Get Started with Kinbox

This guide will walk you through setting up your Kinbox account, connecting your first communication channel, and handling your first customer conversation. You’ll be up and running in under 10 minutes.

Prerequisites

Before you begin, make sure you have:
  • A business email address
  • Access to one of the following channels:
    • WhatsApp Business account
    • Instagram Business account
    • Facebook Page
    • Phone number for SMS

Step 1: Create Your Kinbox Account

Sign up for Kinbox

Go to app.kinbox.com.br and create your account:
  1. Enter your business email
  2. Create a secure password
  3. Provide your company information
  4. Verify your email address
You’ll receive a verification email. Click the link to activate your account.

Complete workspace setup

After verifying your email, you’ll be guided through the initial setup:
  • Set your workspace name (your company name)
  • Configure your timezone
  • Set business hours (optional)
  • Invite team members (optional)
You can modify these settings later in Settings > Workspace.

Step 2: Connect Your First Channel

Kinbox supports multiple communication channels. We’ll show you how to connect WhatsApp and Instagram, the most popular options.

Connect WhatsApp

Navigate to Channels

In your Kinbox dashboard, go to Settings > Channels and click Add Channel.

Select WhatsApp type

Choose between two WhatsApp options:
  • WhatsApp Official (Cloud API): Recommended for businesses, requires Meta Business verification
  • WhatsApp Lite: Quick setup with QR code, perfect for getting started
WhatsApp Official requires a Meta Business Manager account and phone number verification. This process can take 24-48 hours.

Connect your number (WhatsApp Lite)

If you chose WhatsApp Lite:
  1. Click Create WhatsApp Lite Channel
  2. Scan the QR code with your WhatsApp mobile app
  3. Go to WhatsApp > Linked Devices > Link a Device
  4. Point your camera at the QR code
  5. Wait for the connection to establish
Your channel will be active within seconds after scanning.

Connect official API (WhatsApp Official)

If you chose WhatsApp Official:
  1. Connect your Meta Business Manager account
  2. Select your phone number or register a new one
  3. Verify your phone number with the code sent via SMS
  4. Accept Meta’s terms and conditions
  5. Wait for approval (usually 1-2 business days)

Step 3: Configure Your Inbox

Now that your channel is connected, let’s set up your inbox for efficient conversation management.

Set up automatic assignment

Configure how conversations are assigned to team members:
  1. Go to Settings > Automatic Assignment
  2. Click Create Assignment Rule
  3. Choose assignment type:
    • Round Robin: Distribute evenly among available agents
    • Load Balancing: Assign to agent with fewest active conversations
    • Specific Agent: Always assign to a particular team member
  4. Select which channels this rule applies to
  5. Save your rule
If you’re the only team member, conversations will automatically be assigned to you.

Create quick replies (Optional)

Save time with pre-written responses:
  1. Go to Settings > Quick Replies
  2. Click New Quick Reply
  3. Create a shortcut (e.g., /hello)
  4. Write your message template
  5. Use variables like {{contact.name}} for personalization
  6. Save your quick reply
Shortcut: /hello
Message: Olá {{contact.name}}! Como posso ajudar você hoje?

Set business hours (Optional)

Define when your team is available:
  1. Go to Settings > Business Hours
  2. Set your working days and hours
  3. Configure automatic responses for outside business hours
  4. Save your settings

Step 4: Handle Your First Conversation

Let’s walk through receiving and responding to your first customer message.

Receive a message

Ask a friend or colleague to send a message to your connected channel (WhatsApp or Instagram).You’ll see:
  • A notification in Kinbox (if enabled)
  • The conversation appear in your Inbox
  • Automatic assignment (if configured)

Open the conversation

Click on the conversation in your inbox to open it. You’ll see:
  • Left Panel: Conversation thread with all messages
  • Right Panel: Contact details, timeline, and notes
  • Bottom: Message input area with formatting options

Send a response

Respond to your customer:
  1. Type your message in the input area
  2. Use formatting buttons for bold, italic, or lists
  3. Add emojis if appropriate 😊
  4. Attach files, images, or audio if needed
  5. Press Enter or click Send
Your message will be sent through the original channel (WhatsApp, Instagram, etc.)

Add contact information

Enrich the contact profile:
  1. In the right panel, click Edit Contact
  2. Add information like:
    • Name
    • Email
    • Phone number
    • Company
    • Custom fields
  3. Save the contact

Add tags and notes

Organize your conversation:
  • Tags: Click Add Tag to categorize (e.g., “New Lead”, “Support”, “Urgent”)
  • Notes: Add internal notes that customers can’t see
  • Tasks: Create follow-up tasks with due dates

Close the conversation

When the conversation is resolved:
  1. Click the Close Conversation button
  2. Optionally add a closing note
  3. The conversation moves to Closed tab
If the customer sends another message, the conversation automatically reopens.

Step 5: Create Your First Automation (Optional)

Automate responses with the bot builder:

Access the bot builder

Go to Settings > Bots and click Create Bot.

Create a welcome message

  1. Name your bot (e.g., “Welcome Bot”)
  2. Add a Message Action
  3. Write a greeting: “Hello! Thank you for contacting us. How can we help you today?”
  4. Set the trigger to New Conversation
  5. Save and activate your bot

Test your bot

Send another test message to your channel and watch the bot respond automatically!
