Overview
The Outlook integration uses Microsoft’s secure OAuth 2.0 authentication to automatically monitor email threads related to your job applications. ApplyTrack intelligently detects recruiter communications and updates your application pipeline without manual intervention.
Enterprise-Grade Security: We use Microsoft’s OAuth 2.0 protocol and never store your Outlook password. Your credentials remain secure and you can revoke access at any time.

How It Works
ApplyTrack’s intelligent email engine continuously monitors your Outlook inbox for job application communications and automatically progresses your application through your pipeline:
- Applied → Application confirmation receipts
- Interviewing → Interview scheduling requests or recruiter outreach
- Offer Extended → Offer letters and compensation proposals
- Rejected → Position-filled or rejection notifications
Setup Process
Access Integration Settings
In your ApplyTrack dashboard, navigate to Settings from the sidebar, then select Integrations.
Choose Outlook
In the Email Integrations section, click the Connect Outlook button.
Microsoft Authentication
You’ll be redirected to Microsoft’s secure login page. Sign in with your Outlook.com or Microsoft 365 account.Ensure you’re logging in with the email account where you receive job application correspondence.
Authorize Permissions
Review the permissions ApplyTrack requests:
- Read your email: To identify job-related communications
- Read mail metadata: To track email threads and sender information
- Maintain access to data: To keep your dashboard in sync
Click Accept to grant these permissions. Verify Connection
After authorization, you’ll return to ApplyTrack with a confirmation message.The initial email sync begins immediately and typically processes your last 30 days of emails within 2-3 minutes.

## Security & Privacy
### Microsoft OAuth 2.0 Protocol
ApplyTrack integrates with Outlook using Microsoft's OAuth 2.0, which ensures:
- Your Outlook password is never shared with ApplyTrack
- You grant specific, limited permissions only
- Access can be revoked anytime from Microsoft Account settings
- Tokens are automatically refreshed for seamless operation
### Enterprise-Grade Encryption
- **In Transit**: All data transmitted using TLS 1.3 encryption
- **At Rest**: Email metadata encrypted with AES-256
- **Minimal Data**: We store only sender, subject, date, and thread ID - not full message bodies
- **GDPR Compliant**: Full compliance with European data protection regulations
### What We Don't Do
- We never access emails unrelated to job hunting
- We don't read personal or confidential communications
- We don't store your Outlook password
- We cannot send, modify, or delete your emails
- We don't share your data with third parties

## Troubleshooting
### Connection Failed
**Issue**: "Unable to connect to Outlook" error
**Solutions**:
1. Verify you're using the correct Microsoft account
2. Check if browser pop-ups are blocked
3. Ensure cookies are enabled for login.microsoftonline.com
4. Try using a different browser (Chrome or Edge recommended)
5. Disable browser extensions that might interfere with OAuth
### Emails Not Syncing
**Issue**: Recent emails don't appear or trigger status updates
**Solutions**:
1. Check **Last Sync** timestamp in Settings → Integrations
2. Click **Sync Now** to trigger immediate synchronization
3. Verify emails aren't in Junk/Spam folder
4. Check if email rules are moving messages to other folders
5. Ensure sender domains aren't blocked
### Authentication Error
**Issue**: "Authentication failed" or "Token expired" message
**Solutions**:
1. Click **Reconnect** in ApplyTrack settings
2. Clear browser cache and cookies
3. Check Microsoft Account → Security → App permissions for ApplyTrack
4. Ensure two-factor authentication codes are entered correctly
5. Verify your Microsoft 365 admin hasn't blocked third-party apps (enterprise accounts)
### Microsoft 365 Admin Consent Required
**Issue**: "Admin consent required" error for enterprise accounts
**Solutions**:
1. Contact your IT department to approve ApplyTrack
2. Provide them with our [Admin Consent Guide](/integrations/outlook#admin-consent)
3. Alternatively, use a personal Outlook.com account for job hunting
4. Request your admin add ApplyTrack to approved applications list
### Partial Sync Issues
**Issue**: Some emails sync but others don't
**Solutions**:
1. Check if missing emails are in subfolders (we only monitor Inbox by default)
2. Premium users can enable subfolder monitoring in Advanced Settings
3. Verify email subject lines contain job-related keywords
4. Check Activity Log to see if emails were processed but not matched to applications
### Duplicate Applications Created
**Issue**: Multiple entries for the same job from forwarded emails
**Solutions**:
1. Check if emails were forwarded or CC'd, creating multiple threads
2. Merge duplicate applications from the application detail page
3. Enable "Duplicate Detection" in Settings → Integrations → Advanced
4. Mark one application as primary to consolidate email history
## Managing Your Connection
### Monitoring Sync Activity
View your Outlook integration status at **Settings → Integrations**:
- **Connection Status**: Active, Disconnected, or Authentication Required
- **Last Successful Sync**: Timestamp of most recent email check
- **Threads Monitored**: Total number of job-related email conversations
- **Sync History**: Log of recent synchronization events
### Disconnecting Outlook
To remove the Outlook integration:
1. Navigate to **Settings → Integrations**
2. Locate Outlook and click **Disconnect**
3. Confirm disconnection in the modal dialog
4. Optionally revoke access from [Microsoft Account Permissions](https://account.microsoft.com/privacy/app-access)

### Reconnecting After Token Expiry
OAuth tokens occasionally expire. To reconnect:
1. Click the **Reconnect** button when prompted
2. Complete Microsoft authentication again
3. Grant the same permissions as initial setup
4. Your application history and settings are preserved

- Use consistent email addresses for job applications when possible
- Avoid deleting recruiter emails - archive them instead to maintain history
- If an email doesn't trigger a status update, manually adjust and report it to improve our AI
