Client management overview

With RatingFlow’s white label solution, you can manage multiple clients from a single agency dashboard. Each client receives their own isolated workspace with customized settings while you maintain centralized oversight and control.
Every client account operates independently with its own review campaigns, QR codes, and reporting—all under your agency brand.

Adding a new client

Create client account

From your agency dashboard, click Add New Client and enter their business information:
  • Business name
  • Industry/category
  • Primary location
  • Contact email
  • Phone number

Configure review platforms

Set up which platforms the client wants to collect reviews on:
  • Google Maps/Google Business Profile
  • Facebook
  • Trustpilot
  • Industry-specific platforms
Add the direct URLs where customers should be sent for 4-5 star reviews.

Set rating threshold

Configure the smart-routing system:
  • High ratings (4-5 stars): Redirect to public review platforms
  • Low ratings (1-3 stars): Route to private feedback form
You can customize the threshold based on client preferences.

Grant client access

Decide on access level:
  • Full access: Client can log in and view their dashboard
  • Report only: Client receives automated reports via email
  • Agency managed: You manage everything and share reports manually

Client dashboard features

Each client has access to their own branded dashboard with these capabilities:

Review requests

Send automated review requests via SMS and email to customers. Clients can upload contact lists or send individual requests.

QR code generator

Generate custom QR codes for physical locations. Perfect for restaurants, hotels, retail stores, and service businesses.

Feedback management

View and respond to private feedback from customers who left 1-3 star ratings before going public.

Review analytics

Track review volume, average ratings, response rates, and trends over time.

Organizing multiple clients

Client groups

Organize clients into groups based on:
  • Industry type (restaurants, healthcare, real estate)
  • Service tier (basic, premium, enterprise)
  • Geographic region
  • Account manager assignment

Bulk operations

Manage multiple clients efficiently:
  • Apply branding updates across all clients

Client access levels

You control how much access each client has to their account:

Full dashboard access

Clients can log in and use all features independently:

Limited access

Clients can view reports but cannot modify campaigns or settings. You maintain control over review request campaigns and configuration.

Report-only access

Clients receive automated email reports but have no dashboard login. This is ideal for clients who want a hands-off experience.

Managing client campaigns

Automated review requests

Set up automated campaigns for each client:

Upload customer contacts

Import customer email addresses and phone numbers via CSV or integrate with their CRM system.

Customize request message

Personalize the review request message with the client’s business name and branding.

Set sending schedule

Choose when and how often to send requests (immediate, daily batches, weekly).

Monitor response rates

Track open rates, click rates, and completed reviews for each campaign.

QR code campaigns

For clients with physical locations, generate QR codes that can be placed on:
