The Export to Excel feature generates professionally formatted spreadsheets from the Day View, perfect for printing, sharing, or offline reference.

Overview

Export creates a formatted Excel file (.xlsx) containing:
  • Daily schedule in grid format
  • Color-coded instructors
  • Horse type indicators
  • Complete class details in comments
  • Professional print layout
Only available in Day View: The export button appears when viewing the calendar in Day View mode.

How to Export

Navigate to Day View

Switch to Day View in the calendar

Select Target Date

Navigate to the day you want to export

Click Export Button

Click “Exportar Excel” in the toolbar

File Downloads

The Excel file downloads automatically to your browser’s download folder

Open File

Open the file in Excel, LibreOffice, or Google Sheets

File Format

The generated Excel file follows this structure:

File Naming

Calendario_YYYY-MM-DD.xlsx

Example:
Calendario_2026-03-04.xlsx
The filename includes the date for easy identification.

Title Row

Format: “CALENDARIO - [Full Date]”Example: CALENDARIO - Miércoles 4 de marzo de 2026

Column Headers

Time Column

  • Label: “Hora”
  • Width: Fixed for readability
  • Background: Grey
  • Border: Black outline

Horse Columns

  • Background: Blue (#4472C4)
  • Label: Horse name + “(Escuela)”
  • Text: White for contrast
  • Order: Alphabetically first

Class Cells

Background Colors

Each class cell uses the instructor’s assigned color:
Instructor: Carlos Ruiz (Blue #3B82F6)
→ All his classes have blue background

Instructor: Ana Martinez (Green #22C55E)
→ All her classes have green background

Cell Content

Regular classes show:
Maria
Garcia
MONTA classes show:
Carlos
Ruiz

60-minute classes:

Trial Classes

Trial classes get orange border around the cell.

Each class cell includes a comment (hover tooltip) with complete details:

Hover over any class cell in Excel to see the comment popup with full details.

Legend Section

The bottom of the sheet contains a legend:

Instructor Colors

Shows each instructor with their color:

Horse Types

Explains the type labels:
Tipos de Caballo:
Escuela = Caballo de escuela (disponible para todos)
Privado = Caballo privado (solo para su dueño)
The Excel file is optimized for printing:

Page Setup

  • Orientation: Landscape (horizontal)
  • Paper Size: A4
  • Margins: Narrow (0.5 inches)
  • Scaling: Fit to one page wide

Open in Excel

Open the downloaded file in Microsoft Excel or compatible software

Go to File > Print to see preview

Adjust if Needed

  • Check if all columns fit on one page
  • Adjust scaling if necessary
  • Verify colors are visible

Use Cases

Print the daily schedule and post it in the instructor lounge:
  • Instructors can see their schedule at a glance
  • Color coding makes it easy to identify their classes
  • No need to access the computer system
Print and display in the stable area:
  • Shows which horse is in use at what time
  • Helps stable hands prepare horses
  • Prevents conflicts and confusion
Export and email to clients:
  • Parents can see when their child has classes

  • Export at the end of each day/week
  • Store in a records folder

Have a backup when internet/system is down:
  • Pre-export the week’s schedules
  • Keep on laptop or tablet
  • Operate without live system access

Filters and Export

If you have filters applied when exporting:
The export includes only visible classes based on active filters.

Example with Student Filter

If filtering for “Maria Garcia”:
  • Export shows only Maria’s classes
  • Other students’ classes are omitted
  • Empty cells where other classes exist

Example with Instructor Filter

If filtering for “Carlos Ruiz”:
  • Export shows only Carlos’s classes
  • Other instructors’ classes are omitted

Tip: Full Export

To export the complete day:
  1. Remove all filters
  2. Click “Restablecer Filtros” if needed
  3. Then click “Exportar Excel”

File Compatibility

The exported file works with: Microsoft Excel (2010 and later) ✅ LibreOffice CalcGoogle Sheets (upload the file) ✅ Apple NumbersOpenOffice Calc
Colors and formatting are best preserved in Microsoft Excel.

Troubleshooting

If the file doesn’t download:
  • Check browser popup blocker
  • Ensure sufficient disk space
  • Try a different browser
  • Check browser download settings
If colors are missing:
  • Open in Microsoft Excel (best support)
  • Update your spreadsheet software
  • Check that file downloaded completely
To see cell comments:
  • Hover over class cells (Excel)
  • Or go to Review > Show All Comments
  • Comments may not work in all programs

Advanced: Editing the Export

You can modify the exported file:

What You Can Do

  • Add notes or annotations
  • Highlight specific classes
  • Add additional columns (e.g., payment status)
  • Create summary totals
  • Copy to other sheets/workbooks

What to Avoid

  • Don’t use the edited file to import back (no import feature exists)
  • Don’t rely on edited file as the source of truth (calendar is master)
  • Don’t expect edits to sync back to the system
