Event Overview

Events are individual instances of the photo booth experience. Each event has:
  • Unique URL slug for access
  • Dedicated credit allocation
  • Custom or inherited branding
  • Specific AI style packs enabled
  • Start and end dates (optional)
  • Client association (optional)

Creating a New Event

Navigate to Events Tab

From your Partner Dashboard, click the Events tab in the header navigation.

Click 'Nuevo Evento'

In the top-right corner, click the “Nuevo Evento” (New Event) button with the Plus icon.

Fill Event Details

The Create Event Modal opens with the following fields:Basic Information:
  • Event Name: Display name (e.g., “Boda de Lucas & Martina”)
  • Event Slug: URL identifier (e.g., “boda-lucas-martina”)
    • Must be unique
    • Only lowercase letters, numbers, and hyphens
    • Becomes part of URL: app.metalabia.com/?event=[slug]
Dates:
  • Start Date: When event begins (optional)
  • End Date: When event ends (optional)
  • If no dates set, event is always active
Credit Allocation:
  • Credits to Allocate: Number of credits for this event
  • Deducted from your partner balance
  • Typical allocation: 500-1000 credits per event
Client Association (Optional):
  • Select Client: Dropdown of your clients
  • Links event to specific client account
  • Client can access their dashboard to customize branding

Select AI Style Packs

Choose which style packs are available for this event:
  • Grid displays all available style packs
  • Click pack thumbnail to toggle selection
  • Selected packs show checkmark overlay
  • At least one pack must be selected
Pack Categories:
  • Profesional
  • Artístico
  • Vintage
  • Fantástico
  • Clásico

Create Event

Click “Crear Evento” at the bottom of the modal.
  • Event is created immediately
  • Credits are allocated
  • Event appears in your Events table
  • Status is set to “En Línea” (Online/Active)
Event Activation: Events are active immediately upon creation. Users can access them via the QR code or URL right away.

Event Configuration Details

Event Naming

Event Name Best Practices:
  • ✅ Use clear, descriptive names: “Casamiento Julia & Sebastián”
  • ✅ Include date if needed: “Evento Corporativo Mayo 2025”
  • ✅ Keep under 50 characters for display
  • ❌ Avoid special characters: ~!@#$%
Event Slug Best Practices:
  • ✅ Use hyphens for spaces: boda-julia-sebastian
  • ✅ Keep short and memorable: corporativo-mayo-25
  • ✅ Only lowercase: evento-importante
  • ❌ Don’t use underscores: evento_importante
  • ❌ Avoid accents: boda-julía (use boda-julia)
Unique Slugs Required: Each event slug must be unique across the entire platform. If you receive a “slug already exists” error, try adding a number or date: boda-2025 or evento-mayo-01.

Credit Allocation Guidelines

How Many Credits Per Event? Calculate based on expected usage:
Expected Credits = (Number of Guests) × (Photos per Guest) × (Cost per Photo)

Example:
- 100 guests
- 3 photos each on average
- 100 credits per photo (average style cost)

100 × 3 × 100 = 30,000 credits needed

+ 20% buffer = 36,000 credits recommended

You can always add more credits later using the ShoppingCart icon in the Events table if an event runs low.

Date Configuration

Start Date:
  • Event becomes accessible at 00:00 on start date
  • If no start date, event is immediately accessible
  • Users see “Event hasn’t started yet” screen before start time
End Date:
  • Event stops accepting new generations at 23:59 on end date
  • Gallery remains accessible after end date
  • If no end date, event runs indefinitely
Time Zone:
  • Dates use server time zone (typically UTC-3 for Argentina)
  • Consider time zone when setting event dates
Pro Tip: For multi-day events, set start date to day before and end date to day after to account for setup/teardown time.

Client Association

When to Associate a Client: Do associate:
  • When client should access event dashboard
  • For clients who want to customize branding
  • When tracking usage per client
  • For invoicing purposes
Don’t associate:
  • For internal test events
  • When you maintain full control
  • For one-off events without ongoing client relationship
What Clients Can Do: When an event is associated with a client:
  • Client receives email with dashboard login
  • Client can customize event branding (logo, colors, welcome text)
  • Client can view event photo gallery
  • Client can download all event photos
  • Client cannot modify credits, slug, or core settings

Managing Existing Events

Events Table

Your Events tab displays all events in a table: Columns:
  1. Identificación: Event name, slug, and avatar
  2. Consumo de Créditos: Progress bar showing used/allocated ratio
  3. Estado: Active status (green “En Línea” or red “Pausado”)
  4. Panel de Control: Action buttons
Action Buttons:
Add Credits to Event
  • Opens top-up modal
  • Enter additional credit amount
  • Deducted from your partner balance
  • Added instantly to event allocation

Editing an Event

Click Edit Button

In the Events table, click the Edit2 icon (gray button) for the event you want to modify.

Update Settings

Edit Event Modal opens with current values:Editable Fields:
  • Event Name
  • Start Date
  • End Date
  • Selected Style Packs
  • Active Status
Non-editable:
  • Event Slug (permanent)
  • Credits Allocated (use top-up instead)
  • Client Association (contact support to change)

Save Changes

Click “Guardar Cambios”.
  • Changes apply immediately
  • Active users see updates on next page load
  • Success toast confirms save

Adding Credits to Running Events

If an event runs low on credits during the event:

Monitor Credit Usage

Watch the progress bar in the Events table:
  • Green: 0-75% used
  • Orange: 75-90% used (warning)
  • Red: 90-100% used (critical)

Click Shopping Cart Icon

When credits run low, click the green ShoppingCart icon button.

Enter Top-Up Amount

In the modal:
  • Enter number of credits to add
  • View your available partner balance
  • Ensure sufficient balance

Confirm Top-Up

Click “Asignar Créditos”.
  • Credits transfer from partner account to event
  • Event total increases immediately
  • Users can continue generating photos
Avoid Interruptions: Set up alerts (via support) to notify you when events reach 80% credit usage, giving you time to top up before they run out.

Event Best Practices

Before the Event

  • ✅ Create event at least 24 hours in advance
  • ✅ Test event with dummy account
  • ✅ Print QR codes and place at venue
  • ✅ Allocate 20% more credits than estimated need
  • ✅ Send preview link to client for approval
  • ✅ Configure branding if using white-label

During the Event

  • 👀 Monitor credit consumption in real-time
  • 👀 Check moderation view periodically for inappropriate content
  • 📲 Have phone accessible to top up credits if needed
  • 📧 Respond to client messages quickly

After the Event

  • 📥 Download all photos from gallery
  • 📧 Send download link to client
  • 📋 Review analytics (generations, popular styles)
  • 🚫 Deactivate event if no longer needed (or keep for gallery access)
  • ♻️ Optionally delete after client confirmation (to clean up dashboard)

Troubleshooting

Solution:
  • Choose a different slug
  • Add date or number: boda-julia-2025 or evento-01
  • Check for typos that might match existing events
Solution:
  • Navigate to Wallet tab
  • Purchase more credits
  • Wait for payment confirmation
  • Return to event creation
Checks:
  • Verify email address is correct
  • Ensure event is associated with client
  • Check if invitation email was sent (see Clients tab)
  • Have client check spam folder
  • Resend invitation via Clients tab
Causes:
  • Event hasn’t reached start date yet
  • Event has passed end date
  • Event was manually deactivated
Solution:
  • Edit event to adjust dates
  • Or toggle active status to “Active”
Solution:
  • Edit event
  • Verify at least one style pack is selected
  • Check that partner has enabled styles in Branding tab
  • Save changes and have users refresh
