Account Management

Your ApplyTrack account settings allow you to manage your profile, security preferences, integrations, and billing information. Access your account settings from the dashboard by clicking on your profile icon.

Creating an Account

Sign Up Methods

ApplyTrack offers multiple ways to create your account:

Email Registration

  1. Visit the quickstart guide
  2. Enter your information:
    • First Name - Your given name
    • Last Name - Your family name
    • Work Email - Your primary email address (used for login and notifications)
    • Password - Choose a secure password
  3. Click “Start Free Deployment”
  4. Verify your email address via the confirmation link sent to your inbox

OAuth Sign Up

For faster account creation, you can sign up using:
  • GitHub - Authenticate with your GitHub account
  • Google - Authenticate with your Google account
OAuth sign-up provides instant access without email verification and allows you to log in using those credentials in the future.

When you create your account, you’ll immediately have access to:
  • The ApplyTrack dashboard
  • Browser extension download
  • Up to 5 tracked applications per month
  • Standard analytics and reporting

Logging In

Login Process

  1. Visit the quickstart guide
  2. Enter your credentials:
    • Email Address - The email you used to register
    • Password - Your account password
  3. Click “Sign In to Engine”

Alternative Login Methods

If you signed up using OAuth, you can log in directly using:
  • GitHub - Click the GitHub button to authenticate
  • Google - Click the Google button to authenticate

Forgot Password

If you’ve forgotten your password:
  1. Click “Forgot?” on the login page
  2. Enter your registered email address
  3. Click “Send Reset Link”
  4. Check your inbox for a secure password reset link
  5. Follow the link to create a new password
Password reset links expire after 24 hours for security purposes.

Profile Settings

Personal Information

Update your profile information to keep your account current:
  • Name - Update your first and last name
  • Email Address - Change your primary email (requires verification)
  • Profile Photo - Upload a profile picture for personalization
  • Job Title - Your current or target job title
  • Location - Your city and country for location-based insights

Preferences

Customize your ApplyTrack experience:
  • Email Notifications - Configure which notifications you receive
  • Dashboard Layout - Customize your dashboard view
  • Time Zone - Set your local time zone for accurate tracking
  • Language - Select your preferred interface language

Security Settings

Password Management

Change your password regularly to maintain account security:
  1. Navigate to Settings > Security
  2. Click “Change Password”
  3. Enter your current password
  4. Enter and confirm your new password
  5. Click “Update Password”
Password Requirements:
  • Minimum 8 characters
  • At least one uppercase letter
  • At least one lowercase letter
  • At least one number
  • Special characters recommended

Two-Factor Authentication (2FA)

Recommended for all users, especially Premium Pro and Platinum Elite subscribers
Enable 2FA for enhanced security:
  1. Go to Settings > Security
  2. Click “Enable Two-Factor Authentication”
  3. Scan the QR code with your authenticator app (Google Authenticator, Authy, etc.)
  4. Enter the 6-digit verification code
  5. Save your backup codes in a secure location

Active Sessions

View and manage all active login sessions:
  • See which devices are currently logged into your account
  • View IP addresses and login times
  • Revoke access from any device remotely
  • Log out all sessions except your current one

Integration Settings

Email Synchronization

Available on Premium Pro and Platinum Elite tiers
Connect your email accounts to automatically track recruiter communications:

Gmail Integration

  1. Navigate to Settings > Integrations
  2. Click “Connect Gmail”
  3. Authenticate with Google OAuth
  4. Grant ApplyTrack permission to read email metadata
  5. Select which labels/folders to sync
ApplyTrack uses secure OAuth for Gmail integration. We only access email metadata to track job application threads and never store full email contents.

Outlook Integration

  1. Navigate to Settings > Integrations
  2. Click “Connect Outlook”
  3. Authenticate with Microsoft OAuth
  4. Grant ApplyTrack permission to read email metadata
  5. Configure sync preferences
What Gets Synced:
  • Email sender information
  • Subject lines containing job-related keywords
  • Timestamps for tracking communication history
  • Thread associations with tracked applications
What Doesn’t Get Synced:
  • Full email body content (processed locally only)
  • Attachments
  • Personal or non-job-related emails
  • Deleted or archived emails older than 90 days

Browser Extension

Manage your ApplyTrack browser extension:
  1. Download the extension from your dashboard
  2. Install for Chrome, Firefox, Safari, or Edge
  3. Grant necessary permissions for job board detection
  4. Configure auto-capture settings
Extension Permissions:
  • Access job board websites to detect submissions
  • Store application data locally
  • Sync with your ApplyTrack dashboard

API Access

Available on Platinum Elite tier
Developers and power users can access the ApplyTrack API:
  1. Navigate to Settings > API
  2. Generate an API key
  3. View API documentation
  4. Monitor usage and rate limits

Billing Settings

Current Plan

View your current subscription tier and usage:
  • Plan name (Free, Premium Pro, or Platinum Elite)
  • Monthly or annual billing cycle
  • Next billing date
  • Current usage (applications tracked this month)

Upgrading Your Plan

Select a Plan

Navigate to Settings > Billing and choose Premium Pro or Platinum Elite

Enter Payment Information

Provide credit card details through our secure payment processor

Confirm Upgrade

Review the charges and confirm your upgrade

Instant Access

Your new features are available immediately

Downgrading Your Plan

Downgrade to a lower tier or Free at any time:
  1. Go to Settings > Billing
  2. Click “Change Plan”
  3. Select your desired tier
  4. Confirm the downgrade
Downgrades take effect at the end of your current billing cycle. You’ll retain access to premium features until then.

Payment Methods

  • Add or update credit card information
  • Set a default payment method
  • View payment history and invoices
  • Download receipts for expense reporting

Cancellation

To cancel your paid subscription:
  1. Navigate to Settings > Billing
  2. Click “Cancel Subscription”
  3. Provide optional feedback
  4. Confirm cancellation
Your account will automatically revert to the Free tier at the end of your billing cycle. All your tracked applications and data remain accessible.

Privacy Settings

Data Management

Control how your data is used and stored:
  • Data Retention - Configure how long application data is stored
  • Analytics Opt-In - Choose whether to contribute anonymized data to improve ApplyTrack
  • Marketing Communications - Manage marketing email preferences

Data Export

Export your ApplyTrack data at any time:
  1. Navigate to Settings > Privacy
  2. Click “Export My Data”
  3. Select data types to include (applications, analytics, notes)
  4. Choose export format (JSON, CSV, PDF)
  5. Download your data archive

Account Deletion

This action is permanent and cannot be undone
To permanently delete your ApplyTrack account:
  1. Go to Settings > Privacy
  2. Click “Delete My Account”
  3. Enter your password to confirm
  4. Acknowledge that all data will be permanently deleted
  5. Click “Permanently Delete Account”
All your data will be removed from our servers within 30 days, in compliance with data protection regulations.

Email Notifications

Configure which email notifications you receive:
  • Application Updates - New responses from employers
  • Weekly Summaries - AI-generated performance reports (Premium Pro+)
  • System Updates - Product updates and new features
  • Tips & Best Practices - Career advice and job search tips

Browser Notifications

Enable real-time browser notifications for:
  • New email responses detected
  • Application status changes
  • Upcoming interviews or deadlines
  • Daily job search reminders

Mobile App Notifications

Mobile app coming soon
Customize push notifications for the ApplyTrack mobile app when available.
