Workload Distribution

The main visualization shows instructor workload comparison.

Stacked Bar Chart

Displays classes per instructor with status breakdown: Chart Elements:
  • X-axis: Instructor names
  • Y-axis: Number of classes
  • Green bars: Completed classes
  • Red bars: Cancelled classes (stacked)
Example:
Carlos Ruiz:
  Completadas: 65
  Canceladas: 8
  Total: 73

Ana Martinez:
  Completadas: 58
  Canceladas: 6
  Total: 64

Pedro Lopez:
  Completadas: 52
  Canceladas: 10
  Total: 62
The stacked format makes it easy to compare total workload while seeing completion vs cancellation.

Efficiency Calculation

Formula

Efficiency % = (Completed / Total) × 100

Example (Carlos Ruiz):
  Completed: 65
  Total: 73
  Efficiency: (65/73) × 100 = 89.0%

What Efficiency Measures

Efficiency represents the percentage of assigned classes that were successfully completed. Factors that affect efficiency: ✅ Student attendance ✅ Weather conditions ✅ Facility availability ✅ Schedule conflicts
Low efficiency isn’t always the instructor’s fault—external factors like weather and facility cancellations impact all instructors.

Benchmarks & Interpretation

Efficiency Ranges

90-100% efficiencyIndicates:
  • High student engagement
  • Good weather period
  • Few cancellations
  • Optimal performance
Action: Maintain current approach

Workload Analysis

Total Classes Comparison

Compare instructor workloads to:
  • Balance assignments: Ensure fair distribution
  • Identify capacity: See who can take more classes
  • Spot overload: Prevent instructor burnout
  • Plan hiring: Determine if more instructors needed

Workload Distribution Examples

Carlos: 73 classes
Ana: 64 classes
Pedro: 62 classes
Sofia: 58 classes
Luis: 55 classes
Even distribution—no one is overloaded or underutilized.
Carlos: 120 classes ← Overloaded
Ana: 95 classes
Pedro: 30 classes ← Underutilized
Sofia: 25 classes ← Underutilized
Needs redistribution to prevent burnout and maximize capacity.
Carlos: 85 classes (Full-time)
Ana: 80 classes (Full-time)
Pedro: 35 classes (Part-time)
Sofia: 30 classes (Part-time)
Normal if employment types differ.

Cancellation Analysis

Understanding Cancellations

Cancellations in the instructor report include:
  • Facility cancellations: Weather, holidays, maintenance
  • Student cancellations: ACA, ASA (counted as “cancelled” for instructor)
High cancellations for one instructor vs others may indicate:
  • Schedule timing issues (weather-prone times)
  • Student engagement problems
  • Communication gaps

Comparative Analysis

If one instructor has significantly higher cancellations: Check:
  1. Schedule timing: Do they teach during weather-prone hours?
  2. Student mix: Do their students have attendance issues?
  3. Day of week: Are they on days with more closures?
  4. Specialty: Does their specialty have higher no-shows?

Using Instructor Reports

Workload Balancing

1

Review Total Classes

Check current distribution across all instructors
2

Identify Imbalances

Spot overloaded or underutilized instructors
3

Consider Factors

  • Full-time vs part-time
  • Availability preferences
  • Specialty expertise
4

Redistribute

Adjust future class assignments
5

Monitor

Re-check next period to ensure balance

Performance Reviews

Use instructor reports in performance evaluations: Positive Indicators: ✅ High efficiency (90%+) ✅ Consistent workload handling ✅ Low student-initiated cancellations ✅ Balanced completion rates Discussion Points: 💬 Lower efficiency—identify causes 💬 High cancellations—review patterns 💬 Workload preferences—too much/too little?

Hiring Decisions

Data helps determine staffing needs: Indicators you need more instructors:
  • All instructors at high capacity
  • Frequent overload situations
  • Unable to accommodate new students
  • Long waitlists for classes
Calculation Example:
Current capacity: 5 instructors × 70 classes/month = 350
Current demand: 340 classes/month
Utilization: 97%

Conclusion: Near capacity, consider hiring

  Average efficiency: 85%

Summer (Jun-Aug):
  Average efficiency: 92%

Insight: Weather impact on winter months

Instructor Availability

The report shows only active instructors with classes in the period.
Inactive instructors or those without classes won’t appear in the report.

Student Perspective

Cross-reference with student reports:
  • Are students of certain instructors more engaged?
  • Do some instructors have better attendance?

Class Perspective

Combine with class reports:
  • Overall completion rate vs instructor-specific
  • Facility cancellation impact

Tips & Best Practices

  • Review monthly: Track trends, not just snapshots
  • Context matters: Consider external factors (weather, holidays)
  • Fair comparison: Account for part-time vs full-time
  • Celebrate success: Recognize high performers
  • Support improvement: Help those with lower metrics
  • Workload balance: Prevent burnout through fair distribution
