trends meaningful.
Never share visitor lists publicly or use them for unauthorized purposes. Treat this data with the highest level of confidentiality.
Implement a systematic follow-up process. Assign specific people to contact new visitors within 48 hours of their first attendance.

Default Area Setup

When you create a new church, the Ushers area is automatically created alongside Worship. This ensures:
  • Immediate ability to assign ushers to services
  • Pre-configured permissions for hospitality teams
  • Ready-to-use attendance tracking
You can customize this area:
  • Rename it (e.g., “Hospitality” or “Welcome Team”)
  • Add additional teams within the area
  • Assign leaders and coordinators

Multilingual Support

All interface elements support multiple languages:
  • Spanish, English, and Portuguese
  • Visitor forms adapt to user language preferences
  • Reports display in the selected language
Visitor information itself (names, notes) is stored exactly as entered—no automatic translation is applied.
For multilingual churches, consider creating language-specific follow-up teams to contact visitors in their preferred language.
