Get your RatingFlow account set up and send your first review request in under 10 minutes. This guide walks you through the essential steps to start collecting 5-star reviews and protecting your brand reputation.

Prerequisites

Before you begin, make sure you have:
  • A RatingFlow account (sign up at ratingflow.co)
  • Your Google Business Profile or other review platform credentials
  • A list of customer contact information (email addresses or phone numbers)

Set up your account

1

Create your account

Sign up for RatingFlow and verify your email address. Choose the plan that fits your business size and needs.
Agencies should select the white label plan to rebrand the platform for your clients.
2

Configure your business profile

Add your business information including:
  • Business name and logo
  • Industry and location
  • Review platform links (Google Maps, Facebook, Trustpilot)
  • Contact preferences
Make sure your Google Business Profile link is accurate — this is where your 5-star reviews will be directed.
3

Set up sentiment routing

Configure the smart-routing system that protects your brand:
  • High ratings (4-5 stars): Direct to public review platforms
  • Low ratings (1-3 stars): Route to private feedback form
Customize the rating threshold and feedback form fields to match your business needs.
Test your routing flow before sending to customers. Click “Preview” to see both the positive and negative customer journeys.
4

Customize your messaging

Personalize the review request messages sent to your customers:
  • Email subject lines and body text
  • SMS message templates
  • Thank you page content
  • Follow-up sequences
Use merge tags like {customer_name} and {business_name} to personalize each request.

Send your first review request

Choose the method that works best for your business:
1

Upload your customer list

Import contacts via CSV upload or manual entry. Include customer name, email, and/or phone number.
2

Select your audience

Choose who receives the review request:
  • All customers
  • Recent purchases only
  • High-value customers
  • Custom segment
3

Choose your channel

Send via SMS, email, or both for maximum response rates.
SMS typically gets 3-5x higher open rates than email, but email allows for more detailed messaging.
4

Schedule or send immediately

Launch your campaign immediately or schedule it for optimal timing (avoid weekends and late nights).

Monitor your results

Once you’ve sent your first requests, track performance in real-time:
