Events are the core of TradeMaster Transactions. This guide walks you through creating a new event from start to finish.

Before You Begin

Ensure you have:
  • Active client account with valid contracts
  • At least one event venue configured
  • Legal contract associated with the client
  • Event banner image ready (recommended: 2500x900 pixels)

Creating an Event

From the main menu, go to Events > New Event.

Select Client and Contracts

In the “Datos” section:

  • Cliente: Select the event producer/client from the dropdown
    • Only clients with active contracts will have events enabled
  • Contratos: Select one or more contracts that apply to this event
    • Click the dropdown to see available contracts
    • Check multiple contracts if needed
    • At least one contract is required

    Contracts define revenue sharing, payment terms, and other financial arrangements for the event.

  • Contrato Legal: Select the legal framework contract
    • This defines terms and conditions, liability, and legal aspects
    • Must be configured before event creation

    • Only active venues appear in the dropdown
    • Venue capacity is automatically applied to the event

    An event banner is required and cannot be skipped.

  • Click Cargar to select an image file
  • Choose a JPG, PNG, or GIF file (max 2MB)
  • Preview the banner
  • Click Reiniciar to remove and replace if needed

    Enter Event Details

    In “Datos del Evento”:

  • Nombre: Enter the event name
    • Use the official event name
    • This appears on tickets and public listings
  • Tipo de Evento: Select event type
    • Options configured in system setup
    • Examples: Concierto, Conferencia, Teatro, etc.
  • Fecha de Inicio: Set start date and time
    • Click the date picker
    • Must be in the future
    • Includes date and time
  • Fecha de Cierre: Set end date and time
    • Must be same or after start date
    • System automatically validates this
  • Descripción: Write a detailed event description
    • Explain what attendees can expect
    • Include any special information
    • Keep it concise but informative

  • Event Status Workflow

    Events progress through these statuses:
    1. Instanciado: Just created, setup in progress
    2. Configurado: Fully configured, ready for sales
    3. En Venta: Actively selling tickets
    4. Finalizado: Event has occurred
    5. Cancelado: Event was cancelled

    Event Configuration Areas

    After creating an event, configure these key areas:

    Ticket Zones

    Define seating areas:
    • Zone names (VIP, General, Palco, etc.)
    • Capacity per zone
    • Pricing per zone
    • Zone-specific rules

    Payment Methods

    Enable payment options:
    • Credit/debit cards
    • Bank transfers
    • Digital wallets
    • Cash payments (if applicable)

    Credentials

    Manage access:
    • Staff credentials
    • Security team access
    • Vendor permissions
    • Media/press passes

    Orders

    Monitor ticket sales:
    • View all orders
    • Track payment status
    • Manage refunds
    • Export sales data

    Managing Event Details

    Access the event detail page to:
    • Edit event information: Update dates, descriptions, or terms
    • View revenue updates: Real-time sales tracking
    • Monitor ticket status: Sold, available, reserved
    • Manage contracts: View associated contracts
    • Track ledger: See all event status changes

    Event Metadata Display

    The event detail page shows:
    • Client information
    • Venue details and capacity
    • Start and end dates/times
    • Event type and status
    • Associated contracts
    • Revenue statistics
    • Top performers (most popular zones/tickets)

    Best Practices

    Planning

    Create events early: Set up events well in advance to allow time for proper configuration and testing.
    • Create events at least 2-4 weeks before the date
    • Test ticket purchasing flow before going live
    • Have all contracts finalized before event creation
    • Coordinate with venues on capacity and layout
    • Use high-resolution images for clarity
    • Include key information: artist, date, venue
    • Maintain brand consistency
    • Test banner display on mobile devices
    • Ensure text is readable at various sizes

    Terms and Conditions

    • Be specific about entry requirements
    • Clearly state refund and exchange policies
    • Include COVID-19 or health policies if applicable
    • List prohibited items explicitly
    • Define photography/recording rules

    Pricing Strategy

    • Research market rates for similar events
    • Consider venue size and artist popularity
    • Set early bird pricing for advance sales
    • Create VIP packages with added value
    • Account for platform fees in pricing

    Troubleshooting

    Cannot Create Event

    Issue: Save button is disabled or form won’t submit Solutions:
    • Ensure a banner image is uploaded
    • Check all required fields are filled
    • Verify at least one contract is selected
    • Confirm legal contract is selected
    • Make sure end date is after start date

    No Contracts Available

    Issue: Contract dropdown is empty Solutions:
    • Verify client has active contracts in the system
    • Check contracts haven’t expired
    • Ensure you selected a client first
    • Contact admin to create contracts if needed
    Issue: Image won’t upload or shows error Solutions:
    • Check file size is under 2MB
    • Verify file format is JPG, PNG, or GIF
    • Try resizing or compressing the image
    • Clear browser cache and try again
    • Use a different browser if issue persists

    Date Validation Errors

    Issue: Cannot set event dates Solutions:
    • Ensure start date is in the future
    • Verify end date is same day or after start date
    • Check time is set correctly (not just date)
    • Refresh page if date picker seems stuck

    Event Cloning

    For recurring events, you can:
    • Duplicate an existing event
    • Update dates and specific details
    • Keep venue and contract configurations
    • Reuse banner if appropriate
    • Adjust pricing for new instance
