Report Analysis Best Practices

Generate monthly Excel reports at the end of each month for:
  • Compliance tracking
  • Performance metrics
  • Management reporting
  • Audit trail documentation
Use year filters to compare:
  • Year-over-year request volumes
  • Average response times across periods
  • Status distribution changes
  • Appeal rates over time
Monitor specific statuses:
  • EN PROCESO: Check for requests approaching deadlines
  • TERMINADA: Calculate completion rates
  • DESECHADA: Analyze prevention/subsanation rates
Use the exported data to create pivot tables analyzing:
  • Requests by month/year
  • Average response times by request type
  • Prevention rates
  • Extension frequency

Advanced Excel Analysis

Once you have exported data, you can perform advanced analysis:

Key Metrics to Calculate

1

Response Rate

= TERMINADA requests / Total requests
Shows completion percentage
2

Average Response Time

= AVERAGE(Promedio Días column)
Overall performance metric
3

Prevention Rate

= (Prevención = Sí) / Total requests
Indicates request clarity issues
4

Appeal Rate

= (Recurso = Sí) / TERMINADA requests
Shows satisfaction with responses

Creating Visual Reports

Excel charts you can create:

Column Chart

Monthly request volume trends

Pie Chart

Status distribution breakdown

Line Graph

Average response time trends

Bar Chart

Request type comparison (DAI vs ARCO)

Automated Reporting Features

Intelligent File Naming

The system automatically generates descriptive filenames:
Pattern: Reporte_{Estado}_{Filtro}_{Hora}.xlsx

Examples:
- Status filter only: Reporte_TERMINADA_Marzo-2026_14꞉30꞉15.xlsx
- Date filter: Reporte_TODOS_LOS_ESTADOS_15-03-2026_10꞉00꞉00.xlsx
- Month+Year: Reporte_PROCESO_Febrero-2026_16꞉45꞉30.xlsx
- Year only: Reporte_EN_PREVENCION_2025_09꞉15꞉00.xlsx

Dynamic Page Sizing

The system adapts to screen resolution:
function getPageSizeBasedOnResolution() {
  // Calculates optimal page size
  // Based on viewport height
// Ensures good UX on all screens
}

Report Data Sources

Reports pull from these primary data sources:
API Endpoints:

1. Requests History
   GET /api/Expediente/Lista
   → All expediente records

2. Appeal Statistics
   GET /api/RecursoRevision/Estadisticas
   → Filtered statistical summaries
→ Query params: mes, anio, materia

3. Deadline Events
   GET /api/Calendario/EventosVencimiento
   → Upcoming deadline data

Performance Considerations

Large exports (thousands of records) may take time. Be patient while the system generates the Excel file.
Optimization tips:
  • Use date filters to limit result sets
  • Export specific statuses rather than all
  • Schedule large reports during off-peak hours
  • Consider monthly incremental exports vs. one annual export
