AppFlowy makes it easy to share your work with others, whether they’re part of your workspace or external collaborators. Control exactly who can view and edit your pages with flexible permission settings.

Overview

Sharing in AppFlowy allows you to:
  • Share private pages with specific people
  • Control access with View or Edit permissions
  • Invite guest editors who aren’t workspace members
  • Track who has access to your pages
  • Manage pending invitations

Sharing a Page

Open the Share Menu

Click the Share button in the top-right corner of any page to open the sharing menu.

Add Collaborators

In the Share tab, enter the email addresses of people you want to share with. You can add multiple collaborators at once by separating emails with commas.

Set Permissions

Choose the appropriate permission level for each collaborator:
  • Can View: Read-only access to the page
  • Can Edit: Full editing rights on the page

Send Invitations

Click Invite to send email invitations to all added collaborators. They’ll receive a link to access the shared page.
You can bulk add collaborators by entering multiple email addresses at once, making it faster to share with teams.

Permission Levels

AppFlowy offers two permission levels for shared pages:

Can View

Read-only access to the page. Viewers can:
  • Read all content
  • View comments and mentions
  • Export the page
  • Cannot make any edits

Can Edit

Full editing access to the page. Editors can:
  • Make changes to content
  • Add and modify blocks
  • Create mentions and assignments
  • Change page properties

Managing Access

View Current Collaborators

To see who has access to your page:
  1. Open the Share menu
  2. The Share tab displays all current collaborators with their permission levels
  3. Workspace members and guest editors are listed separately

Change Permissions

To update someone’s access level:
  1. Locate the collaborator in the Share menu
  2. Click the permission dropdown next to their name
  3. Select the new permission level (Can View or Can Edit)
  4. Changes take effect immediately

Remove Access

To revoke someone’s access to a page:
  1. Find the collaborator in the Share menu
  2. Click the Remove button (×) next to their name
  3. They’ll immediately lose access to the page
Removing access is immediate and cannot be undone. The person will need to be re-invited to regain access.

Managing Pending Members

You can track and manage invitation status for people you’ve invited:
  1. Go to SettingsMembers
  2. View all pending invitations
  3. Resend invitations if needed
  4. Cancel pending invitations
Pending members appear in your member list until they accept the invitation or you cancel it.

Shared with Me

All pages that others have shared with you appear in the Shared with me section in your sidebar. This makes it easy to:
  • Access shared pages quickly
  • See who shared each page
  • Identify your permission level on each page
  • Keep shared content organized separately from your own pages

Find Shared Pages

Look for the Shared with me section in your sidebar navigation.

Open a Shared Page

Click any page to open it. Your permission level (View or Edit) determines what actions you can take.

Work on Shared Content

If you have Edit permissions, you can collaborate in real-time with other editors. See Real-Time Editing for more details.

Inviting Guest Editors

Guest editors are external collaborators who can work on specific pages without being full workspace members. Learn more about Guest Editors.

Best Practices

Use Can View for Stakeholders

Give read-only access to stakeholders who need visibility but shouldn’t make changes.

Review Access Regularly

Periodically audit who has access to sensitive pages and remove unnecessary permissions.

Start with Minimal Permissions

Grant Can View access first, then upgrade to Can Edit only when needed.

Use Guest Editors Wisely

Invite external collaborators as guest editors for specific projects rather than adding them as full members.

Troubleshooting

Collaborator Can’t Access Page

  • Verify they’re using the correct email address
  • Check if the invitation is still pending
  • Ensure they’ve accepted the invitation
  • Resend the invitation from Settings → Members

Permission Changes Not Taking Effect

  • Refresh the page
  • Have the collaborator log out and back in
  • Check your internet connection for sync issues
