Overview

jshERP provides comprehensive inventory reporting to help you monitor stock levels, track material movements, identify stock warnings, and analyze warehouse operations. These reports give you real-time visibility into your inventory health and help optimize stock management.

Available Reports

Material Stock Report

View current inventory levels across all warehouses with detailed stock information

In/Out Stock Report

Analyze stock movements with opening balance, inbound, outbound, and closing quantities

Stock Warning Report

Monitor items that have reached minimum or maximum stock thresholds

Stock Distribution

View how inventory is distributed across multiple warehouse locations

Material Stock Report

Location: Reports > Material Stock Purpose: Get a real-time snapshot of current inventory levels for all materials across warehouses.

How to Use

  1. Access the Report
    • Navigate to Reports > Material Stock
    • The report loads with current stock data for all warehouses
  2. Filter Your Data
    Warehouse: Select one or more warehouses
    Material Info: Enter barcode, name, or other identifiers
    Category: Choose from material category tree
    Storage Position: Filter by warehouse location
    Zero Stock: Choose to show or hide items with zero inventory
    
  3. View Stock Details
    • Click “Flow” (流水) to view material transaction history
    • Click “Distribution” (分布) to see stock across warehouses
    • View summary totals at the top: Total Stock, Total Stock Value, Total Weight
  4. Export and Print
    • Click Export to download as Excel file
    • Click Print to generate a printable report
The report displays summary statistics at the top showing total inventory quantity, total inventory value, and total weight across all filtered items.

In/Out Stock Report

Location: Reports > In/Out Stock Report Purpose: Analyze inventory movements over a specific period, showing opening balance, receipts, issues, and closing balance.

Key Metrics

  • Previous Period Balance (上期结存): Quantity at start of period
  • Inbound Quantity (入库数量): Total receipts during period
  • Outbound Quantity (出库数量): Total issues during period
  • Current Period Balance (本期结存): Quantity at end of period
  • Closing Stock Value (结存金额): Value of ending inventory
  • Date range selection (stock period)
  • Multi-warehouse selection
  • Material search (barcode, name, specifications)
  • Category filtering
  • Material property filtering

How to Use

  1. Select Stock Period
    • Choose start and end dates for analysis
    • Default shows previous month to current date
  2. Apply Filters
    Stock Period: Select date range (required)
    Warehouse: Choose warehouses to include
    Material Info: Search specific materials
    Category: Filter by material category
    
  3. Analyze Stock Movements
    • Review opening balance for each item
    • See total inbound and outbound quantities
    • Verify closing balance calculations
    • Check valuation of closing stock
    • View Period Total Stock and Total Stock Value at top
  4. View Distribution Details
    • Click “Distribution” to see warehouse-level breakdown
    • View how stock is spread across locations
The closing balance calculation is automatic: Previous Balance + Inbound - Outbound = Current Balance. This helps verify inventory accuracy.

Stock Warning Report

Location: Reports > Stock Warning Report Purpose: Identify materials that have exceeded maximum safe stock levels or fallen below minimum safe stock levels, with suggested action quantities.

Warning Indicators

  • Low Safe Stock (最低安全库存): Minimum quantity before reorder
  • High Safe Stock (最高安全库存): Maximum quantity to maintain
  • Current Stock (库存): Present quantity on hand
  • Suggested Inbound (建议入库量): Recommended purchase quantity
  • Suggested Outbound (建议出库量): Recommended sales/transfer quantity
Materials appear in this report when:
  • Current stock < Low Safe Stock (understocked)
  • Current stock > High Safe Stock (overstocked)
The system calculates suggested actions to bring stock back to safe levels.

How to Use

  1. Access Warning Report
    • Navigate to Reports > Stock Warning Report
    • Report automatically shows all materials outside safe stock ranges
  2. Filter Warnings
    Warehouse: Select specific warehouse
    Material Info: Search by barcode, name, specifications
    Category: Filter by material category
    
  3. Review Warnings
    • Items below minimum show positive “Suggested Inbound”
    • Items above maximum show positive “Suggested Outbound”
    • Review safety stock thresholds for each item
  4. Take Action
    • Create purchase orders for understocked items
    • Plan sales promotions for overstocked items
    • Adjust safety stock levels if needed
    • Export list for purchasing or warehouse team
Stock warnings are only generated for materials that have safety stock levels configured in the material master data. Ensure you set appropriate minimum and maximum levels for critical items.

Stock Distribution

Location: Available from Material Stock Report and In/Out Stock Report Purpose: View how a specific material’s inventory is distributed across multiple warehouse locations.

What It Shows

  • Stock quantity at each warehouse location
  • Storage position/shelf location within warehouses
  • Low and high safety stock levels per warehouse
  • Warehouse-specific stock valuations

How to Access

  1. From Material Stock Report or In/Out Stock Report
  2. Click “Distribution” (分布) button for any material
  3. View popup with warehouse-level breakdown

  • Transfer Planning: Identify which warehouses have excess stock for transfers
  • Order Fulfillment: Check which location has stock available for customer orders
  • Balanced Inventory: Ensure stock is appropriately distributed across locations
  • Regional Analysis: Understand inventory positioning by geographic region

All inventory reports support these standard actions:

Export to Excel

  • Click the Export button (download icon)
  • Downloads complete dataset as Excel file
  • Includes all columns and summary totals
  • File format: .xls
  • Click the Print button (printer icon)
  • Generates print-optimized layout
  • Includes all filtered data and totals
  • Browser print dialog opens automatically

Column Customization

  • Click the Settings icon (gear) in column header
  • Check/uncheck columns to show or hide
  • Rearrange columns by dragging
  • Click Restore Default to reset
Column preferences are saved per user and persist across sessions for each report.

  • Review Material Stock Report daily for critical items
  • Run In/Out Stock Report weekly for movement analysis
  • Check Stock Warning Report daily before creating purchase orders
  • Generate monthly reports for financial closing
  • Set minimum and maximum stock levels for all active materials
  • Base levels on lead times and demand variability
  • Review and adjust safety stock quarterly
  • Consider seasonal demand patterns

Troubleshooting

Solutions:
  • Check if all transactions have been posted and approved
  • Review transaction history using the “Flow” button
  • Verify date range filters in In/Out Stock Report
  • Check if initial stock was properly set up

  • Verify you have permission to view the selected warehouses
  • Check if materials are assigned to the selected categories
  • Clear filters and search criteria
  • Ensure transactions have been posted to inventory

  • Review if all items are within safe stock ranges
