Viewing applicants

Access applicants in multiple ways:

All applicants

Navigate to Applicants to see all applications across your organization:
  • View applicants from all jobs
  • Filter by status or job
  • Sort by application date
  • Quick access to candidate details

Job-specific applicants

View applicants for a specific job:
  1. Navigate to Jobs
  2. Click on a job
  3. View the applicant list for that position
This shows only applications submitted for the selected job.

Applicant information

Each applicant profile includes:

Basic details

  • Name: Candidate’s full name
  • Email: Contact email address
  • Application date: When they applied
  • Job: Position they applied for

Application materials

  • Resume: Download or view the uploaded resume
  • Custom responses: Answers to job-specific questions
  • Social profiles: Optional links to:
    • LinkedIn profile
    • Twitter/X handle
    • GitHub account
    • Personal website

Application status

Track where each candidate is in your process.

Applicant statuses

WeGotWork uses six standard statuses to track candidate progress:

SUBMITTED

The initial status when an application is received:
  • Application just submitted
  • Awaiting initial review
  • Automatically assigned to new applications

UNDERREVIEW

Application is being actively reviewed:
  • Screening in progress
  • Team reviewing resume and responses
  • Evaluating fit for the role

INTERVIEW

Candidate has progressed to interviews:
  • Scheduling or conducting interviews
  • Multiple interview rounds
  • Team evaluations in progress

OFFER

Offer has been extended:
  • Offer sent to candidate
  • Negotiating terms
  • Awaiting candidate decision

REJECTED

Candidate was not selected:
  • Not a fit for the role
  • Application declined
  • Position filled with another candidate
Add a rejection reason in your internal notes to improve future hiring decisions.

HIRED

Candidate accepted and joined:
  • Offer accepted
  • Onboarding scheduled or completed
  • Successfully filled position

Changing applicant status

Update status as candidates progress:
  1. Open the applicant profile
  2. Click the status dropdown
  3. Select the new status
  4. Status updates immediately
Status changes are logged in the activity timeline.

Resume management

Resumes are securely stored and managed:

Uploading resumes

Candidates upload resumes during application:
  • Accepts common formats (PDF, DOC, DOCX)
  • Files stored securely in cloud storage
  • Unique resume key generated for each upload

Accessing resumes

View or download resumes from the applicant profile:
  1. Navigate to the applicant
  2. Click CV or View Resume
  3. Resume opens in a new tab or downloads
All team members with access to the organization can view resumes.
Resume URLs are secure and require authentication. They cannot be accessed without proper permissions.

Activity tracking

WeGotWork automatically logs candidate interactions:
  • Status changes: When and who changed the status
  • Stage movements: Pipeline stage transitions
  • Evaluations: Interview feedback and scores
  • Communications: Email and notes
View the complete activity timeline on each applicant’s profile.

Evaluations and feedback

Team members can evaluate candidates:

Adding evaluations

  1. Open an applicant profile
  2. Navigate to the current pipeline stage
  3. Add an evaluation with:
    • Score: 1-5 rating scale
    • Feedback: Detailed comments
    • Stage: Which interview or stage this applies to

Viewing evaluations

See all team member feedback in one place:
  • Average score across evaluations
  • Individual interviewer comments
  • Stage-specific feedback
This helps make collaborative hiring decisions.

Communications

Track all candidate communications:

Communication types

  • EMAIL: Email messages sent to candidate
  • NOTE: Internal notes visible only to your team
  • CALL: Call logs and summaries

Adding communications

  1. Open applicant profile
  2. Click Add Note or Log Email
  3. Enter content
  4. Save to timeline
Communications provide context for hiring decisions. Quickly find applicants:
  • Filter by status: Show only INTERVIEW or OFFER candidates
  • Filter by job: View applicants for specific positions
  • Sort by date: See newest or oldest applications first
  • Search: Find by name or email
Filters help you focus on candidates needing attention.

Bulk actions

Perform actions on multiple applicants:
  • Change status for multiple candidates
  • Export applicant data
  • Send bulk emails
Bulk actions save time when managing many applications.

Applicant lifecycle

A typical applicant journey:
  1. Candidate applies → Status: SUBMITTED
  2. Recruiter reviews → Status: UNDERREVIEW
  3. Pass screening → Status: INTERVIEW
  4. Interview rounds → Team adds evaluations
  5. Decision made → Status: OFFER, REJECTED, or HIRED
  6. Archive → Move to appropriate final status
