Meelio’s task management system helps you stay organized with a clean, intuitive interface for tracking your to-dos. Tasks can be organized by categories, pinned for quick access, and filtered by different views to match your workflow. With support for due dates, custom categories, and completion tracking with optional confetti celebrations, Meelio makes task management both functional and delightful.

Creating Tasks

Adding tasks in Meelio is quick and straightforward:

Open the Task Panel

Access the task interface from your Meelio dashboard.

Add a New Task

Enter your task title and press Enter or click the add button.

Set Optional Details

Add a due date, assign to a category, or pin the task for quick access.

Task Properties

Each task can include:
  • Title: A clear description of what needs to be done (required)
  • Due Date: When the task needs to be completed (optional)
  • Category: Custom category for organization (optional)
  • Pinned Status: Pin one task at a time for immediate focus (optional)
  • Completion Status: Track whether the task is done
When you create a task while viewing a specific category, the task is automatically assigned to that category.

Task Lists and Views

Meelio provides several built-in views to help you focus on what matters:

System Lists

Shows every active task across all categories. This is your master list where you can see everything at a glance.
Displays tasks with due dates set to today. This view automatically filters tasks based on their due date, helping you focus on what’s urgent.
Due dates are normalized to midnight of the selected day, so tasks show up in “Today” for the entire day.
Shows all tasks you’ve marked as complete. Great for reviewing what you’ve accomplished.

Custom Category Lists

Create custom categories to organize tasks by project, context, or any system that works for you. Each category becomes a dedicated list with its own icon. Creating a Category:
  1. Navigate to the categories section
  2. Create a new category with a name and optional emoji icon
  3. The category automatically appears as a task list

Managing Tasks

Completing Tasks

Click the checkbox next to any task to mark it complete. When you complete a task:
  • The task is marked with the completion timestamp
  • If confetti is enabled in your settings, you’ll see a celebration animation
  • Pinned tasks are automatically unpinned when completed
  • Completed tasks move to the “Completed” list
You can toggle tasks back to incomplete by clicking the checkbox again.

Pinning Tasks

Pin a single task to keep it at the top of your list and maintain focus:
  • Only one task can be pinned at a time
  • Pinning a new task automatically unpins the previous one
  • Completed tasks cannot be pinned
  • Pinned tasks are automatically unpinned when completed
You can’t pin a completed task. If you try to pin a completed task, you’ll see a warning message.

Deleting Tasks

Delete tasks you no longer need. Deleted tasks are soft-deleted (marked with a deletedAt timestamp) and removed from all views.

Task Organization Strategies

Use the Today View

Start each day by checking your “Today” view. Set due dates for tasks you want to accomplish today to keep them visible in this focused list.

Pin Your Current Focus

Use the pin feature to highlight the one task you’re working on right now. This helps maintain single-tasking and prevents context switching.

Organize by Context

Create categories based on where or how you work: “Work”, “Personal”, “Errands”, “Quick Wins”, etc. This makes it easy to focus on related tasks.

Review Completed Tasks

Regularly check your “Completed” list to celebrate progress and build momentum.

Advanced Features

Category Management

Categories provide flexible organization:
  • Create unlimited custom categories
  • Each category gets a unique ID for reliable filtering
  • Categories can be edited or deleted
  • Deleting a category doesn’t delete tasks (they become uncategorized)
  • Categories automatically sync with your task lists

Task Filtering

Tasks are intelligently filtered based on:
  • Active list selection (All, Today, Completed, or a category)
  • Due date matching for the “Today” view
  • Completion status
  • Soft-delete status (deleted tasks are hidden)
  • User authentication (you only see your own tasks)

Data Persistence

All tasks are stored locally using IndexedDB and synced to your account:
  • Tasks persist across browser sessions
  • Automatic sync when authenticated
  • Offline-first architecture for reliability
  • Local-first performance with cloud backup

Tips and Best Practices

Keep Titles Clear and Actionable

Write task titles that start with verbs: “Call client”, “Review document”, “Send email”. This makes tasks feel more concrete and doable.

Use Due Dates Strategically

Only set due dates for tasks that truly have deadlines. This keeps your “Today” view focused and meaningful.

Regular Review

Set aside time weekly to review all tasks, update priorities, and clean up completed items.

Start with One Pin

Begin each work session by pinning the most important task. Don’t move to the next task until you unpin the current one.

Integration with Other Features

Timer Integration

While working on a pinned task, start the Pomodoro timer to combine focused time blocking with task completion.

Categories

Categories work across both tasks and notes, providing consistent organization throughout Meelio.
Tasks have a maximum limit of 500 per user to ensure optimal performance. This is a generous limit that accommodates most workflows while maintaining speed.
