Ticket types allow you to offer different pricing tiers and access levels for your paid events. This guide covers everything you need to know about configuring tickets.

Overview

Each ticket type represents a unique offering with its own:
  • Name: Identifies the ticket tier (e.g., “Early Bird”, “VIP”)
  • Price: Cost in selected currency
  • Currency: Currently KES (Kenyan Shilling)
  • Availability: Number of tickets available (optional)
  • Valid From: When tickets become available for purchase (optional)
  • Valid Until: When ticket sales end (optional)

Creating Ticket Types

Ticket types are configured during event creation (Step 4) or can be added later from the event management page.

Access Ticket Configuration

During event creation:
  • Navigate to Step 4 (Tickets)
  • This step appears only for Paid events
For existing events:
  • Go to Manage Events
  • Click on your event
  • Navigate to Tickets section

Add Ticket Type

Click “Add Ticket Type” button to create a new tier.Fill in the required fields:

Ticket Name

Choose a descriptive name:
Examples:
- "Early Bird Special"
- "VIP Pass"
- "Standard Admission"
- "Student Discount"
- "Group Package (5 people)"

Price

Enter the ticket price:
  • Numeric value only
  • Example: 1500 for KES 1,500
  • Can be 0 for free tier within paid event

Currency

Select currency:
  • KES (Kenyan Shilling) - Currently supported
  • More currencies coming soon

Quantity (Optional)

Set maximum tickets available:
  • Leave empty for unlimited tickets
  • Enter a number for limited availability
  • Example: 50 for limited VIP tickets
When quantity is set:
  • Tickets are sold first-come, first-served
  • Status shows “Sold Out” when limit is reached
  • Creates urgency for potential attendees

Configure Validity Period (Optional)

Set when tickets can be purchased:

Valid From

Tickets become available at this date/time:
Example: 2026-01-01 00:00:00
  • Use for timed releases (e.g., early bird tickets)
  • Leave empty for immediate availability

Valid Until

Ticket sales end at this date/time:
Example: 2026-02-15 23:59:59
  • Useful for early bird deadlines
  • Typically set before event start date
  • Leave empty to sell until event starts
Validity periods are enforced at purchase time. Tickets outside their validity window are hidden from the ticket selection page.

Save Ticket Type

Review your configuration and save.The ticket type is now:
  • Available for purchase (if within validity period)
  • Visible on the event page
  • Tracked for inventory (if quantity is set)

Ticket Type Strategies

Early Bird Tickets

Reward early registrations with discounted pricing:

VIP or Premium Tickets

Offer enhanced experiences at higher price points:

Standard Tickets

Your main ticket offering:

Characteristics:
  • Base pricing tier
  • Typically unlimited quantity
  • Available throughout sales period
  • Most attendees purchase this tier

Student/Discount Tickets

Make events accessible to budget-conscious attendees:

  • 40-50% off standard price
  • May require verification at check-in
  • Limited quantity

Group Tickets

Pricing:
  • 15-20% discount per person vs individual tickets
  • Specify number of people included

Last Minute Tickets

Fill remaining capacity close to event date:
Ticket Name: "Last Chance"
Price: 2000

Valid From: 7 days before event
Valid Until: [Until event starts]
Strategy:
  • Slightly higher than standard price
  • Creates urgency
  • Captures last-minute decision makers
  • Activates only in final days

Ticket Availability

Setting Quantities

When you set a quantity limit:
availability_quantity: 100
The system tracks:
  • Total quantity: Maximum tickets available
  • Sold tickets: Number purchased
  • Remaining: Total - Sold

Unlimited Tickets

For unlimited availability:
availability_quantity: null
  • No quantity restrictions
  • Never shows “Sold Out”
  • Suitable for virtual events
  • Can be changed to limited later

Real-Time Inventory

Ticket availability is updated in real-time:
  1. Attendee adds ticket to cart
  2. Ticket is reserved temporarily (5-15 minutes)
  3. Upon successful payment, ticket is marked sold
  4. If payment fails or times out, ticket returns to available pool
This prevents overselling while allowing recovery from abandoned checkouts.

How Validity Works

The system checks validity at:
  • Display time: Only valid tickets shown on event page
  • Purchase time: Validates ticket is still valid
  • Checkout: Final validation before payment
If a ticket becomes invalid during checkout, the user is notified to select a different ticket.

Managing Sold Tickets

Viewing Sales

From your event management dashboard:
  1. Navigate to Manage Events
  2. Select your event
  3. View Tickets section
You’ll see:
  • Ticket type name
  • Price and currency
  • Total quantity (if limited)
  • Sold count
  • Revenue generated

Editing Ticket Types

You can modify ticket types after creation: Safe to Change:
  • Ticket name
  • Quantity (increase only recommended)
  • Valid until date (extend only)
Caution Required:
  • Price changes affect new purchases only (existing tickets unchanged)
  • Reducing quantity below sold count not allowed
  • Shortening validity period may confuse users
Cannot Change:
  • Already-purchased tickets
  • Currency after sales begin
Avoid reducing ticket prices significantly after initial sales. This can frustrate early buyers. Consider creating a new discounted tier instead.

Multiple Currency Support

Currently, EventPalour supports:
  • KES (Kenyan Shilling)
Upcoming:
  • USD (US Dollar)
  • More currencies based on demand
All transactions for an event must use the same currency.

Ticket Pricing Best Practices

Before setting prices:
  • Research similar events in your area
  • Check competitor ticket prices
  • Consider your audience’s budget
  • Factor in your costs (venue, speakers, catering)
  • Include platform fees in calculations
Use psychology to guide purchases:
  • List VIP first (sets high anchor)
  • Show savings on early bird (“Save KES 500”)
  • Display “Most Popular” tag on standard tickets
  • Use odd pricing (KES 1,499 vs KES 1,500)
Reward early commitment:
  • Launch with early bird pricing
  • Increase prices in tiers over time
  • Set quantity limits on discounts
  • Communicate price increases clearly
Help attendees understand pricing:
  • List what’s included in each tier
  • Compare tiers side-by-side
  • Highlight VIP exclusives

Ticket Revenue & Payouts

Understanding the flow:
  1. Purchase: Attendee pays through Paystack
  2. Processing: Payment held by Paystack
  3. Settlement: Funds transferred to your account (T+2 days typically)
  4. Fees: Platform and payment processor fees deducted

Common Questions

Can I create free tickets for a paid event? Yes, set the price to 0 for a free tier within your paid event. Useful for:
  • Speaker/sponsor complimentary tickets
  • Media passes
  • Volunteer access
What happens when tickets sell out? When a ticket type reaches its quantity limit:
  • Status changes to “Sold Out”
  • No longer selectable on event page
  • Other ticket types remain available
  • Consider adding a waitlist
Can I add tickets after the event is created? Yes, navigate to your event in Manage Events and add new ticket types anytime before the event starts. How do I handle refunds? Refunds are processed through the attendee management interface:
  1. Go to Manage Events → Select Event → Attendees
  2. Find the attendee’s ticket
  3. Click “Refund” and confirm
  4. Funds return to attendee’s payment method in 5-10 business days
