Services Overview

Services are the core offerings customers can book. Each service defines what you provide, how long it takes, and what it costs.

Service Types

  • 1-on-1 Appointments: Individual customer services
  • Group Classes: Multi-participant sessions

Creating Services

Create individual appointment services:

Click New Service

Navigate to Services → New Service → 1-on-1 service

Basic Information

  • Name: Service display name
  • Description: Details shown to customers
  • Category: Organize into service groups
  • Color: Visual identifier in calendar

Pricing

  • Price: Customer cost
  • Cost: Your cost (for profit tracking)
  • Price Type: Fixed or variable pricing

Duration & Phases

  • Set total service duration
  • Or break into multiple phases (e.g., consultation, treatment, follow-up)

Scheduling Settings

  • Booking window: How far in advance customers can book
  • Cancel deadline: Cancellation cutoff time
  • Buffer time: Gap between bookings

Product Usage

Link products consumed during this service

Service Phases

Break complex services into distinct phases for better time management and customer communication.

Phase Types

Working Time
  • Direct customer interaction
  • Counted toward total service time
  • Visible to customers
Examples: Consultation, Treatment, Training
Preparation Time
  • Setup or cleanup between customers
  • Not charged to customer
  • Prevents back-to-back scheduling
Examples: Room setup, Equipment cleaning

Managing Phases

Service Phases Configuration For each phase, configure:
  • Phase name
  • Duration (in minutes)
  • Phase type (active or buffer)
  • Sequence order
Phases run consecutively during the booking time block.

Service Categories

Organize services into logical groups:

Click New Category

From Services page, click “New category”

Name Category

Enter a descriptive category name (e.g., “Hair Services”, “Fitness Classes”)

Category appears in your service list

Category Features

Organization

  • Group related services together
  • Shown separately in booking interface
  • Collapsible sections

Ordering

  • Reorder categories with up/down arrows
  • Drag services within categories
  • Custom sequence for customer display

Uncategorized Services

Services without a category appear in the “Uncategorized” section, which always displays last.

Service Display

Services appear as cards in your service list: Service Cards Each card shows:
  • Service name and color indicator
  • Duration and price
  • Booking type badge (1-on-1 or Group)
  • Active/inactive status
  • Quick action menu

Service Actions

Modify any service details. Changes apply to future bookings only.

Service Settings

Booking Window

How soon customers can book:
  • Same day (0 hours)
  • 24 hours in advance
  • Custom time period
Prevents last-minute bookings that may be impractical.
How far in advance bookings are allowed:
  • 30 days (common)
  • 60 days
  • 90 days
  • Custom limit
Helps with capacity planning and prevents booking too far ahead.

Cancellation Deadline

Set how late customers can cancel:
  • 24 hours before appointment
  • 48 hours before
  • Custom deadline
Late cancellations outside this window may incur penalties (configured elsewhere).

Buffer Time

Automatically add gaps between bookings for preparation, cleanup, or travel.
Buffer options:
  • No buffer (back-to-back bookings)
  • 5, 10, 15, or 30 minutes
  • Custom duration
Buffer time appears as unavailable in the calendar.

Products

Track inventory items used during services:

Each product includes:

Basic Details

  • Product name
  • Description
  • Unit of measurement
  • Price (optional)

Inventory

  • Maximum stock level
  • Current stock amount
  • Low stock threshold
  • Usage tracking

Creating Products

Navigate to Products

Click “Products” in the sidebar

Click New Product

Open the new product form

Enter Details

  • Name (e.g., “Shampoo”, “Towels”)
  • Description
  • Unit (e.g., “bottle”, “piece”, “ml”)
  • Price (your cost)
  • Max amount
  • Current amount

Linking Products to Services

Connect products to services for automatic tracking:
  1. Edit a service
  2. Scroll to “Product Usage” section
  3. Search and select products
  4. Set amount used per booking
  5. Save service
When the service is booked, inventory automatically decrements.

Product Table

Products Inventory Table The products table displays:
  • Product name and description
  • Current vs. max stock levels
  • Price information
  • Services that use this product
  • Quick edit and delete actions

Low Stock Alerts

When product inventory drops below 20% of max amount, alerts appear on the dashboard.
Low stock notifications show:
  • Product name
  • Current quantity
  • Link to restock
Helps prevent service disruptions due to supply shortages.

Restocking Products

  1. Navigate to Products
  2. Click edit on the product
  3. Update “Current amount” field
  4. Save changes
Consider setting up regular restocking schedules for frequently used items. Find services quickly:

Search Bar

Type service name to filter the list in real-time

Category Filter

Click categories to show only services in that group

Service Pricing

Standard price that never changes:
  • Set once, applies to all bookings
  • Simple for customers to understand
  • Best for consistent services

Service Visibility

Active Services

  • Visible to customers in booking app
  • Available for scheduling
  • Shown in service list

Inactive Services

  • Hidden from customer booking
  • Existing bookings remain
  • Useful for seasonal services

Managing Service Order

Control how services appear to customers:
Use up/down arrows on category cards to reorder categories. The order reflects in:
  • Your service list
  • Customer booking interface
  • Service selection dropdowns
Within each category, drag services or use reorder buttons to set sequence. First services appear at the top.

Service Analytics

Understand service performance:
  • Booking count: How often each service is booked
  • Revenue: Total earnings per service
  • Popularity: Most vs. least booked services
  • Utilization: Service capacity usage

Best Practices

Clear Names

Use descriptive service names customers will understand immediately

Accurate Duration

Include buffer time in service duration for realistic scheduling

Category Logic

Group services by type, not by price or duration

Regular Reviews

Update pricing and descriptions quarterly
