Fleet Management is the operational heart of C.A.R. 911, enabling you to assign equipment to vehicles and resources, track all movements, and generate delivery documentation. Every assignment, transfer, and status change is automatically recorded in the system’s historical database.

Overview

The Fleet Management system allows you to:
  • Assign equipment to mobile units (vehicles) or fixed resources
  • Track equipment movements between locations and resources
  • Record different types of movements (installation, transfer, replacement, etc.)
  • View complete equipment history with timestamps
  • Generate delivery documentation
  • Perform advanced searches with multiple filters
  • Export fleet data to Excel

Viewing Fleet Assignments

The main fleet view displays all active assignments with: Search Capabilities:
  • Search by ISSI (equipment identifier)
  • Search by TEI (terminal equipment identity)
  • Search by resource name (mobile unit)
  • Search by department or location
Each fleet record shows:
  • Equipment details (brand, model, TEI, ISSI)
  • Assigned resource (vehicle or mobile unit)
  • Current location (department/dependency)
  • Last movement type and date
  • Observations
The system displays 50 records per page and automatically updates to show the most recent movement for each equipment unit.

Creating Fleet Assignments

Assign equipment to resources through a step-by-step workflow:

Select Equipment

Choose from available equipment (equipment without current fleet assignments). The dropdown shows TEI and ISSI for identification.

Choose Movement Type

Select the type of movement:
  • Complete Installation: New installation on a resource
  • Patrimonial Movement: Transfer ownership to different department
  • Temporary: Short-term assignment
  • Review: Equipment under evaluation
  • And more (see Movement Types section)

Assign to Resource

Select the destination resource (mobile unit, vehicle, or fixed location like “Stock 911”)

Set Location

Choose the department or dependency where the equipment will be located

Enter Assignment Date

Record when the assignment takes effect

Add Documentation

Optionally attach:
  • Up to 10 images (JPEG, PNG, GIF, max 2MB each)
  • Document files (PDF, DOC, DOCX, XLSX, ZIP, RAR, max 20MB)
  • Ticket number (for tracking)
  • Observations
The system validates that resources marked as single-equipment only can have one equipment assignment at a time. Resources with multi_equipos enabled can have multiple units assigned.

Movement Types

The system supports various movement types, each with specific business logic:
Complete Installation - Fresh installation of equipment on a resource
  • Assigns equipment to selected resource and department
  • Records resource and vehicle information
  • Creates historical record with full details
  • Validates resource availability (single-equipment resources only)
Patrimonial Movement - Transfer of equipment between departments while maintaining active status
  • Changes both resource and location
  • Updates patrimonial assignment
  • Records previous and new assignments
  • Maintains complete transfer history
Complete Uninstallation - Remove equipment from active service
  • Automatically assigns equipment to “Stock 911”
  • Records previous resource for tracking
  • Closes current assignment with deassignment date
  • Equipment returns to available inventory
Replacement - Swap one equipment unit for another
  • Removes original equipment and assigns replacement
  • Original equipment goes to “Soporte 1er Nivel - PG”
  • Replacement equipment takes over the assignment
  • Creates historical records for both units
  • Maintains continuity of service
Exchange - Similar to replacement but original equipment returns to stock
  • Swaps equipment units
  • Original unit returns to “Stock 911”
  • New equipment takes over assignment
  • Both units have complete movement history
Temporary - Short-term assignment
  • Assigns equipment on provisional basis
  • Records temporary resource assignment
  • Can be converted to permanent later
Return Temporary Equipment - Return equipment from temporary assignment
  • Moves equipment to “Lote Temporal PG”
  • Records deassignment from previous resource
  • Equipment awaits next assignment
Return - Standard equipment return
  • Returns equipment to “Stock 911”
  • Records previous assignment details
  • Equipment becomes available for reassignment
Return to Dependency - Return equipment to originating department
  • Assigns back to original location
  • Updates resource assignment
  • Maintains organizational structure
Review - Equipment under evaluation
  • Assigns to review resource
  • Tracks review period
  • Can return to service or stock after review
Lost - Report equipment as missing
  • Moves to “Equipos extraviados” resource
  • Records last known location
  • Tracks missing equipment separately
Recovered - Equipment found after being lost
  • Assigns recovered equipment to resource
  • Updates status from lost to active
  • Records recovery details
Reprogramming - Equipment configuration update
  • Records reprogramming activity
  • Maintains assignment during process
  • Tracks configuration changes

Editing Fleet Assignments

Update existing fleet assignments to record new movements: When editing, you can:
  • Record a new movement (creates new historical record)
  • Change equipment (useful for replacements)
  • Update resource assignment
  • Modify location/department
  • Add documentation (images and files)
  • Update observations
Special Features:
  • Replacement Equipment Selector: For replacement movements, choose from equipment in “Stock 911”
  • Final Status Selector: Set equipment end status after certain movements
  • Historical Modification Only: Check this to only update historical record without changing fleet assignment
Editing a fleet record creates a new historical entry and closes the previous one with a deassignment date. The complete history is preserved.

Search Features:
  • All filters can be combined
  • Multi-select filters support multiple values
  • Date range uses start and end dates
  • Results are paginated (500 per page)
  • Export search results to Excel
  • Hierarchical location search (includes child departments)
When searching by current location or patrimonial location, the system automatically includes all child dependencies in the hierarchy. For example, selecting a Division includes all Sections and Stations under it.

Equipment History

View complete movement history for any equipment: History includes:
  • All movements chronologically (most recent first)
  • Movement types and dates
  • Previous and current assignments
  • Resources and vehicles
  • Locations and departments
  • Attached images and documents
  • Observations for each movement
  • Assignment and deassignment timestamps
Actions on history:
  • View all attached images inline
  • Download attached documents
  • Update observations for past movements
  • Add new images or documents to historical records
  • Print complete history

Generating Delivery Documents

Create official delivery documentation (Word format):

  • Police headers and logos
  • Current date and location
  • Equipment details (brand, model, TEI, ISSI)
  • Destination department
  • Formatted delivery text

Document downloads automatically with timestamp in filename
Document formats available:
  • Standard document
  • Template-based (uses stored template)
  • Tabular format (for multiple equipment)
Delivery documents are generated on-demand and not stored permanently. Generate them as needed for physical delivery paperwork.

Exporting Fleet Data

Export Options:
  1. Standard Export: Export all fleet assignments with current filters applied
  2. Advanced Search Export: Export results from advanced search with all filters
Exports include:
  • Equipment identification (TEI, ISSI, brand, model)
  • Resource and vehicle information
  • Location and department
  • Current status
  • Assignment dates
  • Observations
Export filename format: BusquedaAvanzadaFlota_YYYY-MM-DD_HH-MM-SS.xlsx

Hierarchical Location Management

The system respects organizational hierarchy when filtering and displaying equipment: Hierarchy Levels:
  1. Police Headquarters (Jefatura)
  2. Directions (Direcciones)
  3. Departmental Units (Departamentales)
  4. Divisions (Divisiones)
  5. Police Stations (Comisarías)
  6. Sections (Secciones)
  7. Detachments (Destacamentos)
When you select a parent level, the system includes all equipment in child levels automatically.
This hierarchical search makes it easy to see all equipment for an entire Division without manually selecting each Section or Station under it.

Always Record Movement Type

Select the appropriate movement type for accurate tracking and reporting.

Attach Documentation

Upload photos of installations and relevant paperwork for audit trails.

Use Observations Field

Document special circumstances, reasons for movements, or technical notes.

Keep Assignment Dates Accurate

Use actual installation/removal dates for accurate historical tracking.

Verify Resource Selection

Double-check resource and location before saving to avoid incorrect assignments.

Review History Before Changes
