Overview

Projects in ClypAI help you organize your content library, track performance across clips, and maintain separate workflows for different content types or clients. This guide covers everything from creating projects to advanced organization strategies.

Understanding Projects

Projects are containers that group related content together:
  • Content organization: Keep clips from the same series, client, or topic together
  • Performance tracking: View aggregated metrics across all clips in a project
  • Team collaboration: Control access and permissions at the project level
  • Brand consistency: Apply project-specific Brand Kits automatically
  • Usage tracking: Monitor Polar usage credits per project
Think of projects as folders for your content strategy. Each podcast series, client, or content vertical should have its own project.

Creating Your First Project

Navigate to Projects

From the dashboard sidebar, click Projects or navigate to /projects.

Click Create Project

Click the Create Project button in the top right corner.

Configure Project Settings

Fill in the project details:Basic Information
  • Project name: Choose a descriptive name (e.g., “Marketing Podcast Clips”)
  • Description: Add details about the project’s purpose
  • Color label: Select a color for quick visual identification
  • Cover image: Upload a thumbnail (optional)
Organization
  • Assign to organization: Select which organization owns this project
  • Default Brand Kit: Choose a Brand Kit to auto-apply to all clips
  • Tags: Add searchable tags for filtering
Advanced Settings
  • Default platform: Set primary publishing platform
  • Auto-publish: Enable automatic publishing when clips are ready
  • Retention policy: Configure how long to keep processed clips

Set Permissions (Team Plans)

If you’re on a team plan, configure who can access this project:
  • Viewers: Can see clips but not edit
  • Editors: Can create and edit clips
  • Admins: Full project control including deletion
Organization admins always have full access to all projects.

Create Project

Click Create to finalize your new project. You’ll be redirected to the empty project view.

Browse all clips within the project:
  • Grid view: Visual thumbnail overview
  • List view: Detailed information in table format
  • Filter options: By status, platform, date, or engagement
  • Sort options: Recent, popularity, duration, or custom

  • Quick status indicators
  • Hover to play preview
  • Drag and drop to reorder

Performance Metrics

Track how your clips perform across platforms:
View aggregated metrics:
  • Total views: Sum of all clip views across platforms
  • Engagement rate: Average likes, comments, shares per view
  • Watch time: Total minutes watched across all clips
  • Top performers: Clips with highest engagement
Available for clips published through connected platforms.
Compare performance by platform:
  • View counts by TikTok, Instagram, YouTube, X
  • Platform-specific engagement rates
  • Best performing platform identification
  • Cross-platform posting patterns
Understand your content patterns:
  • Views over time graph
  • Best posting times and days
  • Engagement trends
  • Audience growth tracking
Generate reports for:

Organizing Projects

Project Categories

Group projects into categories for easier navigation:

Create Categories

From the Projects page, click Manage Categories to create custom categories:
  • Client work
  • Personal content
  • Archived projects
  • Testing/experiments

Assign Projects

Drag and drop projects into categories, or use the project settings menu to assign categories.

Filter by Category

Use the category filter in the sidebar to show only projects from specific categories.

Tags and Labels

Add metadata to projects for powerful filtering:
  • Content type: Podcast, webinar, stream, tutorial
  • Status: Active, paused, completed, archived
  • Priority: High, medium, low
  • Client tags: Client names or campaign identifiers

Search and Filtering

Quickly find projects using:
Searching: "marketing" type:podcast status:active
Supported filters:
  • type: - Filter by content type
  • status: - Filter by project status
  • created: - Filter by creation date (today, week, month, year)
  • team: - Filter by team member
  • brand: - Filter by Brand Kit

Project Templates

Save time by creating reusable project templates:

Create a Template

From any project’s settings, click Save as Template.

Choose which settings to include:
  • Brand Kit assignment
  • Default platforms
  • Team permissions
  • Processing preferences

Use Templates

When creating a new project, select From Template and choose your saved template.
Create templates for common workflows like “Weekly Podcast”, “Client Testimonials”, or “Product Launches” to maintain consistency.

Bulk Operations

Manage multiple clips efficiently:

Select multiple clips to:
  • Move to another project
  • Apply Brand Kit to all selected clips
  • Publish to platforms in batch
  • Download as a single ZIP file
  • Delete multiple clips at once
  • Update metadata (tags, descriptions)

Smart Selection

Use smart filters to select clips:
  • All clips from specific date range
  • All clips below engagement threshold
  • All unpublished clips
  • All clips needing review

Advanced configuration options:

General Settings

Update basic information:
  • Name and description
  • Cover image
  • Color label
  • Tags and categories

Storage Management

Monitor and optimize storage:
  • Current usage: See total storage consumed by project
  • Retention policies: Auto-delete clips after X days
  • Archive old clips: Move to lower-cost storage
  • Cleanup suggestions: AI-recommended clips to delete
Deleting clips is permanent and cannot be undone. Always download important clips before deletion.

Usage and Billing

Monitor Project Usage

Track Polar credits consumed:
  • Processing credits: Credits used for AI processing
  • Storage credits: Credits for clip storage
  • Publishing credits: Credits for direct platform publishing
Set usage alerts to get notified when a project reaches credit thresholds.

Project Budgets

For team and enterprise plans:
  • Set maximum credits per project per month
  • Allocate credits across projects
  • Track actual vs budgeted usage
  • Generate usage reports for billing

Archiving and Deletion

Archive Projects

Temporarily hide completed projects:

Archive Project

From project settings, click Archive Project.

Access Archived Projects

Click Show Archived in the Projects page to view archived projects.

Restore Project

Click Unarchive to restore a project to active status.
Archived projects:
  • Don’t count toward active project limits
  • Retain all clips and data
  • Can be searched and accessed anytime
  • Don’t appear in default project lists

Delete Projects

Permanent deletion removes:
  • All clips in the project
  • All processing history
  • All analytics data
  • All team comments and activity logs
This action cannot be undone. Consider archiving instead.

Best Practices

Use clear, descriptive names:
  • Include content type: “Podcast: Marketing Masters”
  • Add date ranges: “Q1 2026 Product Launches”
  • Client identifiers: “[ACME] Social Media Campaign”
  • Status indicators: ”🔴 High Priority Client Work”
Maintain organized projects:
  • Archive completed projects quarterly
  • Delete test/draft clips regularly
  • Review and update project descriptions
  • Remove inactive team members
