Get Started with Kinbox
This guide will walk you through setting up your Kinbox account, connecting your first communication channel, and handling your first customer conversation. You’ll be up and running in under 10 minutes.Prerequisites
Before you begin, make sure you have:- A business email address
- Access to one of the following channels:
- WhatsApp Business account
- Instagram Business account
- Facebook Page
- Phone number for SMS
Step 1: Create Your Kinbox Account
Sign up for Kinbox
Go to app.kinbox.com.br and create your account:
- Enter your business email
- Create a secure password
- Provide your company information
- Verify your email address
You’ll receive a verification email. Click the link to activate your account.
Step 2: Connect Your First Channel
Kinbox supports multiple communication channels. We’ll show you how to connect WhatsApp and Instagram, the most popular options.- WhatsApp

Connect WhatsApp
Select WhatsApp type
Choose between two WhatsApp options:
- WhatsApp Official (Cloud API): Recommended for businesses, requires Meta Business verification
- WhatsApp Lite: Quick setup with QR code, perfect for getting started
Connect your number (WhatsApp Lite)
If you chose WhatsApp Lite:
- Click Create WhatsApp Lite Channel
- Scan the QR code with your WhatsApp mobile app
- Go to WhatsApp > Linked Devices > Link a Device
- Point your camera at the QR code
- Wait for the connection to establish
Your channel will be active within seconds after scanning.
Step 3: Configure Your Inbox
Now that your channel is connected, let’s set up your inbox for efficient conversation management.Set up automatic assignment
Configure how conversations are assigned to team members:
- Go to Settings > Automatic Assignment
- Click Create Assignment Rule
- Choose assignment type:
- Round Robin: Distribute evenly among available agents
- Load Balancing: Assign to agent with fewest active conversations
- Specific Agent: Always assign to a particular team member
- Select which channels this rule applies to
- Save your rule
If you’re the only team member, conversations will automatically be assigned to you.
Create quick replies (Optional)
Save time with pre-written responses:
- Go to Settings > Quick Replies
- Click New Quick Reply
- Create a shortcut (e.g.,
/hello) - Write your message template
- Use variables like
{{contact.name}}for personalization - Save your quick reply
Step 4: Handle Your First Conversation
Let’s walk through receiving and responding to your first customer message.Receive a message
Ask a friend or colleague to send a message to your connected channel (WhatsApp or Instagram).You’ll see:
- A notification in Kinbox (if enabled)
- The conversation appear in your Inbox
- Automatic assignment (if configured)
Open the conversation
Click on the conversation in your inbox to open it. You’ll see:
- Left Panel: Conversation thread with all messages
- Right Panel: Contact details, timeline, and notes
- Bottom: Message input area with formatting options
Send a response
Respond to your customer:
- Type your message in the input area
- Use formatting buttons for bold, italic, or lists
- Add emojis if appropriate 😊
- Attach files, images, or audio if needed
- Press Enter or click Send
Your message will be sent through the original channel (WhatsApp, Instagram, etc.)
Add contact information
Enrich the contact profile:
- In the right panel, click Edit Contact
- Add information like:
- Name
- Phone number
- Company
- Custom fields
- Save the contact
Add tags and notes
Organize your conversation:
- Tags: Click Add Tag to categorize (e.g., “New Lead”, “Support”, “Urgent”)
- Notes: Add internal notes that customers can’t see
- Tasks: Create follow-up tasks with due dates
Step 5: Create Your First Automation (Optional)
Automate responses with the bot builder:Create a welcome message
- Name your bot (e.g., “Welcome Bot”)
- Add a Message Action
- Write a greeting: “Hello! Thank you for contacting us. How can we help you today?”
- Set the trigger to New Conversation
- Save and activate your bot
