The Warehouse Management module provides comprehensive inventory control for aviation parts, tools, and consumables. It handles the complete lifecycle from receiving to dispatch.

Key Features

Inventory Control

Track articles by part number, serial, batch, condition, and location

Dispatch Management

Process dispatch requests for work orders and general operations

Tool Management

Manage toolboxes, calibration tracking, and tool assignment to technicians

Incoming Articles

Receive and locate new inventory with status tracking

Article Types

The system manages different article classifications:

Aeronautical Articles

  • Component Articles: Aircraft parts with TSN/TSO tracking, hour/cycle limits
  • Consumable Articles: Expendable items with quantity and expiration management
  • Tool Articles: Special tools requiring calibration and maintenance

General Articles

  • Office supplies and consumables
  • Equipment and materials not aircraft-specific

Warehouse Operations

Incoming Workflow

1

In Transit

Articles are marked as in transit when purchase orders are confirmed with tracking information (USA tracking, OCK tracking)
2

Incoming Reception

When articles arrive, they enter the incoming status for initial inspection and documentation
3

Quality Control

Articles flow to Quality Control module for certification review (8130, vendor certificates)
4

Waiting to Locate

Approved articles await physical location assignment in the warehouse
5

Located & Available

Articles are assigned to warehouse zones and become available for dispatch

Dispatch Workflow

  1. Request Creation: Users create dispatch requests specifying:
    • Part number and quantity needed
    • Destination (work order, department, or general use)
    • Justification and urgency
  2. Warehouse Processing: Warehouse staff:
    • Locate the requested articles by batch and serial
    • Verify condition and certificates
    • Prepare items for dispatch
  3. Dispatch Confirmation:
    • Articles are removed from inventory
    • Dispatch documentation is generated
    • Receiving party confirms receipt

Tool Management

Toolboxes are assigned to employees (typically maintenance technicians) and contain:
  • Tool inventory with serial numbers
  • Calibration due dates for precision tools
  • Special tool flags for critical equipment
  • Delivery and return tracking
Dashboard Alerts:
  • Tools requiring calibration
  • Overdue tool returns
  • Expired calibration certificates

Inventory Management

Batch System

Articles are organized into batches for efficient management:
Batch Properties:
- Name and description
- ATA code (aircraft system classification)
- Category (e.g., "FASTENERS", "AVIONICS", "ENGINE PARTS")
- Brand/manufacturer
- Hazardous material flag
- Primary unit of measure
- Minimum quantity threshold
- Warehouse zone assignment

Quantity Tracking

The system supports multiple units of measure with automatic conversion:
  • Primary unit (e.g., “EACH”, “BOX”)
  • Secondary units with equivalence ratios
  • Automatic conversion in dispatch and incoming operations

Stock Alerts

The warehouse dashboard provides real-time visibility:
  • Out of Stock Articles: Items below minimum quantity
  • Restock Needed: Low inventory alerts based on batch minimum
  • Tool Calibration: Tools approaching or past calibration due dates
  • User Statistics: Dispatch and incoming activity by warehouse staff

Article Conditions

Aviation articles are tracked by regulatory condition:
ConditionDescription
SV (Serviceable)New or overhauled, airworthy with certificates
OH (Overhauled)Completely overhauled to manufacturer specs
RP (Repairable)Requires repair before use
AR (As Removed)Removed from aircraft, condition unknown
BER (Beyond Economic Repair)Not economically repairable
INSP (Inspection)Requires inspection before release

Warehouse Zones

Physical organization by location and type:
  • Zone assignment for efficient picking
  • Location-based inventory searches
  • Multi-warehouse support for different bases

User Workflows

For Warehouse Staff

  1. Daily Operations:
    • Review pending dispatch requests
    • Process incoming articles
    • Locate and assign warehouse zones
    • Update inventory quantities
  2. Inventory Control:
    • Conduct cycle counts
    • Manage tool calibrations
    • Monitor stock levels
    • Generate inventory reports

For Requesters

  1. Create dispatch requests for needed parts
  2. Track request status through the workflow
  3. Confirm receipt of dispatched items
  4. View inventory availability before requesting

Integration with Other Modules

Purchasing Integration

Purchase orders automatically create incoming inventory when articles arrive

Quality Control

Incoming articles flow to QC for inspection and certification review

Planning Integration

Work orders trigger dispatch requests for required parts and materials

Maintenance

Tool assignment to maintenance technicians and component tracking

Reporting

Warehouse management includes comprehensive reporting:
  • Inventory levels by batch, category, or ATA code
  • Dispatch history and trends
  • User activity statistics
  • Stock movement reports
  • Tool calibration schedules
